1 Classroom Setup Guide Crystal Reports Beyond the Basics - Version 12.0 Crystal Reports -- Beyond the Basics is taught as a separate class, not as part of any other class offered by Sage Software. References to the Product References to the product in the trainer course curriculum and the student course curriculum are referring to either Crystal Reports or Sage MAS 90 and Sage MAS 200 depending on the lesson. The curriculum states the product name when it switches from one to the other. 2 Case Study Notes: * The case study and presentation are available for downloading from the Partner Pages on the Sage University Web site at Follow the instructions provided. The case study and presentation versions correspond to the curriculum version, not the software version. Setup Instructions Follow the guidelines listed below to set up the student and trainer s workstation. Use ODBC Administrator in the Windows Control Panel to determine the version for the SOTAMAS90 ODBC driver. The version number displays on the ODBC Drivers tab. The first time you set up for this class verify the date on the p2sodbc.dll file is 3/23/02 or higher on each workstation. This DLL is found in either the \Windows\System or \Winnt\System32 folder. Earlier dates of this file can cause errors when previewing existing reports. Student & Trainer Workstations Workstations should run Sage MAS 90 and Crystal Reports on their local drives. Sage MAS 90 should have security enabled Create a Supervisor role with access to all tasks, security events, and module options Set up one user RMD. Define the RMD user with a name of Robin and a user code of RMD. Assign the Supervisor role created for all companies to this user. Passwords are not required. The accounting date of 4/30/10 is used for in-class activities and labs. Define this date as the accounting date for all modules. All workstations should have access to a laser printer. Define the printer as the default printer on each workstation. Case Study Download the case study to a temporary directory. To correctly install the SB1 (Superior Bicycles, Inc.) and LAB companies, use the following steps: 1. Create the SB1and LAB companies in Sage MAS Set up the sales tax codes and schedule as discussed in the following pages. 3. Move the SB1and LAB folders from the case study to the \MAS90 folder. 4. In Sales Order Options on the Forms tab, select to print sales orders in the SB1company. Crystal Report Beyond the Basics v12.0 (Revised 8/20/2008) Page 2
3 5. In company SB1, create a user-defined form (UDF) for Sales Order Entry as discussed in the following pages and modify the sales orders indicated. Note: If you do not create this UDF, some sample reports may generate a message indicating a database file has changed. When you receive the message, click OK to fix the report. The case study includes reports and files for the students to use in the activities. It also includes reports for you to use as examples and completed reports so that you, as the trainer, do not have to build the activity and lab reports yourself. o The student reports are in the Crystal folder. Place them on each student and trainer work station in the \MAS90\Reports\Crystal folder. o The trainer reports are in the CrystalCom folder. Place the completed reports only on the trainer workstation in the \MAS90\Reports\CrystalCom folder or on another folder of your choice. The directions in the curriculum will direct you to \CrystalCom when referring to these reports. o If you teach Introduction to Crystal Reports and Crystal Reports -- Beyond the Basics, be aware these same report folder names are used for both classes. o The case study includes a My Documents folder that contains pictures used in activities and labs. Place these files in a \MAS90\Reports\My Documents folder on all workstations. Using MICR encoding on checks is discussed in Appendix B. If you want to demonstrate this subject in class, you will need to install MICR fonts. If you want to illustrate the results of Setting the Number of Lines on a Form found in the Customizing Forms Lesson, enter a purchase order that will print over more than one page. Refer to the report example in that lesson for a sample purchase order. Sales Tax Setup Special setup is required for Accounts Payable and Accounts Receivable to ensure sales tax information is defined correctly for activities. 7 Creating the Required UDF One of the activities requires adding a UDF to a printed form, and the UDF must be set up prior to class. 1. Create a UDF called CONTRACTNO for the SO Sales Order Header table. Select Manual Entry as the source and accept all other defaults. 2. Add the CONTRACTNO UDF to the PHeader panel for Sales Order Entry. You can add the field to the right of the sales person field, above the Sage CRMCustomer text field. 3. In Sales Order Entry, enter contract number for sales order 39 and contract number for sales order 41. Refreshing Data for Subsequent Classes Due to the modifications made to existing reports and forms, you need to delete and restore the complete Sage MAS 90 program on each workstation after each class. o Replacing just the reports directory does not update Report Manager. New reports added during class still display on the Custom Reports menu. o UDFs remain as part of the form unless you delete and restore Sage MAS 90. Delete all files saved to the directory you defined as part of the Setup Instructions. This was used to store the reports created in Crystal Reports.
