13 Setting Your Time Clock Preferences Chapter 2: Setting Your Time Clock Settings and Configurations A terminal must be pre-added to the Paychex account in order to sync the time clock. Complete the following steps to add a terminal to the system: 1. Log into the system and browse to Configuration. Figure 1 - Admin Configuration 2. From Configuration, click on the Hardware link to browse to hardware. Figure 2 Hardware Terminals 3. Click the + (plus sign) to add a terminal. 14 Setting Your Time Clock Preferences 4. Enter a terminal description and choose the Generic Terminal type. If available, you can copy from another Generic Terminal setup. Figure 4 Add Terminal Screen 5. The Hardware Terminal ID is listed when the terminal has been added. Figure 5 Hardware Terminal ID Terminal Configurations Follow the instructions below to configure the terminal in the system. Terminal Setup 1. Use the Idle Prompt 1, 2, and 3 fields to set up to three custom prompts to be displayed on the screen of the Iris recognition time clock. 2. Type a unique numeric security code in the Configuration Code field to secure the employee time clock. Important: This code is required to access Supervisor Mode on the employee time clock. However, Clock Administrators can simply scan their eyes and press the Lock key to access the Supervisor Mode. 2-4 Invision TM Iris Time Clock User Guide
15 Setting Your Time Clock Preferences Options 1. Select the Hardware Zone To Be Uploaded to the time clock. The default zone is All Employees. 2. Select the correct Time Zone for your time clock. Labor Level Setup When defined, and assigned, labor levels are presented at the clock for the employees to choose from during punching, transfers and when entering pay adjustments. 1. Check the Display Only Assigned Labor Levels checkbox if you want employees to only be prompted with assigned labor levels at the time clock. If left unchecked, employees will be prompted with all defined labor levels, whether assigned to them or not. 2. Select a detail for Default Labor Levels. This will be the Labor Level default for punch and pay adjustment transactions. The default setting is Allow Employee s Default. Invision TM Iris Time Clock User Guide 2-5
16 Setting Your Time Clock Preferences 3. Click the + (plus sign) to add Labor Level Prompts. This is what appears at the clock when the employee punches. Note: Labor Level prompts are required for a labor level to be prompted at the time clock. Terminal Mode 1. Check the Enable Swipe & Go checkbox for employees to be clocked in automatically without selecting whether it s an IN punch or an OUT punch. This provides a simple and quick method to punch at the employee time clock. 2. Check the Reject Punch Within checkbox to enable the rejection of the same type of punch entered at the time clock within the specified minutes. Type the number of minutes in the Minutes field. Keypad Options 1. Check the Allow Lunch checkbox to allow employees to clock In and Out of lunch at the employee time clock. 2. Check the Allow Break checkbox to allow employees to clock In and Out of break at the employee time clock. 3. Check the Allow Labor Level Transfers checkbox to allow employees to transfer between labor levels at the employee time clock. Labor level prompts are displayed during Transfers and when Clocking IN for the day, from Break or from Lunch. 4. Check the Prompt on Clock In checkbox to prompt employees for labor levels when clocking IN for the day. 5. Check the Prompt on End Break checkbox to prompt employees for labor levels when clocking IN from break. 6. 17 Setting Your Time Clock Preferences 7. Check the Allow Numpad Entry checkbox to allow keypad entry of the employee number (PIN) or employee badge number at the employee time clock. If unchecked, employees will not be able to use the keypad. Pay Adjustments 1. Check the Allow Pay Adjustment Entries checkbox to enable pay adjustment entry at the employee time clock. With pay adjustment entries enabled, an employee should be able to scan their eyes at the time clock and then use the Up or Down arrows to scroll through the options and select the right pay adjustment by pressing the Enter key. 2. Select Ask for Pay Adjustment ID if you want employees to be presented with all the pay adjustments to choose from at the time clock. 3. Select Use Default Pay Adjustment if you want a specific pay adjustment to be presented to employees at the time clock. Select the default pay adjustment from the dropdown options. 4. Check the Prompt on Pay Adjustment check box for employees to be prompted for labor level selections when leaving a pay adjustment at the time clock. 5. Check the Pay Adjustment Prompt Enabled checkbox to enable pay adjustment prompts when employees are clocking IN or OUT at the time clock. 6. Select the pay adjustment type to be prompted at the time clock from the Prompt Pay Adjustment Type dropdown options. 7. Check the Prompt on Clock In checkbox to prompt for a pay adjustment when an employee is clocking In for the day. 8. Check the Prompt on Clock Out checkbox to prompt for a pay adjustment when an employee is clocking Out for the day. 9. Check the Prompt on Begin Break checkbox to prompt for a pay adjustment when an employee is clocking Out to break. 10. Check the Prompt on End Break checkbox to prompt for a pay adjustment when an employee is clocking In from Break. 11. Check the Prompt on Begin Lunch checkbox to prompt for a pay adjustment when an employee is clocking Out to Lunch. 12. 18 Setting Your Time Clock Preferences 13. Check the Prompt on Transfer checkbox to prompt for a pay adjustment when an employee is transferring to a different labor level. Iris Scanner 1. Select the volume level of the Iris Scanner from 0 to 5 in the Volume Control dropdown. (5 being the loudest) Update Terminal 1. Enter the frequency in minutes that the terminal will be updated and synced with the following system settings. 21 Downloading Employees and Using Iris Recognition Entry Chapter 3: Downloading Employees and Using Iris Recognition Entry Employees will be downloaded from the Paychex account to the time clock once it has established a connection to your Paychex account. Choose your Connection Option There are multiple connection options to access your time clock in no time: Easily connect to your wireless network over WiFi. If the InVision device will be installed at a location where a number of devices rely on a wireless connection, consider connecting the time clock to your network with Ethernet. Wireless 1. If the Ethernet cable isn t connected on boot up, the display states Press (Lock symbol) key for Network Setup. 2. Press the Lock key to access the Network Settings. 3. Use the arrow keys to find Wifi Settings. Press Enter. 4. Find View Networks. Press Enter. 5. Choose a Network. Press Enter. 6. Enter the Network Password. a. Use the logo key to change the character mode to lowercase, uppercase, # or symbol. b. Press Enter to accept a single character. c. When complete, press Enter to save the password. 22 Downloading Employees and Using Iris Recognition Entry Ethernet 1. Plug one end of the Ethernet cable into the Ethernet port located on the bottom of the clock. 2. Connect the other end of the Ethernet cable into an available port on your router, switch, or wall port. 3. Power up the time clock using the included power supply. Note: The amber and green Ethernet lights turn on where the cable plugs into the clock. This verifies the time clock is connected to your network. If the lights don t turn on, check the cable connections. Enter Client Alias and Terminal ID 1. On boot up, Client Alias displays with a blinking cursor. 2. Enter the client alias by pressing the Up or Down arrow keys to scroll through the letters and click Enter to select the right letter. Enter numbers using the keypad. 3. Click Enter to submit. Verifying. Then Verified displays. 4. Once the client alias is verified, Hardware ID displays. 5. Enter the hardware ID number using the keypad. 6. Click Enter to submit. Verifying. 24 Downloading Employees and Using Iris Recognition Entry Dept. Transfer - Used by the employee to transfer to a different labor level or into a department. In/Out - Used by the employee to punch in or out. Iris Reader - Used by the employee to punch in or out with iris recognition verification. Enrolling Employees Iris Employees must enroll their iris in order to begin clocking In and Out. Follow the instructions below to enroll employees. 1. Enter the Supervisor Mode on your employee time clock terminal. Press on the time clock. Enter the security configuration code. Note: Clock administrators can access the Supervisor Mode by scanning their eyes and pressing the button on the time clock. 2. Use the Up or down arrows to scroll until you find Enroll Employee. 3. Press Enter 4. Enter the employee PIN or badge number when prompted, Press Enter to submit. 5. The employee should center their eyes in the scanner's mirror. If the scan was successful, you will get a verbal confirmation and Enroll Success will be displayed. If the scan was unsuccessful. Scan Failed will be displayed and you will be prompted to try again. 6. 27 Chapter 4: Clocking In and Out This section describes employee functionality at the clock including: Clocking In and Out How to clock In and Out with a PIN, proximity badge, or through the web browser Transfer to break or another departments Entering Tips and Job numbers Punching In and Out The employee procedure to punch in and out at the time clock may vary depending on the entry method selected. Refer to Chapter 3: Setting Up Your Employees, for additional information. Iris Recognition Entry Tips for Best Iris Recognition Quality Manually tilt the iris reader up or down to align eyes in mirror for preferred alignment. Enrollment should be done without glasses. They can use their glasses for identification in the future. Identify Mode Identify Mode allows the employee to scan their iris for clocking In/Out without entering a PIN first. 1. Scan the enrolled employee iris. The employee name displays on the time clock. Under the display name, In or Out is flashing. 2. Press the corresponding In or Out key on the time clock. After the punch is accepted, a message displays stating they punched in or out. 3. If the iris recognition is rejected, tips for improving the quality of the scan displays on the clock. Verify Mode 1. Enter the assigned PIN/badge number on the time clock terminal. The employee name displays on the time clock and the employee is prompted to scan their iris. 2. After the employee successfully scans their iris, In or Out is flashing. 3. Press the corresponding In or Out key on the time clock. After the punch is accepted, a message displays stating they punched in or out. Invision TM Iris Time Clock User Guide 4-3
28 Clocking In and Out Swipe & Go When enabled, swipe and go enables employees to be clock in automatically without selecting In or Out. 1. Scan the enrolled employee iris. The employee name displays on the time clock. The message "Punch Recorded" is displayed under the employee name. The punch is recorded as a subsequent punch of what was previously recorded, either In or Out. Proximity Badge Entry Refer to Chapter 5: Alternate Employee Entry Options, for instructions on assigning and using proximity badges. Tracking Paid Breaks InVision Iris allows better management of employee paid breaks. Tracking paid breaks allows you to better manage the time your employees are taking during their paid break periods. To track time that an employee spends on their paid break, the terminal must be set up to allow break tracking as discussed in Chapter 2. To transfer into the break department, follow the instructions below. 1. Enter the assigned PIN/badge number on the time clock terminal, or wave the proximity badge in front of the number pad. 2. Look into the scanner when prompted, to scan your eyes. 3. Press Out then use the Up or Down arrows to scroll to the Out to break option. Press Enter to select. 4. The message Punch Recorded will be displayed on the time clock once the transaction is complete. 29 Clocking In and Out To transfer out of the break department and back to work: 1. Enter your PIN/badge number at the time clock terminal, or wave the proximity badge in front of the number pad. 2. Look into the scanner when prompted, to scan your eyes. 3. Press In then use the Up or Down arrows to scroll to the In from break option. Press Enter to select. 4. Select labor levels if prompted to do so. 5. The message Punch Recorded will be displayed on the time clock once the transaction is complete. 30 Clocking In and Out Department Change (Punch In and Transfer) InVision Iris can track time spent by an employee in a particular department. Employees can be assigned to multiple departments and will be prompted to select their department when punching In. Once the employee has been assigned to their departments, follow the instructions below for transferring to the department. 1. Either, a. Scan your iris then press In. Or, b. Enter the assigned PIN/badge number at the time clock or wave the proximity badge in front of the number pad and scan your iris when prompted, then press In. 2. Use the Up or Down key to select In for the Day, In from Lunch, or In from Break. 3. Use the Up or Down key to select the applicable department. 4. Press Enter. By pressing the Department Transfer key, the employee can quickly transfer from one department to another. 1. If an employee needs to punch out of one department and into another department, either, a. Scan your iris then press In. Or, b. Enter the assigned PIN/badge number at the time clock or wave the proximity badge in front of the number pad and scan your iris when prompted, then press In. then press the Department Transfer key. 2. Use the Up or Down keys to select the desired department. Press Enter to punch into that department. The employee is automatically punched out of the previous department. Entering Tips, Job Numbers or Piece Counts InVision Iris allows an employee to enter additional data at the clock (Pay Adjustments) on either an In or Out punch. These employee Inputs are used to track employee tips, piece counts, or job numbers. Follow the instructions below to collect Pay Adjustment data. 31 Clocking In and Out 1. Scan your iris, enter the assigned PIN/badge number, or wave the proximity badge in front of the number pad, then press In. 2. Select the punch type: In for the day, In from Lunch, or In from Break. 3. If multiple departments are assigned, use the Up or Down key to select the applicable department. 4. Press Enter. 5. When prompted, enter the Pay Adjustment value. 6. Press Enter to Submit. The Time clock will display Transaction Recorded. Collecting Pay Adjustments on an Out Punch 1. Scan your iris, enter the assigned PIN/badge number, or wave the proximity badge in front of the number pad, then press Out. 2. Select the punch type: Out for the day, Out to Lunch, or Out to Break. 3. Press Enter. 4. When prompted, enter the Pay Adjustment value. 5. Press Enter to Submit. The Time clock will display Transaction Recorded. Collecting Pay Adjustments Without a Punch 1. Scan your iris, enter the assigned PIN/badge number, or wave the proximity badge in front of the number pad. 1. Use Up or Down to scroll though the options until you find the right pay adjustment. 2. 35 Alternate Employee Entry Options Chapter 5: Alternate Employee Entry Options Assigning Proximity Badges to an Employee Proximity Badges are assigned at the employee time clock terminal. Follow the instructions below to assign your proximity badge to an employee. 1. Enter Supervisor Mode at your employee time clock terminal. Press on the time clock. Enter in your security code. Note: Clock administrators can access the Supervisor Mode by scanning their eyes and pressing the button on the time clock. 2. Scroll through the options using Up or Down until you find the option Assign Badges and press Enter. 3. The time clock display prompts to enter the ID number. Use the keypad to enter the ID number (PIN) of the employee and press Enter. 4. Wave the badge in front of the time clock keypad (the 6 key is the optimal location to wave the badge). The clock displays Assigned when the badge has been assigned to the employee. 5. The employee can now use the badge to punch In and Out. Repeat the steps above for each employee. Note: To reassign a currently used badge, select the new employee in the Assign Badges menu, enter the PIN of the new employee, and wave the badge. A Badge Already Assigned message displays. Press Enter to reassign the badge. Punching In/Out Using Proximity Badges Wave the badge next to the keypad of the time clock terminal to punch In or Out. 39 Maintaining Your Time Clock Chapter 6: Maintaining Your Time Clock Learn to maintain your time clock for optimal performance Downloading offline punches from your time clock Creating a Data Backup Punches are scheduled to be sent to the Paychex Flex Time account every minute. If the time clock is offline, punches are stored in the clock until a connection with the Paychex Flex Time account is established. Offline punches can be downloaded to a flash drive as a CSV file. A flash drive is a portable device that you can purchase at any computer store. Follow these directions to create a backup of your time clock data using a USB flash drive Downloading Data to a USB Flash Drive 1. Plug the USB flash drive into the bottom of the time clock. 2. Enter Supervisor Mode: Press on the time clock. Enter your security code. Note: Clock administrators can access the Supervisor Mode by scanning their eyes and pressing the button on the time clock. 3. Press Up or Down until the DOWNLOAD PUNCHES option displays. 4. Press ENTER. The clock displays Downloading Punches... and then Download Complete, then Remove Drive 5. Once punches are downloaded, you will be prompted to delete punches off the clock with the following prompt. Delete Punches IN: Yes, Out: No. Note: The backup file saved on the USB flash drive is called savepunches_yyyy-mmdd.csv. This file can be renamed and transferred to a folder on your main computer. 40 Maintaining Your Time Clock Updating Your Time Clock Occasionally, Paychex releases new updates for your employee time clock. These updates are provided for free and often include new features and improvements. Automatic Update Service The Iris Recognition time clock performs automatic software/firmware updates when a new update is available. The update service runs from 1:00 a.m. to 4:00 a.m. local time and checks for updates daily. 43 Time Clock Terminal Supervisor Mode Chapter 7: Time Clock Terminal Supervisor Mode Advanced Supervisor Mode Options Customize Network Settings Reset Software Admin Password Log Into Supervisor Mode 1. Enter Supervisor Mode at your employee time clock terminal: Press on the time clock terminal. Enter in your security code - the default security code is " ". Note: Clock administrators can access the Supervisor Mode by scanning their eyes and pressing the button on the time clock. 2. Scroll through the options using Up or Down. 3. Press Enter, when you find the option you would like to view. 4. To exit Supervisor Mode, press Clear. Supervisor Mode Settings Enroll Employee Enroll employees Iris so they can use the Iris recognition to clock In and Out. (Chapter 3). By default, both eyes are enrolled for all employees; to enroll a single eye for a specific employee, set their Eyes Enrolled setting to Left or Right in their Employee Profile, Access tab. 44 Time Clock Terminal Supervisor Mode Look up the Ethernet IP address assigned to the clock. Also allows for assigning a static IP address, subnet mask, gateway, and DNS. o To assign a static IP address, follow the instructions in Chapter 8: Assigning a Static IP Address to the Time Clock. o To erase all network settings and revert back to DHCP so that the router will assign the IP address, set the IP address to Wi-Fi Settings Set IP Address Look up the Ethernet IP address assigned to the clock. Also allows for assigning a static IP address, subnet mask, gateway, and DNS. o o To assign a static IP address, follow the instructions in Chapter 8: Assigning a Static IP Address to the Time Clock. To erase all network settings and revert back to DHCP so that the router will assign the IP address, set the IP address to View Networks Allows you to view wireless networks in range, connect to a wireless network, or switch to a different wireless network. Refer to Chapter 8: Connecting Your Time Clock, for instructions on connecting wirelessly. Assign Badges This option is used when assigning a proximity badge to an employee. Refer to Chapter 5: Alternate Employee Entry Options, for instructions on assigning proximity badge. Set Date/Time 1. From Supervisor Mode, scroll through the options using Up or Down until you find the option Set Date/Time and press Enter. 2. The Set Date option displays. The Month field flashes. Use Up or Down to select the current month, and press Enter. In the Day field, use Up or Down to select the current day of the month and press Enter. In the Year field, use Up or Down to select the current year and press Enter. 3. The Set Time option displays. The Hour field flashes. Use Up or Down to select the current hour and press Enter. In the Minute field, use Up or Down to select the current minutes and press Enter. In the AM/PM field, use Up or Down to select either A for a.m. or P for p.m. and press Enter. 7-4 Invision TM Iris Time Clock User Guide
45 Time Clock Terminal Supervisor Mode 4. Once the new time and date is set, Date/Time and Set Successfully displays on the time clock display. You are taken back to Supervisor Mode menu. Press Clear to exit Supervisor Mode. Set Time Zone Set the correct time zone for your local time. View Serial # Shows the unique serial number assigned to the individual time clock terminal. View Version # The version number refers to the software version currently installed on your time clock. New software updates are pushed out to the time clock automatically. Refer to Chapter 6 Updating Your Time Clock. Download Punches This option is used to download offline punches. Refer to Chapter 6 - Downloading Data to a USB Flash Drive. Factory Defaults Erasing all memory resets the clock back to factory default. Follow the instructions below to Erase All Memory. 1. From Supervisor Mode, scroll through the options using Up or Down until you find the option Factory Defaults and press Enter. 2. Use Up or Down to scroll through the options, Reset Setup, Reset Network, Reset All. Press Enter to select one of the options. 3. Reset Setup: This will erase the data on the clock including the Client Alias and Terminal ID data, with the exception of network settings information. a. The time clock will display Reset Setup IN: YES, OUT: NO. b. Press IN to confirm and erase all the data in the clock with the exception of network settings. Invision TM Iris Time Clock User Guide 7-5
46 Time Clock Terminal Supervisor Mode 4. Reset Network: This will erase the network settings information only and leave all other data intact. a. The time clock will display Reset Network IN: YES, OUT: NO. b. Press IN to confirm and erase all the network settings including Wi-Fi network credentials. 5. Reset All: This will erase all the data on the clock and return it to factory defaults. a. The time clock will display Reset All IN: YES, OUT: NO. b. Press IN to confirm and erase all the data in the clock and return it to factory defaults. Run Diagnostics Download a log file and send to our support team, in instances where we must troubleshoot your system. Connect Now Connect Now will immediately connect and sync your time clock to the Paychex Flex Time account. 49 Chapter 8: Connecting Your Time Clock Multiple connection options to access your InVision Iris time clock in no time: Connect to the Clock Easily connect to your wireless network over WiFi. For a faster more reliable connection, connect to your Network with Ethernet. WiFi Connection To connect the InVision Iris time clock via WiFi follow the instructions below. 1. Enter Supervisor Mode at your employee time clock terminal. Press on the time clock. Enter your security code. The default security code is Note: Clock administrators can access the Supervisor Mode by scanning their eyes and pressing the button on the time clock. 2. Use the up or down arrows to scroll until you find Network Settings. 3. Press Enter. 4. Find WiFi Settings. 5. Press Enter. 6. Use the up or down arrows to scroll until you find View Networks. 7. Press Enter. A list of available wireless networks displays. 8. Use the up or down arrows to scroll until you find the appropriate network, then press Enter. 50 Connect to the Clock 9. When prompted, enter the wireless network password using the up or down arrows to find the first character of the password, then press Enter. Note: The default mode for the password is alpha lower case. To change the mode to upper case, # or symbol, use the logo key and press Enter to accept a single character. When complete, press Enter to save the password. 10. Repeat step 9 until all characters of the password have been entered. Connect to the clock. 11. Press Enter. When connected, a confirmation displays with the IP address. Ethernet Connection You can connect your time clock directly to your network for a faster and more reliable connection than wireless can offer. 1. Plug one end of the Ethernet cable, provided in the package, to an available port on your router, DSL modem or switch. 2. Connect the other end to the Ethernet port on your time clock. 3. Plug the time clock into the power. Wait for the time clock to fully boot up. 4. If previously configured to connect to a Paychex account, the time clock will briefly display the LAN IP address and then display the Date and Time, otherwise it will prompt for the Client Alias. 8-4 Invision TM Iris Time Clock User Guide
51 Connect to the Clock Enter the Client Alias and Terminal ID On Initial boot up, the time clock will display, Client Alias. 1. Enter the client alias by pressing the Up or Down arrow keys to scroll through the letters and Enter to select the right letter. Enter numbers using the keypad. 2. Press Enter to submit. Verifying then Verified! displays. 3. Once the client alias is verified, Hardware ID displays. 4. Enter the hardware ID number using the keypad. 5. Press Enter to submit. Verifying then Verified! displays. 6. Once you ve completed these steps, Processing Data, Please Wait displays. 7. When setup is complete, the idle display shows the Date and Time. Supplemental Instructions Assigning a Static IP Address to the Time Clock Assign a static IP address to the time clock along with the subnet mask, gateway address and DNS address. Your Network Administrator should be able to provide you with this information. 1. Determine an available IP address to be assigned to the time clock. 2. Enter the Supervisor Mode on your employee time clock terminal. Press on the time clock. Enter the security configuration code. Note: Clock administrators can access the Supervisor Mode by scanning their eyes and pressing the button on the time clock. 1. Scroll through the options until you find the option View IP Address - press Enter. 2. The current IP address of the clock will appear. Press Enter again. 3.
