1 Logging on! Double click the R Roster Shift requests shortcut on your desktop or enter the address in Internet Explorer- you may wish to save this as a favourite or create a shortcut In the database box make sure the Rostering Live Account is selected. Then input your user name and password and click the login button On the front screen there is now a forgotten password? option. You can only use this to reset your password if you have a Cardiff & Vale UHB address. Once logged in you will be taken to the screen below. This screen shows your current planned roster and information on annual leave remaining and taken. On the left hand side is the Dashboard which is effectively a menu. Fulfil Cover It is now possible to book yourself directly onto bank shifts using R-Roster: Your account first needs to be enabled to allow selection of outstanding cover requests, this is normally set up for a group of wards, or a directorate. 2 You will see a new button Fulfil Cover (other visible buttons may vary). After selecting this, the display will default to show shifts available on your base ward but you may switch to a different location in the list. Hovering on the visible shifts will display more details or clicking on the shift will populate the boxes on the right. To book yourself onto a shift click Allocate me. Provided the system is happy with your selection it will allocate you and the shift will disappear from the calendar. Your grade must exactly match that displayed and the shift must not overlap with any other or break any preset rules. If there is an issue you will receive a warning notification. Unfortunately, at this point the system does not make it very clear that you have been allocated the shift. To check that you have in fact been allocated the shift go to the dashboard and the shift should now appear in your allocations screen. As it is a bank shift it will be enclosed in a black boundary. Hover over the shift to check the details. You may double check and get the reference number by clicking on the view allocation details icon at the top right corner of the screen and entering the correct date range. Page 2 R-Roster v /05/2016
3 If you have any query regarding the shift or wish to cancel it then please contact the bank office Notify Availability If you would like to notify the temporary staffing department of availability that you have to work bank shifts you can do this via R Roster. Select the notify availability option on the left hand side of the screen above My Information. The screen below is then loaded. On the left hand side of the screen you can click on the calendar button and select the date you would like to view. Under the date selection there is a list of locations that you can chose from (the default will be your substantive area). You can either select individual locations from the list by clicking on the location name or you can select all locations. To select the days you would like to notify for your availability for just click on the day and a selectable list will then appear on the right and you can select the shift type you are able to work. 4 Then click save and the calendar view will be updated to show the shift you have just added. Working Requests This is the one option on the dashboard that you will use the most. In this section you make requests to work certain shifts or to take days off. From the main screen (dashboard) on the left hand side is Working Requests. Click this option and the screen below is what is shown. A calendar like display is shown defaulting to the next available roster period. If you wish to move to the next or previous period then click on the arrows under the date on the left hand side of the screen or to jump to a future date click on the calendar icon and a selectable calendar will be displayed. You can only select days that are in solid outlined boxes. Those prior to that period show as faded, as they have been locked out when the rostering manager has begun processing the requests for that period. The number of weeks displayed on a page and the length of time ahead that you can request will depend on your wards set-up. To select a shift, click on a day (or days), a selectable list will appear on the right where you can choose the appropriate shift type or day off. When making a request please ignore the Request Reason, however Request Priority must be entered. The default is Would Like [0] or you can choose Prefer [3] or Must Have [5]. The numbers indicate the cost in points in making that priority. You only have a fixed allocation of points in a period after which your choices will be processed as Would like s. You should reserve the use of Prefer [3] or Must Have [5] until you really need to ask for a particular day. Optionally you may enter a text message into the comments box, informing the ward manger of why you want this particular shift or day off. We recommend always entering text for Must Haves. 5 Click Save and the display will be updated and your requested shift placed on the calendar with an R next to it indicating that it is a request. If the cursor is moved onto a shift then the full details will be displayed. To put in multiple requests for one day just click onto the day as you would above and enter another request. You can look at shifts requested by other staff by clicking the Other Staff Requests box on the left hand side of the screen. When the roster manager or deputy processes the roster, the system will either approve or decline your request depending on staffing requirements, the request priority, work rotation and policy. Approved shifts will then be displayed with a tick next to them, declined with a cross. The ward manager may optionally enter text against a shift to state why it may have been declined. When you have finished you may log out or exit. My Information This page contains information on your address, contact details, contract details and the location in which you work. You are unable to change any information on this page. If the information shown is incorrect please speak to your ward manager. Page 5 R-Roster v /05/2016
6 Overview Within the My Information screen click Overview. This screen is for information and shows you any requests that you have made to work specific shifts/days etc. You can change the period of which this screen shows by using the month and year boxes at the left hand side of the screen. Timesheet This enables you to select any time period by clicking on the calendar boxes and for the dates selected this will show you the breakdown of hours worked (including enhanced hours, overtime, study leave or annual leave.) Attributes This shows you the courses that you have been on and the date that they need to be renewed. Working Summary From the main My Information screen select Working Summary This screen is also for information and shows you a summary of what shifts you have worked. At the left hand side of the screen it displays the dates that the summary is for. This screen is very similar in appearance to the Overview screen shown above. Absence Summary From the My information screen select Absence Summary. This screen is also for information and shows any annual leave or days off that you have taken. You can change the period that is displayed the same as on Overview. This screen is also very similar in appearance to the Overview screen. Request Overview From the main My Information screen, click on the Request Summary This screen is also for information and shows you the number of requests you have made. It then shows you the number of shifts you requested that you must have, strongly prefer or would like. This screen allows you to monitor the points you have used during a given time period.
