Additional documents must be individually selected by the purchaser. Document Publish Upload required supplemental documents and link to Associations. Property Manager Setup Step 1: Document setup - From CondoCerts Control Center: Product Maintenance > Manage Documents Using the list of 4525 Required documents o Locate the document type and check Include to activate. o Maintain the Document Alias descript to match the required Civil Code 4525 description. o Select a Document Merge Model option and Merge Count. o If a Required 4525 Document is not included as a Document Type Locate any unused document type Maintain the Document Alias name to match the Required Civil Code 4525 Description needed. Select a document merge model option and merge count Check Include to activate Click on Save to continue. 2 The following is a list of provided documents as required by Section 4525 and the recommended Document Alias name. In some cases, the required document information is included in another document being provided. When this occurs, a Supplemental Document is setup and uploaded through DTS to indicate where the information is found. Generally, a supplemental document will not have a corresponding document type and will require use of the Document Alias feature described above. As a note, the Document Alias feature can be implemented on any unused document type. No Fee can be charged for any Supplemental Document. 3 Step 2: Verify Fees - From CondoCerts Control Center: Select Product Maintenance > Manage Fees Review fees listed for all CA 4525 required documents. o The Alias column will included the new document name description. o Ensure the Base Price for all Supplemental Documents is 0.00 o Select Apply to All Associations Click on Save to continue The alias Required Age Restriction Section 4525 (a) (2) is a Supplemental Document indicating the information is provided in another document. Therefore, the base Price is set at 0.00 Step 3: Configure CA 4525 Product Package at the Master Level - Product Package Recommendations include: 1. CA 4525 Demand Package with Meeting Minutes Includes demand/closing statement, meeting minutes and all required documents under CA Civil code CA 4525 Demand Package without Meeting Minutes Includes demand/closing statement and all required documents under CA Civil code Optional meeting minutes are not included. 3. 4 From the CondoCerts Control Center: Select Product Maintenance > Manage Products Packages o Click on ADD Custom Package to create a new product package OR click on Configure for an existing package. Complete the Configure Package Information settings: Package Name and Package Description Maintain the package name and description to include additional information and a listing of the products included when an order is placed, for example: o CA 4525 Demand Package with Meeting Minutes. o This selection contains the documents required documents under Civil Code 4525 along the Demand/closing Statement and optional meeting minutes. For each selection window: o Select or use CTRL+ click to select multiple products. o Click ADD or REMOVE to move an item from the selection list to the Package list. Click Save and Continue. Include a detailed description of what is included in the Package Name & Description fields. Set Package Price Verify pricing is correct, adjust as needed and click on Save. Indicator received Click Cancel to return to the Manage Product Packages. Click Apply to All. The CA 4525 Product Package is now available for all active Projects. When using a Supplemental Document, the Base Price is 0. Note: The Total Document Package Price for CA 4525 documents must be equal to the Base Price. CondoCerts Implementations 4 12/2014

5 Step 4 Supplemental Documents and Upload Process through Document Transmittal Screen (DTS) Supplemental Documents are used to direct the purchaser to another document containing the required information. For example, Assessment Fees are listed in the Demand/Closing Statement. The Supplemental Document will direct the user to the Demand Statement. Create Supplemental Document files: Include Requirement title. Indicate location of required information, i.e. o Found in Demand/Closing Statement o Found in CC&Rs o Found in Bylaws o N/App (Not applicable) Include disclosure. One document is needed for each association. Upload using DTS For detailed instructions see the Document Publish Reference Guide.
