1 To join a meeting from your computer: WebEx Meeting Instructions The Episcopal Diocese of Wyoming 1. Click Join WebEx Meeting in the meeting invitation mail you received. The Meeting Information page opens in your web browser. 2. Enter your name and your address. 3. Click Join. You are connected to the meeting. ***The first time you start or join a meeting the WebEx Meeting Manager application is automatically downloaded to your computer. In most cases, you will be able to immediately proceed to your meeting. If you are having trouble joining, look for the following: ActiveX download prompt Java download prompt Mac users download prompt ActiveX download Internet Explorer users When you click the link to start or join your meeting, the WebEx Meeting Manager application begins to download to your computer, but may stall. If so, do the following: 1. Look for a yellow ActiveX add-on install prompt, perhaps near the bottom of your screen. 2. Follow the on-screen instructions to install the add-on. Once the installation is complete, your meeting will load. Attempt to join using Java Firefox and Chrome users When you click the link to start or join your meeting, the WebEx Meeting Manager application begins to download to your computer, but may stall. If so, a message may appear regarding Java, perhaps to download and install the latest Java version. Although you can follow the on-screen instructions to download and install Java, we recommend that you click Install the meeting application located at the bottom of the page. You will be able to successfully join your meeting much faster. Install an add-on for a Mac When you start or join a meeting on a Mac for the first time, you are prompted to download and install an add-on. 1. Select Download and Install Add-On and download the Cisco_WebEx_Add-On.dmg file to your computer. 2. Run the downloaded file: On Chrome, you can select the downloaded file from the bar at the bottom of the browser. On Safari, you can select the downloaded file from the Downloads section. On Firefox, you can either open the file directly or save it to a location of your choice.

2 3. Run the Install Cisco WebEx Add-On.app and follow the instructions on the screen. After the installation is complete, the meeting will start automatically. You will see this screen as you are getting logged into the meeting: Figure 1 Meeting Center: This window is where the meeting will take place. Figure 2

3 To Connect to Audio WebEx Audio lets you use either your telephone or your computer to hear others and to speak in your meeting: Telephone you can use your telephone to dial in. Note that this option typically provides good voice transmission, but may have a cost attached. Computer you can use your computer s built-in audio equipment, external equipment such as the Logitech device used at the group WebEx sites throughout the diocese, or a headset connected to your computer to join the audio portion of the meeting. 1. Click the audio button to connect to audio as shown in Figure 3. Figure 3 2. Select one of the following options: Click I Will Call In Then... Dial the phone number shown on your screen. When prompted, use your telephone keypad to enter the access code, and the Attendee ID shown on your screen. Call Using Computer If you need to adjust your speaker and microphone settings, click More Options + Change Settings.

4 Figure 4 Figure 5 Use your computer to connect to audio (Figure 4) In the Meeting Center window, select Call Using Computer. A headset icon appears next to your name in the participant list to indicate that you are using your computer in the audio conference, and a mute icon appears next to the video icon so that you can mute or unmute your microphone as desired. Fine-tune your microphone and speaker settings (Figure 5) If you are using your computer to connect to the meeting audio, you can fine-tune your microphone and speaker settings to optimize your audio experience. *This is where you will choose the Logitech or other external equipment, if you are hosting a Diocesan-wide WebEx meeting. The Speaker/Microphone Audio Test walks you through testing your devices, and setting your speaker volume and microphone level. It is recommended that when you first start or join a meeting, you manually test and adjust your sound device before you actually start using your computer for audio.

5 Use your telephone to connect to audio After you join a meeting, the Meeting Center window will appear automatically. Select I will call in from the dropdown menu. Figure 4 shows this option listed above the option to call using computer. You will then call in from your phone to the number provided in your invitation . A telephone icon appears next to your name in the participant list to indicate that you are using your phone in the audio conference, and a mute icon appears next to the video icon so that you can mute or unmute your microphone as desired. Mute and unmute microphones (Figure 6) You can quickly mute and unmute your microphone using the button shown in Figure 6. To start sending video Select the video icon beside your name (Figure 7). 6 Figure 7 To change your camera settings click the gear icon as shown in Figure 8. *This is where you will choose the Logitech equipment, if you are hosting a Diocesan-wide WebEx meeting. Figure 8

7 To change to full-screen (Figure 9) Hover your mouse over your video feed until the double-arrow icon is displayed. Click the icon to change into full-screen mode. Press Escape on your keyboard to exit full-screen mode. Figure 9 To Join a Meeting From Your Mobile Device 1. Open the invitation on your mobile device and tap Join WebEx Meeting. If you have previously installed Cisco WebEx Meeting App on your mobile device, it will launch automatically. Otherwise, you will be taken to the installation page. Follow the prompts to install the Cisco WebEx Meeting application on your device. 2. Enter your login information and password, if required. You are connected to your WebEx meeting. 3. You can connect to the meeting's audio conference by receiving a call to your phone or, if you have a WiFi connection, by using VoIP. Make a selection by tapping an audio option. If you have not entered your phone number previously, when you tap Call Me, you will be prompted to enter a phone number for your call back. Depending on your default audio settings, the meeting might call your device automatically. Accept the call to be connected to the meeting audio.
