3 GETTING STARTED This document aims to help students select their optional modules using the Kings Online Module Selection facility on the Student Records system. To begin, please log in to Student Records at Once you have logged in and have arrived at your main student homepage, you should have a Make My Module Selections blue container available. It is usually located in the centre of the page. Click on the Select Modules for 2013/4 link inside the blue container to open the Online Module Registration screen. 3
4 The main Module Registration screen looks like this: 4
5 The Module Registration screen is divided into a number of areas: 5
6 The lower half of the screen presents the modules already assigned to you (core/compulsory modules) and optional modules available for you to select: The Choose Modules section is used to carry out the main Module Selection actions. Depending on your programme and year of study, the look of this area will vary depending upon the module diet. For example, you may only see one group of modules to choose from, like the screenshot shown above. In other cases, students may be presented with several groups of modules to choose from (as shown below). Each module group will have its own row and a separate Select button to enable module selection for that particular group or row. 6
7 Each group of options is accompanied by a description of requirements to meet. This will usually include the maximum total number of credits to choose from this group and also any other conditions (e.g. in the example above, to qualify to take the ALL CF LANG CENTRE MODULES you need to attend a particular enrolment week). 7
8 SELECTING YOUR MODULES To begin your module selection, click the Select button next to the module group to access the Make Selection screen: The next screen will vary depending on your course and module diet. 8
9 If you only have a limited number of modules available to choose from, the Make Selection screen will display all the modules you can choose from in a list format, with a tick box next each module. If you see your modules listed like this, carry on reading this section, otherwise go to page 11. 9
10 Choose the modules you wish to take by ticking the checkbox next to your desired module. Please note the total credits you need to take while making your selections. Press the Save Selections button to store your choices. This will now take you back to the main Module Registration page. Note: If you want to amend your selection after you have pressed the Save Selection button, return to the Make Selection screen and then un-tick the module you want to remove and tick the module you want to take instead, and then press the Save Selection button. Go to page 25 of this guide to carry on with the next stage. 10
11 SELECT MODULES BY ENTERING MODULE CODE If you have a large number of modules available to choose from, these will not be listed automatically in the Make Selection screen. You will need to enter the module code manually in the Module text box and then press the List button or search for the module title using the search button. The easiest way to use this screen is to obtain the module codes for your intended options before you start this process from your department handbook. 11
12 If you know the module code for the modules you wish to take, enter the exact code in the Module textbox as shown below and then press the List button. Please note that all data entered must be in CAPITALS. 12
13 Please wait for a moment while the system checks the module code you have entered. If the module code is valid, the system will refresh the page and confirm the Module Name and number of credits as shown below. If you know the module codes for ALL the modules you wish to take, repeat the above steps for all modules using the remaining blank Module textboxes and then go to page 24 of this guide. 13
14 SEARCH FOR A MODULE USING THE MODULE TITLE If you do not know the exact module code for the modules you wish to select, you can search for the module by the module title. You can use the search function even if you only know part of the title or module code. To search for a module, click the search button next to an empty module row as shown below. 14
15 This will take you to the following Search Criteria screen which should look like this: 15
16 You can choose to search for a module using its full title or full module code - but this must be an exact match with the data stored on the system. You can also search using part of the module title name or part of the module code. To search for a partial match, we need to use the wildcard character in our search text. The wildcard character is the asterisk * symbol and is usually found on the right hand side of your keyboard above your number pad keys: 16
17 In our first example we will search for the module 6CCS3COM Computational Models. If you were not sure of the full title name of this module but knew it contained the letters COMPUT you could search using the text *COMPUT* with the wildcard asterisk at the beginning and at the end of the text. This ensures it brings up all results even if the letters COMPUT are not at the beginning of the Module Title Name. NOTE: All search text must be entered in capital letters. If any modules match the text you have entered, they will be displayed at the top of the page. 17
18 Use the Select button next to the module you want, to select it. The button will change to now say Unselect. You can then click on this button again, if you wish to unselect the module. After you have selected your module, press the Submit button. 18
19 This will now return you to the Make Selection screen, where you will see one of the blank module rows now populated with the module you have picked. You can now click the next Search button on the next empty module row to search for another module if necessary. Repeat the process as required until you have chosen the sufficient number of credits/modules required. After you have all your modules listed, go to page 24 of this guide. 19
20 SEARCH FOR A MODULE USING PART OF THE MODULE CODE In the next example, we will search for modules using part of the Module Code. Many modules have the same first characters, and this will let us bring up a list of a number of modules which we can select together. Click the Search button next to one of the empty module rows to search for another module. 20
21 For this example we will search for all modules beginning with 6CCS3. Again, because we are searching for part of a module code, we will need to use the wildcard * asterisk character. We will enter 6CCS3* in the Module Code text box and then press the Search button. Note that here we are only using the asterisk at the end of the text as we want results where the module code has 6CCS3 at the beginning. 21
22 The results appear at the top of the screen. You can then use the Select buttons next to the module to select the modules you want. You can select more than one module. After you have chosen the modules, press the Submit button to record and return to the Make Selections screen. 22
23 In the Make Selections screen you will now see the modules you have just chosen from the Search screen listed. 23
24 Now that you have your modules listed, click on the Save Selections button to return to the main Module Registration screen. 24
25 The Module Registration screen will now list your chosen modules in the bottom Choose Modules section. 25
26 SUBMITTING YOUR MODULES If you are happy with module selection, press the Submit Final Selections button shown. If you want to save your selections for now, but submit at a later time, click on the Submit Later button. You can now log off and return at another time to the Module Registration screen and your module selections will remain as you have selected them, ready to submit or to amend. 26
27 When you press the Submit Final Selections button, you will be taken to a confirmation screen that lists the modules you are about to submit. This is your final chance to make any changes. If you do not want to submit your confirmation or want to change something, press the Cancel and Return button. See page 32 for details on how to amend your module selection. Otherwise press the Confirm Selections button to submit your module selection. 27
28 FINAL SUBMISSION OF YOUR MODULE SELECTION After you press the Confirm Selections button, your Module Registration Status will be updated to ENT - Entered. This means you have now submitted your module selection and should wait for it to be approved by the Programme Advisor. You can no longer make any changes via the Module Registration screen. If you need to change something please contact your Programme Advisor. 28
29 MODULES APPROVED You will receive an once a decision has been made about the module selection you have submitted. If the Programme Advisor approves all your module selections, you will be notified by and your status on the Student Record s Module Registration screen will change to CON - Confirmed. Your module selection is now complete and approved. 29
30 MODULE SELECTION REJECTED If the Programme Advisor does not approve all or some of your modules, you will be advised by to re-visit the Module Registration page and check the Comments left by the Programme Advisor to find out which modules have not been approved and why. 30
31 The View/Add Comment screen looks like this: 31
32 MAKE CHANGES TO YOUR MODULE SELECTION (Before final submission or after rejection by Advisor) To change a module selection after you have already selected once, go to the Choose Modules section at the bottom of the Module Registration page. If you want to remove your whole module selection and start from scratch, you can use the Clear button next to each module group to clear your selection and begin again. If you only want to change some of your modules and keep the rest (for example, if one module has been highlighted by your Programme Advisor as being unsuitable), click the Select button next to the module group you want to change. This will take you to the Make Selection screen again and allow you to swap or change a module individually. 32
33 From the Make Selection screen, un-tick and manually delete the Module Code, Occ code and Period code for the module row you want to remove, by clicking inside the text boxes and using the backspace or delete key on your keyboard. After you have cleared this data, press the Validate Selections button. This will refresh the page and remove the module you wanted to change, leaving you with an empty textbox in its place. Note: If the module textbox is not editable or you don t have a Validate Selections button on your screen, please see page 10 for how to amend your module selection. Now enter the module code you wish to add, in one of the available empty textboxes, and then press the List button (see page 11) or use the search button to find your module (see page 14). After your new module is listed, press the Save Selections button to store the choices and return to the main Module Registration page. Continue with instructions from Submitting your Modules section on page 25 to submit your module selection. 33
34 MODULE RULES When selecting your modules from the Make Selection screen, any modules that have co-requisites or pre-requisites (i.e. have conditions where you must take a module together with another module or before taking this module) will have a Rule button available next to them. You can click on the Rule button to view the conditions attached to the module: 34
35 WARNINGS AND ERROR MESSAGES There are occasions when you may see warnings or error messages during the Online Module selection process. The general error or warning message will appear at the top of the page, and will instruct you to look in a particular place for further details if required. Warning messages will be shown to assist you in be allowed to submit your module selection. They will be displayed if: You do not select the right number of credits You do not meet module rules If the module is full If you select conflicting modules or are recommended to take certain modules together selecting your modules correctly. Red warning messages must be resolved otherwise you will not For example, the Invalid Selections error informs you that your current selection is not valid and that you need to correct the issues reported in the module list. Here we can see the note next to the third module row which tells us this Module is full. 35
36 In another example, we can see from the note displayed in the Module List that we have not selected enough credits to meet the criteria required. If you choose a module with a rule attached and you do not meet the rule (e.g. some of your chosen modules cannot be taken together) you will see the following: 36
