3 Welcome You now have access to the university s photo library, Extensis. It allows us to share all the photos we have taken professionally for marketing purposes. With Extensis access, you will be able to view and download images from any web browser connected to the WSU network for your project needs. 4 Connecting to Extensis How do I access Extensis? 1. Visit 2. Then use your WSU credentials (your WSU username and password) to login. 5 Using Extensis A. Main tool-bar The main tool-bar is displayed across the top. Options in this tool-bar allow you to download images and create contact sheets. (The more photos you select for a contact sheet, the longer time it will take to create.) B. View, Sort, and Find Use QuickFind to search keywords, or switch to Advanced Find to search for items using a number of criteria. To use the Advance Find function, click on the folder icon to the right of the search box. C. Organizers panel The Organizers panel at the left side of the window allows you to select one of the catalogs that are available to you, then displays the galleries and folders within that catalog. D. Main window The main window displays item thumbnails and data within the catalog you are viewing. When you select a catalog, gallery, or folder in the Organizers panel, the main window displays the items within your selection. Photo Library Guide 5

6 Catalogs & Galleries Catalogs are like folders on your computer. The Catalog holds all the sub-folders (which are referred to as galleries) related to the main catalog. Galleries are the sub-folders within the catalog. Example: If you are looking for a(n) image(s) within 2016, it will be in the 2016 catalog. 7 Finding Photos and Logos What can I find in Extensis? Images that meet the following criteria: Not taken with a cell phone Crisp/sharp images No duplicates Subjects with a photo release forms on file, unless at a public event Tagged with at least 5 keywords Not more than 3 years old Brand Logos: University Athletics Sub-brands Photo Library Guide 7

8 Finding Photos and Logos Select the catalog from which you would like to search. You can use the drop down menu on the left-hand side (the Organizers panel) to select a catalog. After you select a catalog, you can enter a keyword into QuickFind s search field. QuickFind is the easiest way to search for photos and logos. It is located in the upper right-hand side. It searches the file name, description, and keywords. A list of searchable keywords has been provided at the end of this document. Photo Library Guide 8

9 Preview Mode Preview mode allows you to view an image or logo in a larger view. In this view, you can also download using the Download button on the upper right-hand side. If you are unsure which button it is, hover over it to see the text. Photo Library Guide 9

10 Downloading The download menu allows you to download original photographs and logos. This menu can be found on the main menu tool-bar. Click on the Download Originals text to download a photograph or logo. Once you click, a window will pop-up asking if you would like to download the single file or continue adding files to the jobs panel to download later. If you choose to download the single file, it will ask you where on your machine you would like to save the photograph or logo. If you choose to add the file to the jobs panel, the pop-up will close and you can continue searching. The jobs panel is located in the main menu tool-bar. This is where all the photographs or logos are waiting to be downloaded. You can select multiple images to download at once. You also can right click on a thumbnail image to download. 11 Contact Sheets Contact sheets allow you to print multiple photographs on a sheet of paper. This is useful for reviewing options on a printed sheet of paper before downloading individual files. To create a contact sheet, select the images you would like to print. Then on the main menu bar, click on a Make PDF. It gives you options for 1 image to 16 images per page. The more images you select to create into a contact sheet, the longer it will take for the computer to produce. Photo Library Guide 11

12 Using Images Where should I use my images? You can use your images: In templates In Publications and Printing Services projects Digitally Can I modify the images? You can modify the images, but we strongly advise you not to stretch or change the aspect ratio. How do I credit the images in certain publications? All images, if needed, should be credited to the Worcester State Marketing Department. Photo Library Guide 12

14 Keywords Below are a list of keywords you can use to find images in Extensis. These keywords will automatically fill in the search bar in extensis. Start typing a keyword and see if it appears. If it doesn t, images have not been tagged with that keyword in the catalog you are searching. Make sure when searching you select all items on the upper left hand side under the year you select to get the best results.
