2 Tips and Tricks from Getting Content to Learners on the Cheap Using SharePoint People and Groups You can customize permissions in SharePoint. The methodology we used is as follows (excluding SharePoint Administrators who have full control): Owners Designers Members Visitors administer site; add/remove site users, design site, contribute to site, view usage add, modify, delete pages/web parts, contribute to site contribute to site view only Library and List Types Here s a list of the libraries and lists we used on our portal. This is based on SharePoint In SharePoint 2003 the items were either a library or a list. Libraries Communications Tracking document discussion calendar Modify Navigation This is how we customized the quick launch (menu items on the left side of screen) 1. Find the Site Actions drop-down menu 2. Select Site Settings 3. Select Modify Navigation Page 1
3 Scroll down the screen until you find Navigation Editing and Sorting. Here you can add, delete and reorder items. Page 2
4 Web Parts November 3 5, 2010 For our use, we used just two web parts Content Editor Web Part and Page Viewer Web Part. Just think of web parts as containers for your content. The two web parts we used consistently across the site are: Content Editor use for formatted text, tables and images Page Viewer use to display linked content, such as files, folders or web pages Page 3
5 Edit Web Parts To edit web parts, you must first be in page edit mode. 1. Select edit for the web part you want to edit 2. Select Modify Shared web part 3. To edit text, click the Rich Text Editor button Page 4
6 Use the editor tools to make your text look the way you want it to look. When finished, click OK. November 3 5, 2010 It is a good idea to select at least a set width. We have found that setting the object to no more than 800 pixels allows learners to view the page without scrolling horizontally. Note: For this example, there were to objects across the page, one at 500 pixels and another at 300 pixels. Page 5
7 4. Set the Chrome Type a. None is what we use most often b. Border Only is what we use if we want the item outlined 5. When finished editing the web part, click OK Statistics By setting up each elearning course on its own page, we are able to at least measure how many people are at least selecting a page containing an elearning course. 1. Select Site Actions 2. Select Site Settings 3. Select Modify All Site Settings Page 6
8 4. Select Site usage reports You ll get a summary of the site usage. To see specifics for each page, It displays details about destination pages (where people are going). 5. Click Destination pages from the options on the left-side of the page Since I want to know the number of hits on each page, not just the top destinations, I typically export the information to excel. 6. Select the output format 7. Click Export Page 7
9 This is a little hard to see, but basically we were very intentional about where we grouped our pages, so we were able to look for specific URLs to count. Simply sort your column alphabetically to group your like pages together. For example, I can tell that there were 42 hits on the page containing the Kronos class. Do I know that 42 people took and understood the course? No, but I know people are accessing the course page. I can then align this number with the number of people who complete the end of course survey (smile sheet) get a rough idea how many people took the course. November 3 5, 2010 Page 8
