3 IEA DSM Website and Administration System User Guide
4 1. Introduction 1.1 Website Explained The Demand Side Management (DSM) website for the International Energy Agency (IEA) has been developed and is now hosted by Solstice Associates in the UK. The site was developed following consultation with Paul Davidson of BRE, with a scope to vastly simplify the way in which online information and documents are created, managed and made available to the public. The term website is used to describe two core sections / areas: 1. Public facing website The public face to IEA DSM online is located at hwww.ieadsm.org This website features all published Tasks, Publications and information about IEA DSM. The website is available free of charge to any member of the public worldwide, although users are required to register to obtain Key Publications (Previously referred to as the Shop Front) and Task Publications. 2. Secure admin site A secure area providing a way for IEA DSM administrators / operators / experts to fully administer the public facing website. Located at the same URL as the public facing website, Admin Users (Administrators, Operators and Experts) can login using the Member Login link at the top of every screen: Users are assigned a User type, and this will limit the functions available to them. These will be explained in detail further on. The website is operated as a separate entity as it does not share data with other IEA websites. Solstice Associates Ltd is responsible for the maintenance and further development of the website code base, whilst IEA Admin Users are responsible for the population of the public facing website via the use of the Secure Admin Site.

Public Website 2.1 Homepage The homepage is the first page displayed to the public user when they visit the URL As with all public pages, the main menu is visible at the top, making it easy to jump to any of the key sections. The homepage also features the latest DSM news, the most recent Annual Report to be published, and the current DSM newsletter. Each of these 3 sections can be updated by the Master Admin User only. A search facility is also available allowing users to search for information or publications should they wish. 2.2 News The News page is fully populated and maintained via the Admin Site. Updates to this page can only be made by the Master Admin User.
7 2.3 About Us The About Us page is fully populated and maintained via the Admin Site. Updates to this page can only be made by the Master Admin user. 2.4 Participation The Participation page is fully populated and maintained via the Admin Site. The page has 5 sub-pages, each of which is fully editable via the Admin Site Updates to this page can only be made by the Master Admin user. 2.5 Contact Us This page provides all the contact information for the key members of the IEA DSM team. A drop down list allows users to filter the list by Exco Members, Operating Agents, Master Admin users, or by individual task.
8 2.6 Tasks and Projects This page allows users to view the IEA DSM tasks published by the admin users via the Admin Site. This section is broken down into 6 sections. Current Tasks and Completed Tasks are dynamically populated pages, and provide a synopsis and a link to each Task for viewing online. The remaining sections are fully editable via the Admin Site by Master Admin Users only. 2.7 Publications This page has 5 sub sections, each containing different types of publication. Each page is dynamically generated and displays each available publication, with a brief synopsis and a link to download. Public users are required to register before downloading Key Publications and Task Publications. 2.8 Workshops The Workshops page is fully populated and maintained via the Admin Site. Updates to this page can only be made by the Master Admin user.
9 2.9 Links Links are sorted by Country. The Links page is fully populated and maintained via the Admin Site. Updates to this page can only be made by the Master Admin user Awards The Awards page is fully populated and maintained via the Admin Site. Updates to this page can only be made by the Master Admin user.
10 3. The Secure Admin Site 3.1 Logging in The secure admin site is accessed from any of the pages from the public website, by clicking on Member Login from the main menu at the top of the screen. The user is then taken to a login screen as follows. The Admin Site supports 3 clearly defined User Types: 1. Master Admin User Has full control over the site, its content, tasks and publications. 2. Standard Admin User Can access and edit only the Tasks for which they a) are either the Operating Agent for, b) are an expert for, or c) have been given Guest User privileges for. 3. Task Guest User Users are created to specifically have access to a given task. Task Guest users are not full Admin Users, and are generally added as a temporary measure. Remember Me If the user clicks this options, they will not be required to login in the future. Each time the Member Login option is clicked, the user will be taken directly to their user homepage.
11 3.2 The User Homepage Each Admin User will have their own personal user homepage, displaying all options available to them. The options available will depend on the user type as follows: Task Management Administration Forum Master Admin User Standard Admin User Task Guest User Exco Forum Only if user is also an Exco member File Library Exco File Library Only if user is also an Exco member s My Reminders Contacts Key Publications Webpages 3.3 Task management This part of the Admin Site allows Admin Users with the correct privileges to contribute to the creation and publication of tasks to the public website. Each task is assigned an Operating Agent, who is also a Standard Admin user. The Operating Agent has full control over the layout and content of a task, whilst other users are assigned as guest users and may have limited roles. A task is selected from the user homepage under Task Management, and the user is taken to the Task Management screen.
12 3.3.1 Task Basics Each task has a synopsis, and this is displayed ready for editing as soon as the Task is displayed. Four other options are displayed here also Publish Task to the Public Website Ticking here will ensure the task is made available from the Public Website Mark Task as being complete If this is ticked, the Task will appear on the public website under Completed Tasks. If this options is left unticked, the task will appear under Current tasks. After each edit is made, the Save button must be clicked Set publication order Click here to specify the order in which the nominated publications appear in the task, when viewed as part of the public website. Enter the order in which you would like the publications to display and click Update Ordering Task stats Task stats are displayed, showing the total number of views for the task and the number of times each task publications has been downloaded. A spreadsheet showing task activity for any particular month can also be displayed by selecting a date and clicking Generate Report Task Sections
13 Task sections are the core pieces that make up a task. Whilst every task begins with a synopsis, the content which follows the synopsis is fully customisable. Task Sections can be created, edited or deleted as necessary. To create a new Task Section, click on Add Task Section from the top of the Task Management page. The user is then prompted to provide a title for the new Task Section. Enter a title and click Add Task Section. The new Task Section will then appear on the left hand side, and you will now be able to start adding the content. A brief summary of the newly created Task Section is displayed, along with an option to specify an order in which the Task Section will appear. An editor is also displayed, allowing you to enter the content for this Task Section as necessary. A simple to use toolbar is available, providing functions familiar to anyone who has used a word processor, such as MS Word, before. Once the content has been entered, clicking the Save button will return you to the list of all available Task Sections and File Folders, ready for further editing. A separate set of instructions is available on request for using this rich text editor, although it has been designed based around functions available in MS word and should be familiar with most users. Once all Task Sections have been added and completed, the task can be published to the public website (See 3.3.1)
14 Once published, the Task will appear on either the Current Tasks or Completed Tasks section of the public website, depending on how the task has been classified (See 3.3.1) The example on the left shows a published Task on the public website. Each Task Section is represented by a link on the task menu, displayed in the order as specified whilst creating the task in the Secure Admin Site. Each link will take the user to that Task Section, at the bottom of which will be a link to return to the top.
15 3.3.3 Task Files Each task has a library of files which are separated into folders. From the task management screen, these can be seen on the rights hand side above the Task Sections. Clicking on a File Folder will open it up, displaying all the files which have been uploaded. A summary for each file is displayed, showing it s title, date of publication and file type. To add a new file to the folder, click Add File A form is displayed in which you can enter all the details for the file you wish to upload. Complete the form and click Add File. You have two further options which allow you to include this file in two areas of the public website. Show in 'Publications' If this is ticked, this file will automatically be featured on the Publications > Task Publications page on the public website. Show in 'Tasks and Projects' If this is ticked, this file will automatically be featured in this Task. The file will be included in an automatically generated Task Section called Publications which will appear at the end of all the other user defined Task Sections, when viewed on the Public Website.
16 3.3.4 Task Guest Users From the main Task management Screen, click Show Guest Users. A list of users who can access this task is displayed. If a user is listed here, then they will have a link to the task management screen for this task on their homepage when they login. The users which have been greyed out are other Admin Users (Master Admin users and Standard Admin users) who have been linked to this task. Users who are displayed in black and are editable, have been added to this task only (Task Guest Users). Ideally, only Admin Users should be added given access to tasks. This facility is useful however should you wish to provide quick access to a task from someone who is not a full IEA Admin User. Guest Users can be deleted from this list by clicking Del. This will only delete them from the list of Guest Users for this task, NOT from the Admin Site altogether. To add another Admin User as a Guest User for this task, simply select them from the dropdown list and click Add. If you want to create a temporary user (Task Guest User) who can access this task only, enter their Name, Address and specify a password and click Add. If Read Only is ticked, this user will NOT be able to edit Task Sections, but they will be able to access the Task Files. Experts If any any task guest user is added as an Expert, then they will only have access to the Task Files, and will not be able to see or update the Task Sections.
