3 Installing Insight To install Insight software on your own machine You can download the software directly from the application vendor or from Bucknell. If you are on the Bucknell network go to the departments on Netspace drive and navigate to the folder R:\isr\public\Luna Insight\ The installation files will be in this folder. Move the files to your desktop. PC users please read the following instructions Double-click the installinsight.exe icon on your desktop. Macintosh users please read the following instructions Double-click the Insight Installer icon on your desktop, and click Continue. Drag the Insight Installer icon onto your hard drive. Proceed to page 4 when you are ready. The following are instructions on how to obtain the appropriate file from the vendor if you are unable to obtain the file from the Bucknell Network. Go to the vendor s website. Luna s website is Navigate to the Software Downloads webpage in your browser (Home Support Software Downloads). Home Support Software Downloads 2

4 Under the Luna Insight JAVA Client Download table choose the link with the most recent version (as of this writing it was Version 5.1(18)) and the appropriate platform for your machine (Windows or Macintosh). Save the installer file to your desktop. When it is finished downloading open the file from the desktop: PC users please read the following instructions Double-click the installinsight.exe icon on your desktop. Macintosh users please read the following instructions Double-click the Insight Installer icon on your desktop, and click Continue. Drag the Insight Installer icon onto your hard drive. 3

5 During installation, you will have the option of choosing Typical Installation or Advanced Installation. You must select Advanced Installation. Click Next to continue. Please use the default Insight installation location and location for Insight icons. In the Advanced Settings screen, you will be asked to specify the URL/address for your Insight User Manager. Change this to: luna.bucknell.edu Everything else should be installed without any changes to the default installation settings. 4

6 Connecting to Insight To log-in to the Insight application Open the application Insight 5.1 from the Desktop or from your Start Menu. Wait for Insight to initialize itself. Insight now requires user authentication. You may log in using your file services/bucknell network username and password. This is the same username and password that you use to sign on to computers across campus. Type your Bucknell username into the username field, and your network password into the password field. Click logon to connect. Having trouble logging on? If you have not changed your password in a long time, then you may need to either update or change your password. If you think this is the case, it can t hurt to try. Press Ctrl + Alt + Delete and select Change Password If you do not want to change your password at this time, type in your current password in all three fields and click OK. If you would like to change your password at this time, then type in your old password in the Old Password field. Then type your new password into the New/Confirm Password fields. Wait a minute for Bucknell servers to update your file services settings and then try logging on again to Insight. 5

7 Opening Collections To open a digital collection or collections in Insight After you have authenticated your username and password you will be given a list of several digital collections which Bucknell maintains. You may select as many collections as you like, but being specific will help you find what you are looking for. To select a collection click the checkbox next to its name. When you have finished selecting collections click select. Insight will now spend a few moments loading the collection or collections you have specified. Not sure how to change collections from within Insight? If you have already opened a collection and would like to change collections without exiting Insight and logging in again, click file on the Main Menu at the left of the screen, and click open collection. You will be given the same list to choose from, but in contrast, it will be embedded in the application window instead being displayed in the pop-up window that you see here on your right. 6

8 Main Menu and Group Workspace Understanding the main menu and the group workspace in Insight Once you have opened a collection into Insight, you will see the application s main interface. This contains the Main Menu on the left, and the Group Workspace on the right. Here is an overview of the main menu as it appears in Insight. file edit group data search print return help exit Allows you to open a new subset of collections, manage groups, and export presentations and digital image files. Standard clipboard Cut, Copy, Paste, and Delete for moving images in and out of groups. For selecting images within a group, changing how thumbnails are ordered and displayed. Displays information pertaining to your most recent image selection Limits the thumbnails shown in a particular group by search fields and keywords Prints thumbnails of the selected images in your group to a printer or to a webpage file. Returns to your most recent Image Workspace Opens the vendor s own user guide. This is helpful for exploring the specifics of Insight. Exits the application. The group workspace may have one or more groups in it. A group is simply a smaller collection of images. The following show various group workspaces with different numbers of groups. 9 Insight Interface Overview Understanding the interface You may be already wondering why there are so many levels to Insight s interface. For this reason, examine the following diagram to understand the interface hierarchy of Insight. Things which are marked with an asterisk(*) can be viewed but not modified by you. For reference, the main menu items which pertain to each layer are notated next to each level in the hierarchy. Note that some functions of the program only pertain to a certain layer of the interface. Groups Managing groups As stated earlier, a group is a subset of images from a collection (or even multiple collections). When you first open a collection, all of its images are displayed in one group. This is a pre-defined group and can not be modified. You can however search within it and copy images into a new group. To create a new group choose file new group. A new group window will be created with nothing in it. To move images into your new group, select images (see Selections) from a nonempty group and drag them to the new group or use the clipboard (see Clipboard). To save a group choose file save group as. Unless you are a cataloger, you will not have permission to save the group to Luna s server. However you can still save the group to a local file on your computer. To do this, select Local Folder from the list, and double-click (Browse). You will then be given the operating system s Save As box to save your group. Likewise, to open a group you previously saved choose file open group. Then choose from a pre-defined list of groups, or open a file from your computer by selecting Local Folder and double-clicking (Browse). Having problems opening groups or creating new ones? Insight only permits you to have a maximum of three groups open in your group workspace. If you already have three groups open you will not be able to open any more groups or create new ones. To close a group click the X at the top-right of its window. 8

10 Selections Using the Insight image selection system Selecting images in Insight is like earmarking. When you click an image, it becomes marked (selected), and when you click it again it becomes unmarked. To drag images from one group to another click and hold anywhere in your source group and drag the cursor to anywhere in the destination group. Understand that selection in Insight is not like selection in many other popular computer programs. For example, you might expect clicking in an empty area of the group to deselect your whole selection. However, Insight only deselects the images that you specifically unmark. If your group spreads across more than one page, Insight will keep the selections from all pages until you deselect them. To unselect all of the images in a group you can do this two ways. Right click anywhere in the group workspace and click select none, or Choose group select none. To select all of the images on one page of a group, again, you have two options. Right click anywhere in the group workspace and click select visible, or Choose group select visible. select none pertains to all the images in all the pages of a group. select visible only pertains to the images on one page of a group. Selecting all of the images, unfortunately, is not always possible in Insight. The most you can select at one time is whatever is in current group page (using select visible). For example, if you have 500 images in a group and you want to select all of them, you will have to go through each page and choose select visible (from either the right-click popup menu or from the group menu). Hint on selecting all the images in a group. As you are aware you can not select images from more than one page of a group at one time. However, you can increase the number of images on a single page. This can reduce the number of times you will have to choose select visible. To do click on the box at the bottom-right of the group window (by default it is set to 50). You are able to select up to 250 images to be displayed on a single page. This will reduce the number of pages you have to go through in order to select all of the images. 9

11 Thumbnails Working with thumbnails Before you can view an image, you have to find its thumbnail. Each group window contains pages of thumbnails. You can traverse the pages using the arrows at the bottom-left of the group window. The thumbnail displays a miniature of the full-size image. Beneath the thumbnail, descriptive information associated with the image file is given. You can change what types of descriptive information are shown underneath the thumbnails by choosing group change thumbnail labels. Thumbnail tags can use up to four fields to help aid in identifying images before you select them. Similarly, you are able to sort by data fields. To alphabetize thumbnails by particular data fields choose group sort by. This will bring up a pane similar to the one on the left. For example, if you were looking for something whose title begins with K, then you could sort by Title first, and then navigate through the pages until you find all the images starting with K. 10

12 Clipboard Putting the clipboard to use Every application instance of Insight maintains its own internal clipboard (copy, cut, paste, delete) which can be used as an alternative to the drag and drop method. It works the same way as the clipboard works in a Word document, but only works within Insight (for exporting images to other applications please see Exporting Images). The clipboard works with selections of images only not groups, collections, or anything else. For information about selecting see Selections. When you have a group open and active (when a group is active it is highlighted in a white frame) the clipboard becomes enabled. You can find the clipboard in the edit menu. You have four basic choices: copy, cut, paste and delete. Here is a summary of their functions: copy cut paste delete Places a link to the currently selected images from the active group onto the clipboard for future pasting. Moves the currently selected images from the active group onto the clipboard. Upon pasting, they are transferred instead of copied. Takes image links that are on the clipboard and moves them to the active group. Deletes the selected images from the active group without moving them to the clipboard first. Alternative to edit menu You can also access the clipboard by right-clicking in the group workspace, however be cautious, as the clipboard only pertains to the active group and rightclicking does not select a group. It is conceivable then that you could paste images into a different group because you did not activate (highlight) the group before pasting. Warning Always remember that the clipboard affects only the active group. You can not copy and paste images from multiple groups at once. Likewise, when pasting, remember to make sure that you have selected the right group before pasting. If you make a mistake in a copy and paste, however, immediately choose delete to undo the action (this is because Insight always highlights the results of your new paste). If you make a mistake in cut and paste, simply cut and paste the images back. 11

13 Search Limitation Limiting the viewable thumbnails to keyword and field searches The thumbnails that appear in all the pages of a group are not necessarily always visible. They can be hidden based on search criteria to make navigating through large collections more efficient. The easiest way to limit the viewable thumbnails is to make a selection of only the ones you want to see and then choose show selected from the group menu or by right-clicking in the group workspace. This is effective if you have a small number of images that you want to be visible (this can aid in making presentations too see Presentations) If you have hidden some thumbnails, you can unhide them and show the entire group again by choosing show all from the group menu or by rightclicking in the group workspace. To limit the viewable thumbnails using broader terms, you can use the search menu. When you click the search menu you will be given several options. Depending on the collection you will see different searchable field names, but you will always have the ability to search by title and keyword. For example, in the Classics collection you could search by civilization if you were looking for things from Rome. Searching by field names When you search by a field name, Insight loads a list of possible values. You can then narrow the list down by typing in the first few letters of what you are looking for and choosing list. When you find what you are looking for, double-click the entry, or highlight it and click select. The images in the group will now be limited to just the images that contain that specific search field value. 12

14 Searching by keywords When you do not have a specific image that you are looking for, it can be helpful to do a keyword search. When you do a keyword search, Insight checks the whole record for whatever keyword phrase you type in. To do a keyword search select by keywords from the search menu. Searching by keyword is different from searching by field names in that you will not get a list to choose from. Searching by keywords is much like using Google, but keep in mind that Insight looks for exact matches. If you enter in jar pottery, then you will only get results which contain both words somewhere in the record. Advanced keyword searching Insight is not case-sensitive, but keep in mind that it will not look for other ways of spelling. For example, the region of Arcadia can also be spelled Arkadia and Arcadie. When possible, Bucknell has chosen to use the most accepted spelling of a word. Insight also permits you to use the wildcards * and?. These are used the same as they are in the Find function of Microsoft Word or Excel. The question mark indicates that any single letter can be substituted in, and an asterisk indicates that multiple letters may be substituted. For example, C*n would find things that start with C and end with n (Corinth, Collection, etc.) whereas J?r would probably just find entries with Jar. Advanced searching You can also search from any of the collection s data fields in the same way that you searched by field name before. To do this select data fields from the search menu. You can then choose from the complete list of fields in the collection. When you have selected the field, you must then define the relation. The relation specifies how to compare the value you enter in with the data in the records. This gives you the most flexibility in your search, but also takes more time to set up the search. Depending on the relation that you choose, you may or may not get a list of applicable field values. If you are ever unsure, you can always do a keyword search. 13

15 Image Workspace Viewing images To view an image, click on its thumbnail in the Group Workspace. This will open another application window which is called the Image Workspace. 14

16 Image Workspace Toolbar Every time you open a thumbnail, a new window with the full image will appear in the Image Workspace. Using the toolbar at the bottom-right, you can change how you view the image. Below is a summary of the toolbar functions. Use for moving the windows in the Image Workspace - Arrow Close - Use this to close the active image window Click where you want to zoom in - Zoom In Zoom Out - Click where you want to zoom out This will show you the data in the image s record - Data Pan and Scroll - Changes the viewing frame This will make the image s window larger - Maximize View Minimize View - This will make the image s window smaller Prints the selected image to a printer of your choice - Print Help - Brings you to the Insight Help screen Displays the links between images - Display Links Edit Links - Allows you to define links between images Allows you to measure the physical - Measure and Scale dimensions of objects in the image Click in here to move the viewing frame - Thumbnail Returns you to the Group Workspace - Group Window Hide Toolbar - Minimizes the toolbar in the workspace 15

17 Presentations How to create and export a presentation to a web page or PowerPoint file Making a valid presentation involves three steps. Creating a group of images to use in the presentation Creating and saving the presentation in Insight Exporting the presentation to a file on your computer First understand how a presentation works. It takes all of the images in a group and allows you to order them however you like and display them however you like. If you are not familiar yet with the Image Workspace then please see Image Workspace as you will need to use its functionality to edit your presentation. The following is a diagram of how Insight manages presentations. Group in Insight Image 1, Image 2, Image 3, etc. Presentation A Presentation B Presentation C... Thus presentations are objects within existing groups and only pertain to the images in that group. A presentation can not use images outside of the parent group. You must move all the images you want into the group you are using. Creating a presentation group You must first select the images you want in your presentation and move them all into one group. To do this create a new group (see Groups) and drag all of the images you will use into the new group. Do not worry about the order yet this can easily be changed in the next step. Create the presentation object To start working on your presentation, choose group create presentation. You will be brought to the image workspace and from there you can go through each image and change how they are individually displayed. For example, you may want to show a close up of one part of an image instead of showing the entire image. The toolbar will function exactly as it normally does in the image workspace. You can also choose link to allow two consecutive images to be displayed on the same screen. When you are finished editing your presentation choose save. If you do not save the presentation, you will not be able to export it. Export the presentation to HTML or PowerPoint. Go back to the Group Workspace and you will see a blue icon in your group. To create a web page presentation choose file create presentation to HTML. To create a PowerPoint presentation choose file create presentation to PowerPoint. When you export a presentation you will be able to choose the target screen resolution. For most computers this will be 1024x768. You will then choose the filename for your presentation. 16

21 Exporting Images To export a collection image to a file on your machine Sometimes you may want to export single or multiple image files to your computer so that they can be used by other applications (word processing, , etc.). To do this, select the images in your group you want exported. Then choose file export selected. You will then be able to choose what resolution you want to export as. The higher the resolution, the better the quality. For printing, choose the highest resolution available. For viewing on a screen or webpage you may want to choose a medium resolution. For a thumbnail size file, use one of the smaller resolutions. The following show different resolutions
