4 1.0 System Start up The system starts up with eight (8) main buttons on the screen: 4
5 1.1 Function of Icons The function of each icon is described in the following table. Icon Name Description H. 323 client Interconnect with other H.323 based video conferencing system or MCU. E.g. Polycom, Tandberg, Vidyo, Cisco, Spranto etc. Crystalview HD client Proprietary RSW protocol for multipoint HD client with real time document conferencing. Skype Proprietary Skype protocol. CliteHD Web-based Videoconferencing Solution System Configuration Reboot Use for: I. System diagnosis II. Network Configuration To reboot the system Turn Off To turn off the system Recorded Videos To view list of recorded videos 5
6 1.2 System Configuration 1) Click the System Configuration button: System configuration 2) The following page will appear 6
7 1.2.1 General a) General page shows the current condition of the system. Note: The summary above shows the condition of the system when the system is working perfectly. 7
8 1.2.2 Audio & Video a) This page will be used for audio and video testing. b) Click Test Speaker button to test the speaker. c) Say something to test the microphone. The responding spectrum should show that the device is working. d) Click Test Camera to test the camera. The camera display will be shown. 8
9 1.2.3 Date & Time a) By default, the date will be following the date of the system. b) To change the date or time, simply adjust the date and time of your time zone and click Update Date / Update Time button. c) The changes will be saved immediately. 9
10 1.2.4 Network Important: 1) If you are using a DHCP network a) Select Obtain IP address automatically. b) IPv4 address will be allocated to the system automatically. c) Check the Internet Status: Important: i. Connected to Internet Good configuration ii. No Internet Bad configuration. Please check with the network admin. 10
11 2) If you are using a non-dhcp network a) Select Use the following IP address b) Insert the given IPv4 address, Subnet Mask, Default Gateway and DNS. c) Click Apply. d) Check the Internet Status: Important: iii. Connected to Internet Good configuration iv. No Internet Bad configuration. Please check with the network admin. Please ensure you are connected to Internet before closing the system configuration. Important: 11
12 3) IPV6 configuration (optional) can be made for those who choose to use this type of network. 12
13 2.0 Video Conferencing System 2.1 H.323 Client Call an Unsaved Contact Below is the main page of the H.323 client, with several options in hand. To call an unsaved contact, key in the IP address of the particular contact and click on the dial icon. Insert IP address here Click to call Video recorder Settings Address book Quit to main page 13
14 2.1.2Address Book The address book can be found by clicking on directory Contacts list 14
15 2.1.3Call a saved contact on H.323 Client To call on H.323, simply highlight the contact and click on call. 15
16 2.1.4 Delete a Contact from the Directory To delete, highlight the contact you wish to delete, then click delete. 16
17 2.1.4 Add a contact on H.323 To add a contact, click add. 17
18 A small window will appear, insert details of new contact then click apply. 18
19 2.1.5Options Note: The settings are set to default. Do not change if not required to. User is required only to choose suitable bandwidth. Choose suitable bandwidth 19
20 2.1.6 Keypad The keypad can be used to key in the conference room number when required..numbers 2 and 8 represent the option to move up and down respectively On call options There are two icons on the bottom left of the H.323 client. The icon on the left is to disable/enable the speaker, while the icon on the right is to mute/unmute the microphone. Mute or Unmute Microphone Mute or Unmute Speaker 20
21 2.1.8 Content sharing Click on the icon on bottom right to share content with others in the conference. A window will appear. Choose the file you wish to share then click open. 21
22 Document is then shared across conference with all participants. Please note that your MCU (Multipoint Control Unit) must be able to support document sharing for this feature to be used. 22
23 2.2 Crystalview HD Client Click on to launch Crystalview HD Client. To get started, option page has to be configured (One time configuration) Options Important: Username and default password come with the registered license To change your password Enter the server name or IP address Server port is set to default Joining to the conference anytime Use for local video conference (No internet connection required) For non-dhcp client Set the number of active conference parties Set the quality of the video Not used. For advance technical purposes. For DHCP client. Check your internet setting in system configuration 23
24 Note: The settings are set to default. Do not change if not required to. 24
25 2.2.2Login Login to NLTVC server Network indicator Exit the client Option page Network Indicator: Connected to network Identifying the network No network / disconnected/ cable unplugged Limited connectivity Please check the network setting in System Configuration page if the network is unavailable. Important: 25
26 2.2.3Call Point to point calling. A directory will be shown, with the available users. Please refer to the Directory section. 26
27 2.2.4Directory a) Select by available user by ticking or double clicking on the name. b) Click INVITE button c) Conferencing session has been started d) The person who initiated the conference will be referred as Chairman. While others are referred as Participants. Important: 27
28 2.2.5Multiparty Multipoint video conferencing session with 1 active or 2 active users. See section [3.2.1 Option] for the configuration. a) Click the MULTIPARTY button. b) A directory will be shown. See section [ Directory] to invite the users for conference. 28
29 2.2.6Conference Info Information of each invited user Local view Remove the user from conference Put the user ON AIR Put the user ON QUEUE Mute the microphone Mute the speaker Speaker volume controller End the conferenc Switch off the local view Invite more users Video quality ON AIR User will be able to speak and see each other ON QUEUE User is put on queue before ON AIR JOINED Invited users joined in the conference INVITED Invited users 29

31 2.2.7 Mute Microphone By default, the microphone is on (un-muted). Un-muted Muted A notification with icon will be shown on the screen if the microphone is muted. 1. Mute Speaker By default the speaker is on (un-muted). Un-muted Muted A notification with icon will be shown on the screen if the speaker is muted. 31
32 2.2.8End the call Click to end the conference. Once the conference ended successfully, the following screen will be shown: 32
33 2.2.9Document Conference During a conference, documents can be shared with all participants. The chairman of the conference must click FILE to access document that is to be shared. 33
34 Once the document has been opened, chairman will have to click SEND ALL in order for all participants to view document. For others to view 34
35 In a situation where a regular participant (not chairman) wants to share a file, the chairman will have to click DELEGATE and give authority to that particular participant. Allow others to share the document To have a full screen view of document, click on the icon below. 35
36 2.3 Skype Click to launch Skype. Individual Skype Name and Password are required to sign in to Skype. 36
37 2.3.1 Make Call Step2: Click Call Step1: Select a user in Contacts Make Video Call Refer to section [ Make Call] and click on Video Call button Answer Call This option will not turn on your video. 37
38 2.3.4 Answer Call with Video This option will turn on your video Decline This option will end the call from remote party. 38
39 2.3.6 Sound Test Step1: Select Echo / Sound Test Service The following page will be shown and you will be required to speak. Your own voice will be played back. This indicates you have good microphone.. 39
40 Important: If you do not hear your own voice, please check your microphone: 1) Is the microphone plugged into the correct port? 2) Is the microphone muted? 3) Is the microphone powered by battery? The battery might be drained from time to time. If none of the 3 options could help, please get a new microphone. 40
41 2.3.7 Camera Test Click on Tools: Select Options 41
42 Go to Video settings: Good configuration of the camera 42
43 2.4 CliteHD Click to launch CliteHD. Individual User Name and Password are required to initiate a conference in CliteHD. 43
44 2.4.1 Create Room Step2: Enter credentials and click Login Step1Click on Create Meeting Button Invite Individuals 44
45 2.4.3 Join a Conference Step1: Click on Join Meeting Button and enter the room name Step2: Enter the password, if any 45

47 3.0Bandwidth monitoring indicator When there is a sudden drop in bandwidth, the system will inform you of the percentage of bandwidth drop that it is experiencing at that specific time. The following symbol will appear on the bottom left corner of your screen. 47
48 4.0Recording Function 4.1Recording a video To record conference, simply look for red circle and click as shown below 4.2 View Recorded Videos To view recorded videos, click on the symbol as shown below 48
49 Below is an example of a list of videos that have been recorded. To watch a video, simply click on it. 49
50 4.3 Managing Recorded Videos To manage a video, click on EDIT and you will find that three (3) options appear. 50
51 4.4 Rename a Video To rename video, click as shown below. 51
52 4.5 Save Video into External Storage Device To save video into an external storage device, click on button shown below, then choose your device before clicking on OK. Save to other devices External device Click to save 52
