5 Overview Cityworks Analytics allows you to quickly create detailed reports using the information in your database. These powerful reports are used to graphically analyze your organization s performance. This out-of-the-box product comes with 14 reports that are already created you just need to setup the connection to your own database so that the reports reflect your organization s information. This guide will cover: The prerequisites for installing Cityworks Analytics How to install PowerPivot How to connect Cityworks Analytics to your own database How to refresh the database connection so that the reports display the information from your database How to create your own charts Tips and tricks for using Cityworks Analytics NOTE: The start year for Cityworks Analytics is configured when you set up your Server site. To verify the start date, go to C: \ inetpub \ wwwroot \ <website name> and open the WebAppSetting.config file. The start year is in the CWBI Start/End Year Configuration section. 6 Prerequisites These are the things you ll need to run Cityworks Analytics: Cityworks Server 2014 with a Cityworks Analytics license NOTE: This product requires separate licensing. If you are unsure of your current licensing, please contact your customer service representative. SQL Server bit OS with 8+ GB memory 64 bit Excel 2010 and PowerPivot NOTE: A 32 bit OS with Excel 2010 and PowerPivot is also okay. If you re using a 64-bit version of Excel, Cityworks Analytics can use up to 4 GB of data in memory and the Excel file can be as large as 2 GB. If you re using a 32-bit version of Excel, it can use up to 2 GB of data in memory and the Excel file can be as large as 700 MB. 2 Prerequisites Cityworks Analytics 2014

7 Install PowerPivot Open your web browser and go to NOTE: The system requirements for PowerPivot are listed on this webpage. Make sure that your system meets the requirements before downloading PowerPivot. Select the appropriate files to download. o o If you have a 64 bit OS, select the 1033\x64\PowerPivot_for_Excel_amd64.msi option. If you have a 32 bit OS, select the 1033\x86\PowerPivot_for_Excel_x86.msi option. Click Save File. Once the file has downloaded, open it. Click Run. Cityworks Analytics 2014 Install PowerPivot 3

9 Download Cityworks Analytics To download Cityworks Analytics, go to mycityworks.com. Go to Resource and Download Center > Cityworks 2014 > Software Downloads > Server and PLL. Click the Cityworks Analytics file to download it. Cityworks Analytics 2014 Download Cityworks Analytics 5

10 Database Connection Setup First, we need to connect to your database. Double-click the template to open it in Excel. If you re using SQL Server, you will need to open the CWASql.xlsx file. If you re using Oracle, you will need to open the CWAOracle.xlsx file. NOTE: The Cityworks Analytics folder will be located inside your Downloads folder. Unzip the folder to view its contents. When you first open the template, it will display data from a sample database. You will need to redirect the data source to your own database. In Excel, click the PowerPivot tab. Click PowerPivot Window. PowerPivot will open in a new window. In PowerPivot, click Existing Connections on the Design tab and select the Cityworks Database SqlServer option. 6 Database Connection Setup Cityworks Analytics 2014

12 Enter your Server name. Select Use SQL Server Authentication and enter your User name and Password. Select the Save my password check box if it is not already selected. Select your Database name. Click Test Connection. Once the test is done, you ll receive a notice like the one below. Click Save. 14 When the Refresh is complete, click Close. Now Cityworks Analytics is connected to your database. The next step is to connect to your data feed. 10 Database Connection Setup Cityworks Analytics 2014

15 Data Feed Service Connection Setup Next you will need to change the data feed service connection to your own data feed. Return to the Existing Connections window and select Cityworks DataFeedService. Click Edit. Cityworks Analytics 2014 Data Feed Service Connection Setup 11

16 Enter your Data Feed Url. The path for your data feed URL can be found at name>/<website name>/ Services/DataFeedService.svc/. Click Save. In the Existing Connections window, click Refresh. 12 Data Feed Service Connection Setup Cityworks Analytics 2014

17 When the Refresh is complete, click Close. Click Save. Now Cityworks Analytics is connected to your data feed. The next step is to refresh the connections. Cityworks Analytics 2014 Data Feed Service Connection Setup 13

18 Refresh the Connections It is necessary to refresh the connections so that the graphs will display the information from your database and data feed service. IMPORTANT: Do not click the Refresh All button on the Data tab it does not work. Follow the steps below to correctly refresh your data source. Return to Excel and click the Data tab. Click Connections. Click the Refresh drop-down list and select Refresh All. When the Refresh is complete, your data will now display in the charts and graphs. Click Save. NOTE: From now on, when you need to refresh the connections, you can use the Refresh All button on the Data tab. It s only during the initial setup that you should not use this button. 14 Refresh the Connections Cityworks Analytics 2014

19 Now you are ready to use Cityworks Analytics. It comes with several reports (similar to the examples below) that have already been created for you to use. Cityworks Analytics 2014 Refresh the Connections 15

20 Create Your Own Charts Cityworks Analytics comes with 14 reports that have already been configured for you. If you wish to have more reports, you can create your own. Close the PowerPivot window. Click one of the empty charts on any of the preconfigured templates. This will open the PowerPivot Field List on the right side of the screen. Click Refresh. PowerPivot will now refresh all of the templates. This may take several minutes depending on your computer setup and the size of your database. NOTE: If the PowerPivot field is blank or grayed out, you will need to turn off and then re-enable PowerPivot. See the Enable PowerPivot section of this document for more information. On the PowerPivot tab, click the Pivot Table arrow and select PivotChart. 16 Create Your Own Charts Cityworks Analytics 2014

21 Select New Worksheet and click OK. You will notice two new worksheets on the bottom of the worksheet toolbar. One is for the data and the other one contains the chart. You cannot delete the datasheet, but it can be hidden by right-clicking it and selecting Hide. Now we are ready to create our first chart. In this example, we ll create a chart titled Work Orders Initiated by Asset Group. Click the empty chart. This will open the PowerPivot Field List on the right side of the screen. 22 Click AssetGroup and drag and drop it into the AxisFields box. Click Count of Initiated WOs and drag and drop it into the Values box. Now we have a graph showing the amount of work orders initiated for each asset group. 18 Create Your Own Charts Cityworks Analytics 2014

23 Next, we ll cover four ways of modifying the basic chart we just created: slicers, axis fields, legend fields, and legend fields with slicers. Slicers Slicers are a quick and easy way to filter data in a chart. For this example, let s say that we want to filter this chart by year. Expand the TblTime folder in the PowerPivot Field List. Click Year and drag and drop it into either the Slicers Vertical or Slicers Horizontal box. The only difference between the two is where the slicer box appears in relationship to the chart. After you have dropped the Year field into one of the two slicers, the slicer box will display. By selecting or deselecting the years in the slicer box, you will see a difference in the composition of the chart. To remove a slicer, or any added data, go to the PowerPivot Field List and right-click and select Remove Field. There is another way to add a slicer, which is explained below. On the Analyze tab (under PivotChart Tools), click Insert Slicer. Cityworks Analytics 2014 Create Your Own Charts 19

24 NOTE: The PivotChart Tools tabs are only available when the chart is selected. If you do not see the Analyze tab, make sure the chart is selected. You can select any number of slicers you would like. They are added as free-floating windows that have all of the same functionality of the slicers we created above. TIP: You can find more information about slicers here: Axis Fields Adding the Year field to the Axis Fields box can create different graphs depending on where the Year field is placed. The chart below shows the chart that results when the Year field is the last field in the list. It is grouped by asset group and then by year. 20 Create Your Own Charts Cityworks Analytics 2014

25 Placing the Year field first in the list results in the chart below. The data is grouped by year and then by asset groups. Legend Fields Another way to add the Year field into this slicer is to use the Legend Fields. Expand the TblDate folder in the PowerPivot Field List. Click Year and drag and drop it into the Legend Fields box. Cityworks Analytics 2014 Create Your Own Charts 21

26 This creates a legend next to the chart that the user can manipulate. Legend Fields and Slicers This option combines the use of Legend Fields and Slicers. Add the Year field to both a slicer box and the Legend Fields box in the PowerPivot Field List. The output will look the same as above, but now the graph can be changed simply by selecting different years in the slicer box. More than one slicer can be added to a chart. For example, you could also add a slicer for work order priority. The chart below shows work orders from 2008 and 2009 that have a priority of Create Your Own Charts Cityworks Analytics 2014

27 Additional fields can also be added to the Legend Fields. The example below shows the Legend Fields box with Priority and year included with a Year field slicer. This shows priority 1 and 3 work orders in the years 2008 and There are many more combinations that can be created with PowerPivot. All of the preceding configuration options can be combined to make different charts. For more information on editing chart features and chart appearance, see Tips and Tricks. 28 Pivot Tables Pivot tables are a quick way to show statistics about fields off of data based on user defined inputs. PivotTables can be created on their own or with an accompanying chart. On the PowerPivot tab, click the Pivot Table arrow and select Chart and Table. Select New Worksheet and click OK. This example will have a chart that shows work orders closed by asset group. To set up this chart, click the empty PivotChart and populate the PowerPivot Field List as follows: Add Year to the Slicers Vertical field. Add Year to the Legend Fields field. Add AssetGroup to the Axis Fields field. Add Count of Closed WOs to the Values field. 24 Pivot Tables Cityworks Analytics 2014

29 The PivotTable will be used to show the data in more detail. The table in this example will show work orders closed by each asset group, and it will also break down the data by year and month. Click the empty PivotTable. When working with tables, the PowerPivot Field List has different boxes in this case, Column Labels and Row Labels. Any field can be added to either of these boxes, which will affect how the table looks. You will notice that the slicer you used for the chart is automatically placed in this list as well. This allows that slicer, and any others you have added, to control both the chart and the table. Add AssetGroup to the Row Labels box in the PowerPivot Field List. 30 This will create the beginning of the table and it should look similar to below. NOTE: Some empty asset groups were deleted using the filter option. See Sorting for more information. The table shows the overall work order count for all years. If you would like to make it match the chart, add the Year field to either the Column Labels box or the Row Labels box in the PowerPivot Field List, depending on what you want the table to look like. When there is more than one field in the Row Labels box, the fields can be ordered to produce different results. Fields are sorted from top to bottom. In the example below, the left side shows the results sorted by AssetGroup. The right side shows the results sorted by Year. 26 Pivot Tables Cityworks Analytics 2014

31 Since the same Year field is used in both the table and the chart, the Year slicer can be used to control both the chart and the table at the same time. Add or remove years by clicking on them. Add the MonthSort field to the Column Labels box in the PowerPivot Field List. See Tips and Tricks for more information on customizing your charts and tables. 32 Tips and Tricks This section contains more advanced concepts for further modifying charts and tables. Enable PowerPivot If you open Excel and the PowerPivot tab is not visible, PowerPivot may have been disabled. To enable it, follow these steps: Navigate to File > Options > Add-ins. Select Com Add-ins from the Manage drop-down list and click Go. Select the box next to PowerPivot for Excel to enable it. NOTE: If the box is already selected, click to clear it, click OK, and then return to the main screen. Repeat these steps to enable PowerPivot again. Sparklines Sparklines are small graphs that display next to tables to give a snapshot representation of the data in each row. Select the data you would like to create a sparkline graph for. You only need to select data for one row you can easily expand the data later. Click the Insert tab and select which type of sparkline you would like. Select the cell that you would like the sparkline placed in. TIP: The first open cell next to your table is a good place for the sparkline. Click OK. Now you have a sparkline created for one row of data. To add the sparkline to the rest of the data, follow these steps: Select the cell that contains the sparkline. 28 Tips and Tricks Cityworks Analytics 2014

33 Hover the mouse over the lower right corner of the cell until the plus sign turns solid. Click and drag down to add the sparklines to the rest of the data. After adding sparklines to the rest of the data, you can customize them. Select a sparkline cell. Click the Design tab. From there you can change the color of the lines, change the type of sparkline, and add different colors to signify high and low points. For more information about sparklines, watch Excel 2010 Sparklines at Sorting There are a variety of reasons to sort the data that you already have in a chart the two most common being: There are null values in the data that do not need to be presented. To make the chart look more aesthetically pleasing. To sort, click the funnel icon next to the field. It will show a list of data that you can use to select what is displayed. 34 You can also use this button to arrange the data. Below you can see that supervisors are ordered alphabetically. To view more sort options, click the funnel icon and select More Sort Options. 30 Tips and Tricks Cityworks Analytics 2014

35 Hide Field Buttons To hide the field buttons, right-click and select Hide Value Field Buttons on Chart. TIP: To hide all of the field buttons at once, select Hide All Field Buttons on Chart. To view the buttons again, go to PivotChart Tools > Analyze tab and click Field Buttons. Select the desired buttons to show. Cityworks Analytics 2014 Tips and Tricks 31

36 Hide Spreadsheets Once you start creating charts, you will notice that Excel automatically creates a spreadsheet for each chart. Eventually these data spreadsheets will start to fill up your spreadsheet toolbar. To get rid of them, right-click and select Hide. 32 Tips and Tricks Cityworks Analytics 2014
