A Web content management system automates many standard content and design management tasks, and can reduce costs. The three biggest cost reductions can be realized in the areas of content updates and accuracy, reinforcement of corporate style and branding, and application development. Enable Faster, Less Expensive Content Updates A content management system enables non-technical business users to publish their own content. Traditionally, content is published by a Webmaster whose main responsibility is the technology, not the content of the site. Business users, who are content experts, are more likely to understand the value of accurate, relevant content than technical staff or other non-business users. Companies without content management systems face delays in publishing new content or in correcting errors delays that can result in lost customers or revenue. According to Information Week Online: Visitors tend to lose patience quickly with a poorly performing Web site, and especially with out-of-date content. Content-management systems offer companies an easy way to make their sites more relevant, keep content up to date and accurate, and reduce the time required to get important content published. The traditional Web site model requires significant costs to maintain the structure and consistency of design or branding. Organizations must impose and police strict rules to ensure the integrity of the structure, or tolerate inconsistent site navigation and broken links. The result is either higher costs for technical staff or reduced effectiveness. A comprehensive set of administration tools reduces the cost of administering multiple separate servers and Web sites. Costs are leveraged across several Web deployments. Dynamic, template-based Web applications separate the content from the application so applications can be updated and distributed to new users without affecting the underlying content. Content management systems provide a simple mechanism for packaging Web sites and all interdependent templates, resources, and pages, making it easier to distribute sections of a Web site developed in one location to other sites. Facilitate New Opportunities for Innovation A dynamic content management system enables businesses to innovate on knowledge traditionally locked in static Web pages and other documents throughout the organization. 9 Keys to Achieving ROI The keys to achieving return on a content management investment are: choosing the right tool for a business requirements, and ensuring rapid implementation and development of the selected tool. To help businesses realize return on their investment, content management systems must: Provide familiar tools to make teams immediately effective and to leverage existing organizational skill sets. Integrate with existing IT infrastructure. Provide enterprise economies of scale. With these key requirements, a content management system empowers companies to be quick to market and quick to react to change, while ensuring a low cost of ownership and implementation. Provide Familiar Tools Providing familiar tools for both business and technical users ensures the system is quickly adopted and training costs are reduced. Use of familiar tools also leverages in-house team skill sets. Implementing a content management system should decrease development maintenance costs, not increase outside consultant costs. Business users should be able to use standard content creation tools, like Microsoft Word, to create site content. Content contribution tools should use familiar interfaces to ensure a short learning curve. Tools must be available in a browser-based interface, so business users can work anywhere, and IT staff is not required to install and maintain additional software. Web developers and designers should be able to use their favorite HTML editing tools for creating site templates. They should not need to learn any proprietary scripting languages to create site navigation and structure. Use Industry-Standard Technology Web content management systems that work with industry-standard technology provide return on investment in a number of ways. They leverage existing investments in IT infrastructure and IT training. They speed the time to market by integrating quickly with IT environments. They reduce maintenance costs by providing standard interfaces for user and server management. Support for industry-standard technology also ensures ease of integration with other e- business applications. Web sites are not built in isolation. They must integrate with existing and future implementations of data systems, e-commerce, and customer relationship management systems. Provide Enterprise Economies of Scale Web content management systems must provide enterprise-wide economies of scale. 11 Enterprise ROI Calculator This document describes how to derive return from a Web content management system. To estimate the actual ROI of a content management system, organizations must first evaluate the level of improvement such a system provides by costing all factors. Then, to estimate the probable value of the investment, organizations must evaluate the probability that the system will be both adopted and used. The following calculation determines the enterprise wide ROI of implementing a web content management system, including the benefits of improved communication and content. Return = (Cost Savings + Increased Content Value + Innovation) * Probability of Adoption where, Cost Savings = standardization + resource utilization + cost of updates + retrieval time Content Value = message value * relevance * timeliness * accuracy * suitability + branding Innovation = developer tool suitability + integration compatibility * reduced time to deploy Probability of Adoption = IT compatibility * business user suitability * scalability Investment = number of users * (process change + training costs) + system cost + design cost Site Development and Maintenance ROI Calculator The following calculation determines the specific return on investment realized by decreased costs of building and maintaining a site using a content management system. These decreased costs are a factor in the overall enterprise return on investment as indicated in the Cost Savings line of the previous equation. These cost savings are realized when the real development costs of building a static site are compared to the costs of building a dynamically updated site that uses templates. The following equation compares the costs of developing static pages to dynamic pages for technical staff. It does not include any costs of content development. The calculator provides rough estimates of costs. Note that this calculator deals with initial site building. Cost savings are also realized with the decreased maintenance costs of a template-based system. Cost Savings= Cost of Developing Pages on Static Site Cost of Developing Pages on Dynamic Site Cost of Developing Pages on Static Site = (web developer salary * 4 hours/page) + (web designer salary * 2 hours/page) * number of pages Cost of Developing Pages on Dynamic Site = (cost of template development / number of pages) Cost of Template Development = (web developer salary * 4 hours/template) + (web designer salary x 2 hours/template* ) * number of templates Note: These estimates are based on between 2 and 6 hours to create a page template depending on the complexity of the template and the system. Template creation time will vary depending on the familiarity with the system and the complexity of the template.
