1 W.connect Quick Reference Guide Intro W.connect is a browser-based system used by dealers, their advisors and their investors. It offers a visually rich interface with graphs, interactive links, and live reports. As a webpage, W.connect can be easily accessed from anywhere an internet connection is available. Winfund uses the same centralized database for all applications. This means that data is transferred in real time between head office administration and end users who are accessing their information through W.connect. 2 Navigating through the application Navigating through W.connect is simple and intuitive. The main menu tabs are located at the top of the screen, and action items related to each tab are found on the left-hand side of the screen Section 1 These are the main sections of the program. Section 2 This section displays the breadcrumb, which is the screen you are currently working in Section 3 This section displays the sub-menu action options. The sub-menu options are dynamic based on which section of the program you are in. Section 4 This section displays the search options that can be selected. Section 5 This section displays the search results. Exploring the W.connect menus Dashboard This menu displays a number of dashboards that your dealer may make available to you. My Clients This menu is the most commonly used menu when you are in the W.connect application. It is where you perform the majority of tasks during the day. This can include: Performing bulk searches from the Inquiry section Viewing your clients information and investment holdings from the Account Management section Reviewing your clients trades from the Trading section Reports This menu is where you can produce client statements, client lists and labels, asset and other business management reports, and commission statements. Apps & Forms This menu is used to print blank applications and forms from the dealership, MGA, fund companies and intermediaries. (Note: Pre-filled applications and forms can be printed from the My Clients > Account Management menu link). Resources This tab provides you with access to export client account data to 3 rd party sites. In addition, it provides information about the funds that are managed through the Winfund system. News This screen is used by Head Office to post global communications to all users. Setup This screen allows you to select your preferred default screen when logging into W.connect, and to change your password. W.connect 101 v2 Page 2 of 16

3 How to search for a client To perform a basic search for a client, select the My Clients tab and then select Account Management from the left-hand toolbar. This is the default screen for most users check out the section How to change your system preferences to find out how to change your default screen. Enter your client s information into the search fields provided and click on the search icon results. to view your For example: Find all your clients by leaving the search criteria blank, or find a specific client based on their first or last name. Tip: If you don t know the exact spelling of the client s name, you can enter the beginning of their name followed by an asterisk. For example, entering Sm* as the last name will return clients John Smith, Philip Smythe and Maxwell Smart. How to perform an advanced search You can narrow your search to a specific set of criteria using the advanced search option. This will display a Show option, which must also be selected in order to see the advanced search options. For example: Use the Advanced Search to find clients with a birthday coming up in the following month, clients that hold Intermediary registered plans, or clients that hold a particular investment product. 4 How to see a client s plans After having selected a client from the My Clients > Account Management section, click on the Plan menu item to see a list of the selected client s plans (i.e.: OPEN, RRSPs, RRIFs, RESPs etc ) along with their description and properties. Tip: The Plan Beneficiary screen can be accessed from the plan sub-menu. How to see a client s fund account holdings From the My Clients > Account Management section, click on the Investments menu item to see a list of the investments held within the selected plan along with their description and properties. Use the Plan drop-down menu at the top of the screen to change the view to see investments held in other plans for the client. W.connect 101 v2 Page 4 of 16

5 How to see the notes added to a client s file From the My Clients > Account Management section, click on the Notes menu item to see a list of notes added to the client s file in Winfund. Notes can be added to a client, plan, fund account, or even a particular transaction. How to see the documents added to a client s file Documents can be scanned and saved to a client s file within Winfund. From the My Clients > Account Management section, click on the Client Documents menu item to see a list of documents that have been saved to the client s file in Winfund. Tip: Click on the Open link from the View column to see a copy of the imaged document. How to use the pre-filled applications & forms Winfund offers a comprehensive library of applications and other forms that can be pre-filled with a selected client s information, saving you the time of having to complete them by hand. There are two sections of pre-filled forms: Generic and Fund Company. The Pre-filled Generic Apps & Forms section is where you will find your dealer s internal forms as well as government forms, and explanations on some of the RoR formulas available within the program. 6 The Pre-Filled Fund Company Apps & Forms section is where you will find a list of various fund company and intermediary applications and transaction forms. From the My Clients > Account Management section, click on one of the Pre-Filled Fund Company Apps & Forms menu items to see a list of the available forms. With a client selected, click on the link of the form you would like to generate. The form will be generated with the client s information already pre-populated. Tip: Click on the Highlight Fields button on the top right-hand corner of the form to see which fields can be manually typed into. Tip: Use a PDF printer driver to be able to save information typed directly into the form. This is a great way to complete a form before ing it to a client. W.connect 101 v2 Page 6 of 16

7 How to find details regarding a transaction From the My Clients > Account Management section, click on the Trading menu item to see a list of trades corresponding to the plan and account selected from the drop-down menus at the top of the screen. The list of historical trades for the selected investment will be displayed chronologically in descending order. To view the details of a particular trade, select from the list of results and click on the Transaction Detail menu link. For example: The transaction details will provide such information as the wire order #, units transacted, commission amount, and any incurred fees. W.connect 101 v2 Page 7 of 16

8 How to perform a bulk search Use the Inquiry section to return lists of clients, plans, accounts, transactions, and/or any other items you have access to view. To perform a bulk client search: From the My Clients section, click on the Inquiry menu link to bring up a screen where a bulk client search can be performed. Enter the search criteria into the fields provided. You can further narrow your search criteria by selecting the Use Advanced Search option. This will display a Show option, which must also be selected in order to see the advanced search options. Click on the search icon to display a list of clients that meet your search criteria. This list can be printed or exported to Excel using the icons at the top of the screen. Tip: Perform a specific search for clients and add them to your Special List in order to produce a report for them. To search for plans: Use the same steps as above in the Inquiry > Plans screen to perform a bulk search of plans. For example: All RRSP plans, all plans opened this year etc To search for Investments: Use the same steps as above in the Inquiry > Investments screen to perform a bulk search of accounts. For example: All fund accounts held in AIM s Global Technology fund, all accounts held in front-end load funds, all GIC accounts, all fund accounts held in RESP plans etc W.connect 101 v2 Page 8 of 16

9 To search for transactions: From the My Clients > Inquiry section, click on the Transactions menu item to bring up a screen where a bulk transaction search can be performed. Enter the search criteria into the fields provided. Click on the search icon to display a list of transactions that meet your search criteria. For example: Use the date search fields to produce a bulk list of transactions for the past day, week, or year. Tip: Click on the corresponding hyperlinks under the client name, plan, fund account, or trade date to see its properties. To search for notes: Use the same steps in the Inquiry > Notes screen to perform a bulk search of notes relating to all clients. For example: All client or transaction notes or notes created in the past week. To search for client documents: Use the same steps in the Inquiry > Client Documents screen to perform a bulk search of documents scanned and attached to your clients files. For example: All client or transaction documents or documents attached in the past week. W.connect 101 v2 Page 9 of 16

10 The Special Client List This feature allows users to bookmark clients in order to quickly toggle back and forth between them (using the right click menu). It can also be used to create a list of clients to use as the criteria for a bulk report. From the My Clients > Inquiry section, return a list of clients based on your desired search criteria. Select a client or clients from the search results by tagging them. Right click, and select Add To Special List to have the client(s) added to the special list. To view the clients added to the list, right click, and select the View Special List option. To remove a client from the Special List, select the client, and click Remove Selected. To remove all clients from the Special List, click Remove All. Click Close to return to the main screen. W.connect 101 v2 Page 10 of 16

11 How to view/print client related reports Various client statements, lists, and other reports are available within W.connect. To access them, click on the Reports main menu tab. Search for and select the client, or tag a group of clients, for whom you would like to generate a report. Select the report of your choice from the list provided. Choose the desired report options and generate the report. Once generated, most client reports can either be printed or exported to a PDF file. The following client reports are currently available in W.connect: Account Statement Account Summary Report Asset Mix Report Client KYC Client Label Client ROR Report Client Transactions Detailed Client List Do Not Call List FATCA Report GIC Maturity Notice KYC Review Date Portfolio Report How to view/print a performance report for your clients The most popular choice for a client report is the Client ROR report. From the Reports > Client section, select the client or clients you wish to generate the report for using the search fields provided. On the sub-menu at the left of the screen, click on the Client ROR Report. Select the report parameters and options from the appropriate fields and click on Generate Report. Remove all performance options if you would like to generate a simple client report or add columns based on your preferred performance calculations. For further information regarding the options available in the Client ROR Report ask your Head Office for a copy of the Client ROR Guide. Tip: Access a shortcut to the ROR report by right clicking while working in the My Clients screen and selecting Client ROR Report from the menu that appears. W.connect 101 v2 Page 11 of 16

12 How to view/print administrative related reports From the Reports > Administrative section, search for and select the client, or tag a group of clients, for whom you would like to generate a report. Select the report of your choice from the list provided. Choose the desired report options and generate the report. Once generated, most client reports can either be printed or exported to Excel. The following administrative reports are currently available in W.connect: Advisor Commission Summary Advisors List Assets by Advisor Assets by Client Business Activity Commission by Type Commission in Detail Daily GIC Transaction Electronic Del. Adoption GIC Maturity By Rep Manager Commission Summary Transaction Commissions Transaction Reports Transfer Tracking Summary Tip: Use the Assets by Advisor report and select the Show Details option to produce a report that will list your assets with each supplier. Tip: Remember to use your Special Client List to produce a bulk report for multiple clients! How to view/print your commission statement From the Reports section click on the Dealer Generated sub-menu. Select the report dates from the appropriate fields and click on the search button. A list of statements will appear, each one corresponding to a pay period. Click on the available hyperlink to view the report. Note: Reports will only appear here if your head office has created them and posted them for you. Tip: Advisor and Manager access level users can only view reports that are linked to their respective codes. W.connect 101 v2 Page 12 of 16

13 How to export to Winfund s 3 rd party software partners W.connect gives you the ability to export client portfolio information to 3 rd party software programs. Click on the Resources main menu tab. Select the 3 rd Party Partners submenu and click on the desired 3 rd party partner software program. Follow the prompts to export to your selected program. 3 rd Party Partners Export to Vision Works Export to Fundata Export to GlobeAdvisor ProStation Export to PlanPlus Export to wportfolio Export to Kronos Setting up 3 rd party partner user login: Before exporting to a 3 rd party partner software program for the first time, you must set up your login credentials for the 3 rd party program in W.connect. In the 3 rd Party Partners sub-menu, click on the 3 rd party partners link. Select the desired application from the drop down box provided. Enter the User ID and Password information provided by the 3 rd party partner and click save. Any 3 rd party partners that have been set up will appear in the list. 14 How to find a fund price From the Resources section, click on the Fund Price List sub-menu link to view the Fund Price Listing web page as shown here: Use the Fund Supplier and/or Code dropdowns to select the fund for which you would like to see the price. Enter the Date From and To fields to get the prices for a specific time frame. Click on the search icon view. to How to view product information Supplier and product information can be easily retrieved from W.connect s Resources section. Resources section click on the Product List sub-menu. From the Enter the supplier code and any other criteria into the available fields and click on the search button. 15 Quick Links Shortcuts to commonly used websites are available in the Quick Links section. Additional websites may have been set up by your head office. Calculators For the purpose of this guide, we list which calculators are available, but do not undertake to explain how to use each calculator as these tools are not provided by Winfund. Stock Quote This link will allow you to view stock quotes provided by Yahoo Canada. How to change your system preferences and password: Change Preferences From the Setup section click on the Preferences sub-menu located at the left of the screen. Once you are in the Preferences screen, by default the News option is selected. You can change the My Start-Up Page section to your preference. The start-up page will be the first page you see after logging into W.connect. Change Password From the Setup section click on the Change Password sub-menu located at the left of the screen. Enter your password into the Old Password field. Enter the new password into the New Password and Confirmed Password fields and click on the OK button to apply the change.
