1 Harnessing Google Apps to Empower Collaboration for Special Education Programming Learning Environments for All Summer Institute June 16, 2015, 8:30 AM Jeff Crockett Presentation Objectives Demonstrate Google applications that have been developed for surveying students, teachers and parents, monitoring homework and behavior, and preparing an assistive technology evaluation. Identify Google supports and extensions that improve accessibility. Learn how Google sites can be used to support professional development for special education staff and how to prepare for Google Educator/Trainer certification. 2 The Power of Collaboration Collaborate by Sharing Google Apps Collaborating is easy by clicking the Share button in the upper right hand corner of a Google App. Options range from Private (accessible to the owner and specific people), Public to anyone on the web or to those with a link, or, in a Google Apps District, those people within the domain. Eminem video Privileges Further, for those who have access, you can designate three types of privileges: owner, edit and view. Explaining Sharing Options: View, Edit and Owner Can View means: viewing only can t make changes Can Edit means: Create, edit, delete pages Move pages Add Attachments Add comments Subscribe to site and make page changes 7 Is Owner means: Do everything that users set to "Can edit" can do Set other people as "Can view," "Can edit," and "Is owner" Change site themes and layout Change the site name Delete the site 8 2
3 Receiving and Owning a Sharing File Special Ed Applications 1. After receiving notice that a document has been shared with you, enter Google Drive and click Share with Me. 2. Check the box next to the shared file and click the three vertical dots (More action) 3. Click Make a copy. 4. Click My Drive to access the new document. Note: You will be the owner of the new document 9 1. Caseload Summary 2. Inventory Control 3. Special Education reports 4. Homework Recording 5. Behavior Management 6. Instructional Support 7. Professional Development Caseload Summary Sheets Inventory Management By sharing this inventory with the Special Ed Director and secretary, changes to the inventory are automatically communicated meaning that periodic inventory reports are unnecessary. By sharing this caseload summary with an administrator, current caseload information is automatically monitored by the administrator, eliminating the need for sending caseload reports by

5 SE Teacher/Parapro AT Survey Classroom Teacher AT Survey Homework Recorder The task of recording homework can be scaffolded by sharing among the student, teachers and parents. Teachers and parents can enter data to assist at first with the goal of the student eventually entering assignments independently. Cells are color coded to indicate tasks assigned or completed, days off, field trips or tests. A Notes row is included for additional comments. Each card marking has a separate tab for faster navigation. The Find and Replace feature can be used to customize student information. Behavior Recorder Column B lists positive behaviors to be tracked. Scores in columns C-L range from 1 to 4 depending on how many behaviors were successfully performed. Bottom row records summary percentages of behaviors performed relative to a perfect score. 6 Recovering Deleted Data Sharing Accessible Materials: GE Science Teacher, RR Teacher and Parapro Your data gets deleted in a Google app. What to do? No problem. Just click File and select See revision history. Next, click an earlier version of the file (see date) to restore the data. 21 Here, a Google Drive folder has been used to share accessible materials created for students with disabilities in an Eighth grade science class. Similar shared folders have been created for other content area classes. 22 Instructional Support To Learn About Built In Google Accessibility Options... One Example... In Google Draw, for students with a significant fine motor disability, if you take a picture of a worksheet and insert it into a Draw document, you can use the Text tool to type in answers or the Scribble tool to enter answers with a mouse. The completed worksheet can then be easily share with a teacher. Text Tool Scribble Tool
7 Professional Development with Google Sites Four types of Sites pages: Google Sites Help Center -- Web page Announcements File cabinet Lists Creation of a Web Page Format - Nine Layouts Below the two column format has been selected. The Insert menu can be easily used to import objects into each frame. Header Announcements An Announcement page is similar to a blog. To add an entry, click New post. In these two examples, set up directions have been provided in two posts. While these posts were submitted by the AT Coordinator, any teacher with editing privileges may add posts. Posts may be edited by the creator of the post or deleted. This type of format would be an effective way to share problems and successes. Navigation Sidebar
8 The File Cabinet format... provides a page to store and organize digital materials; i.e. documents, presentations, images, pdf's, etc. The page below has been used to store Google resources. Can add content, such as pictures and text, in a top cell with a place to add files below. The List Format... provides a way to present data in columns such as membership lists, status of projects, vocabulary definition, recommended websites, and much, much more To Access Extensions, Visit The Web Store Chrome Extensions... Can Add Accessiblity Features To The Google Chrome Browser and Drive Applications The Chrome Web Store has hundreds or Extensions and Apps to enhance your online experience. Many of these can help our struggling ALL students. Extensions vs Applications (Apps) Extensions run on top of your current browser tab Apps run in a separate tab or window in your browser 8
9 Extensions to Improve Accessibility Far and away, I believe the best accessibility extension for Google is Read and Write for Google (RWG) by Text Help. Snapverter is an add on to RWG available on the Web Store. Read and Write for Google (RW4G) STT, TTS, WP, Highlighting Snapverter RWG Add-on Converts jpegs, epubs and inaccessible pdfs to accessible pdfs. Read & Write for Google RW4G is free for teachers, while basic features are free for students. Premium features for students involve an annual license fee. Below is an example of the RW4G toolbar. In the Play mode, the context sentence is highlighted yellow, while the spoken word is blue. Registration Good news! All teachers can register to take advantage of Premium features for free. Managment of Student Accounts After a 30 day trial, school district may extend the premium features for students by paying an annual group or domain license. A 150 group license is per student or $ A domain license is offered at $1.50 per student. After purchase of a group license, the district Google administrator creates a TexthelpReadWriteUsers group with a Texthelp Admin Tool. A teacher can then be designated as an owner or manager who can maintain the student membership by accessing the Google Group. 9
10 RW4G features Two Toolbars The Docs Toolbar appears only in a Google Document after clicking icon. Word Prediction Picture Dictionary Pause Fact Finder Translator Highlighters Collect Highlights Dictionary Play Stop Speech Input Erase Highlights Vocabulary Snapverter Snapverter is a Read and Write for Google Add On which uses OCR technology to convert images with text, such as worksheets, or other inaccessible documents into accessible documents. It can also convert daisy files into epub files. The Web Toolbar appears only after entering a website and clicking icon. Hover Speech Picture Dictionary Pause Fact Finder Highlighters Collect Highlights Simplify After activating, the trial user has up to 10 scans for 30 days and then one scan per week thereafter. To continue premium use with unlimited scans, a school district must purchase annual licenses (e.g. $450 for five teacher accounts). Dictionary Play Stop Translator Erase Highlights Vocabulary More on Snapverter Daisy To epub Conversion Snapverter has been particularly valuable to make printed worksheets accessible. With a multiple page scanner, for example, you can first scan a stack of worksheets into a single pdf (usually inaccessible). The pdf is converted by Snapverter into an accessible pdf which can then used with the supports provided by Read and Write for Google. To convert Bookshare files to epub, drop the entire zipped folder into the drop files here to convert folder in the Snapverter folder on Google Drive. Users should not unzip the folder and add individual files. Once converted and opened, the epub reader toolbar appears, which includes text to speech, highlighting/extracting tools, a translator, talking & picture dictionaries, an annotation tool and a vocabulary list builder. 10
11 Using Extensions Two Caveats 1. Unannounced changes in Google that require extension updates. Example: Read & Write for Google suddenly stopped working recently. I received the following message from Text Help. product support has been excellent in resolving issues. Tech support is a factor in the selection of extensions. 2. Some extensions are linked to both Chrome and Drive accounts. Both of these accounts need to have the same account active when extensions are added. The Same Different 41 Google Certification To become a Google Certified Educator, you need to pass five exams (cost $90) including: gmail calendar sites drive and one of the following subjects: chrome browser or chromebook Google Certification Academies help you prepare for the exams. Individual needs within a district will dictate the range and type of supports that should be considered. 12
13 Our Top Ten Google Apps Challenges 1. Keeping current with new features. 2. Switching between multiple Google accounts on a single computer. 3. Competing with other LEA initiatives for PD time. 4. LEA policy restricting access to some Apps and Social Media. 5. Staff reluctance to migrate from Office to Google Apps. 6. Some extensions come with annual license costs. 7. Finding funding for Google Certification Academy and Tests. 8. Reluctance to share in competitive education culture. 9. Managing usernames and passwords for student accounts. 10.Our biggest challenge is implementation, ensuring that all students with disabilities can access and become proficient with Google tools. How To Get Started? Become familiar with Google PD Resources. Consult with the Technology Department. Start small. Pick one tool, several teachers and 5-10 students. Field test for two months. Collect data. Share results with colleagues and administration.
