4 EXECUTIVE SUMMARY Deliverable D8.1. intends to describe the project identity and the website of the PROSPECT project ( which was activated in May The present document is divided in two sections together with an Annex and provides the following information: - PROSPECT IDENTITY: this section together with Annex 1- includes the different elements that have been designed in order to create the identity of the PROSPECT project. - PROSPECT WEBSITE: in this section the objective of the public and partnerrestricted areas of the website is explained, with a brief explanation of the content included in the different sections, such as project files, contact information, user access rights and document sharing. 5 1 PROSPECT IDENTITY A set of graphical elements have been designed in order to give identity to the PROSPECT project. The designed elements are the PROSPECT logos and templates for reports, minutes, agenda, and acknowledgement, as well as private and public presentations. These elements have been created with two objectives: - Communication purposes: the right use of these visual elements allows an effective and consistent communication of the project concept and results, i.e. for dissemination actions. - These elements can act as guidelines for the partners to write certain documents such as deliverables without the need of thinking about the document design. The next figures show the PROSPECT logos (which are also shown on the PROSPECT s website). Figure 1: PROSPECT logos Annex1 includes the templates that are used within the project. Page 4 out of 32
6 2 PROSPECT WEBSITE The PROSPECT Website has been designed in line with the project identity and has the purpose of providing detailed up-to-date information about the project as well as regularly updated news, publications and contact information about the partners. Apart from the public site, there is a restricted area just for the PROSPECT partners, in which they can access and share all the relevant internal documentation related to the project. 2.1 PROSPECT PUBLIC WEBSITE Website design The PROSPECT public area is intended to be a contact point for external parties who may be interested in the goal, progress, outcomes and other information about the project. Information about the universities, Research centres and companies who participate in PROSPECT is also shown, and links to their websites are provided. Besides, the website provides links to other relevant projects related to PROSPECT. The general structure of the website is organised in 9 different tabs or sections which are going to be explained in the next chapters: Home About Partners Downloads Links News Events Contact Login area Figure 2: Different sections on the PROSPECT Public Area The acknowledgements can be always seen by the visitor on the bottom centre side of the website: Figure 3: Acknowledgements Page 5 out of 32
7 2.1.2 The Home section The Home section is intended to provide an overall information about the project. Several pictures are shown in order to provide the visitor with a general idea about the project s concept: Figure 4: Example No. 1 that shows the project s concept Figure 5: Example No. 2 that shows the project s concept There are three different subsections included in the Home section: Project description and goals, with a brief explanation of the state of the art, the project s challenge, the main goal and key objectives, and an introduction of the consortium and role of participant partners. News: this section provides information about relevant events related to the project. Consortium Partners: this section provides the logos of the PROSPECT partners as well as links to their webpages. 8 2.1.3 The About section The About section includes more information about the PROSPECT background, objective, structure by Work Packages and results. It is worth giving a summary of these points in order to understand the concept of the project Background The background section explains that a high percentage of the world s road traffic deaths are suffered by Vulnerable Road Users and there is need of solutions in order to reduce the magnitude of the problem Objectives This section explains the general objective of the project, the scope and the five key objectives to be met in order to achieve the overall goal of VRU accident and injury reduction, as well as the technical approach Structure by Work Packages The next figure is displayed in this section and it shows the six technical Work Packages of the project (WP2-WP7) together with a Work Package dealing with the management (WP1), and finally an additional Work Package which involves the dissemination, policy support and exploitation strategy and actions (WP8) Results Figure 6: Project s structure in Work Packages It is expected to obtain four demonstrators at the end of the project. This section shows a list of products that will result from PROSPECT, the partners involved in their implementation, as well as the way such demonstrators will be delivered. Page 7 out of 32
9 2.1.4 The Partners section The Partners section contains the description of the consortium members: the organisation in numbers, Research and Development activity, the department or unit that will participate in PROSPECT, and role in the project. 10 2.1.5 The Downloads section The Downloads section provides access to the next documents by all visitors: Public deliverables: all he deliverables with public character will a public dissemination level will be available to be downloaded in this section. Overall presentation: this section provides an up-to-date project general presentation. Public presentations: this section makes available all the project information that has been presented in different public events such as congresses and conferences. Newsletters: the visitor can register to receive the PROSPECT Newsletter that will be issued in an annually basis. Flyers: this subsection provides the flyers, posters, brochures, etc. designed during the project The Links section This section includes the links to other on-going R&D projects as shown in the following images. Next figure shows information about the R&D projects which received funding from the European Community's Eighth Framework Program (Horizon2020) and developed together with PROSPECT under the topic MG Traffic safety analysis and integrated approach towards the safety of vulnerable road users. Visitors can explore the websites of these projects by clicking either on the project s logos or on the provided website links. Figure 9: Link to R&D projects within TOPIC 2014 MG3.4. 11 Next figure shows information about other R&D projects developed within the same discipline as PROSPECT which have received funding from the European Commission or National Funding Programmes. 12 2.1.7 The Events section On the Events section, both scheduled and past events relevant for the PROSPECT project are listed. Several events have been posted since the activation of the PROSPECT website. They appear classified as either past or scheduled, and order by starting date in descending order. Figure 12: Event s section. Example of past event. In the case of scheduled events, the website visitor can access further information about the event. For example, in next figure they would be redirected to the Transport Research Arena webpage by clicking on the TRA logo. 14 2.2 THE PARTNERS PRIVATE AREA The partners private area is intended to be used as a partner-only document repository. This area can be accessed with a unique user and password which was provided to each partner when PROSPECT started The login page The window shown in next figure appears when the partner clicks on the log in icon: Figure 15: Partner s Private Area: log in window As mentioned before, every partner accesses the PROSPECT private area with a unique username and password. When the user does login, three additional sections can be seen on the screen: address book, all files, and back office. These concepts will be explained in the next sections. Page 13 out of 32
15 Figure 16: Additional sections on Parners Private Area: Address book, all files and backoffice As described in the WordPress documentation ( these are the most relevant access rights to the partner s private area: Subscribers: they can edit their profile. Contributors: they can create and edit posts; however they need publication acceptance from higher-level users (editors or administrators). Authors: they can create, edit and publish their own posts without the permission of higher-level users. Editors: they can write and publish their own posts as well as the posts written by other users. Administrators: they have rights to perform any administration action within the website. Just a user with administrator rights can edit the website and update its content (done via Wordpress editor). In the case of the PROSPECT s website, this can only be done by the project coordinator (IDIADA) so as to centralize the publication of both confidential reports as well as public deliverables, also in order to facilitate the general management of the document uploading. The rest of the PROSPECT partners have been registered as Editors The Address Book The Address book section shows information of the participants in PROSPECT, providing the following fields: Partner (company, university or research centre). Participant s name. Participant s . Participant s phone number if available. Participant s role within the project: LEAR, Administrative, PLSign, Legal, WP-Leader and/or technical. Page 14 out of 32
16 Figure 17:Address book The All files section The All files section provides the PROSPECT s documentation uploaded in the Wordpress server and classified in different categories: contractual documents, deliverables, meeting documents, templates and logos, and Working space documents. 17 Contracts folder The Contract s folder or category contains the next documents at disposal of all the PROSPECT partners: Contact list of participants in the project. Scanned copy of the Consortium Agreement. Grant Agreement Deliverables folder A dedicated folder for the deliverables has been created. In this folder on-going and final deliverables, both public and private will be uploaded Meetings folder The meeting s folder contains the agenda, presentation, minutes and other relevant documentation related to the meetings organized within the project. For example, in the case of the 2 nd General Assembly meeting held in Göteborg (Sweden), the relevant documents have been uploaded as seen in the next figure. 18 Templates and logos This folder contains the PROSPECT logos as well as different reporting templates which are available to be downloaded and used by any partner. These templates are also available in Annex 1 of the present document: Presentation template: it is used to make both internal presentations and presentations for conferences, congresses or external meetings. Deliverable template: it is used as a guideline to write the project deliverables and includes author and version control, list of contents and figures, executive summary, as well as the project s logo and acknowledgements. Agenda meeting template: used to create agenda meetings. Minutes of meeting template: used to write the minutes of the meetings held in PROSPECT Working spaces This area is intended to the day-to-day work within each Work Package. The idea is that it is used as a repository to share internal, non-publishable information between the Work Package participants The Back office section The back office section has two different areas: File browser and an additional Edition Menu. It is aimed to be used by the website administrators or other users who have the appropriate rights to upload, edit and publish posts or presentations The File Browser The file browser allows to create, edit, upload and remove files to/from the already existent categories or folders (i.e. Contracts, deliverables, meeting documents, etc.), or Add new categories to the global folder tree. - + Add Category allows creating a category or folder. - + Add File allows adding a new file to a category (uploading it). Both options are displayed on the bottom left side of the File Browser section. When adding a file or creating a new category, it is important to take into account whether the new information should be accessible to every website visitor (Public) or just to the PROSPECT partners or subscribers (Private). The options +Add Category / Add file It can be seen in the next figure that there is an additional menu displayed on the left side of the screen when clicking on Backoffice. This menu allows managing (writing, editing, publishing and removing) information about the PROSPECT website: files and categories, comments, posts, events, users, etc. The option WP-Filebase gives a fast way to upload documents: the user can click on Upload and select the file from their local site. 20 2.3 WORDPRESS Wordpress is a publishing platform which ease the process of publishing information, with a focus on the website aesthetics, customization, usability and flexibility. There are two different ways of using Wordpress : - Wordpress.com allows the creation of new blogs (Cloud Hosting). - Wordpress.org allows the installation of a software tool that uses a full web host and also provides plugins, widgets, and themes for more functionality and customization. Wordpress.org has being used for the PROSPECT project. The PROSPECT web server hosts the website s files and can be synchronized at any time with a local folder via the FTP protocol. The next information is provided to the website s owner when the website is created: - Domain name. - FTP address. - Username and password. - Server folder or FTP folder to upload the website files.
