1 Batch Processing of Inventory Management Transaction Entry IM-1205 Overview This Extended Solution adds Batch Processing in Inventory Transaction Entry for all Transaction Types. Installation Before installing this Extended Solution, please verify that the version level(s) printed on the CD label are the same as the version level(s) of the MAS 90 MAS 200 module(s) you are using. For further information, please see the Upgrades and Compatibility section below. Check your Shipping Manifest for a complete list of Extended Solutions shipped. For detailed installation instructions, please refer to the Sage website at: Installing Your Extended Solutions under Windows From a CD If you have the autorun function turned on for your PC, the installation program will start up automatically. If not, find the autorun.exe file on your CD-ROM drive and double-click it to start the installation program. Follow the on-screen instructions. From the Sage FTP site When your Extended Solution is ready to be downloaded, you will receive an from extendedsolutions.na@sage.com telling you that it is ready. The will contain the Customer Name, Cross Reference, a case-sensitive Password, a link via which you can download your Extended Solution, instructions, and a Shipping Manifest. Extended Solutions Control Center Installing any Extended Solution will add an Extended Solutions Control Center to the MAS 90 MAS 200 Library Master Utilities menu. 2 Custom Office If you customize your MAS 90 MAS 200, you must run the Update Utility every time you install a Sage Software Extended Solution. Setup Once the disk is installed, you will need to access the Inventory Management option screen. After the standard MAS 90 MAS 200 option screens have been displayed, a Setup screen for this Extended Solution will appear. Check the Enable Extended Solution box to activate this Extended Solution (Figure 1). The manual for this Extended Solution, if it has been installed, can be viewed by clicking the Manual button next to the Enable Extended Solution check box. It can also be viewed via the Extended Solutions Control Center (see Installation, above). Figure 1 Answer the following prompts: NEXT BATCH NUMBER: Enter the next Batch Number. ENTRY OVERRIDE PASSWORD: Enter the password that will be required to override entry. 3 Operation Inventory Transaction Entry has been modified with a new window allowing you to define a Batch Number, with a lookup for existing batches (Figure 2). Click the # button for Next Batch Number and User ID. A check box is available to mark a batch as Private. If you mark a batch Private and another user attempts to access or update this batch, they will be required to enter a password (Figure 3). 4 Once you have defined a batch, you may perform tasks in any (or all) of the five Transaction Types. When you are ready to update the entries in that batch, click the printer icon from the Transaction Entry window or select the Transaction Journal from the I/M Main menu. You will then be presented with a window with the following options (Figure 4): Figure 4 PRINT ALL BATCHES: Check this box to print all batches. BATCH NUMBER: A lookup into existing batches is available. If Print All Batches is checked, then this option will not be available. Once you have defined which batches to print, click OK to move into standard MAS 90 MAS 200 I/M Transaction Journal printing. The User ID referenced on the batch is saved with the IM Transaction Detail, and is displayed on the Transactions tab in IM Maintenance (Figure 5) and IM Inquiry Sage Software, Inc. 5 Figure 5 Importing Through Visual Integrator This Extended Solution fully supports imports through Visual Integrator. There are two different procedures, and which one you use depends on whether you are importing the batch number or you want the Next Batch Number from Setup to be used. If You Are Importing the Batch Number You will need to have two imports: one into IM.TRANS (which will be the usual information for an Inventory Transaction), and one into IM.TRNS_II (for the batch number). It is important that you run the import into IM.TRNS_II first, and you must be importing the Transaction_Type and Reference_Number, so that the values are the same for each transaction in both imports. If You Are Not Importing the Batch Number If you do not import a batch number, all entries in the import run will be assigned to the same batch, and the batch number used will be the Next Batch Number from Setup. You should only import into IM.TRANS; the records in IM.TRNS_II, with the batch number itself, will be created automatically. In either case, it is not necessary or recommended to import into IM.TBATCH, the Batch Master File. The appropriate record(s) will be created in this file during the import into IM.TRANS. It is also during the import into IM.TRANS that the records in the transaction batch file itself (e.g., IMGXXXX.SOA) are created Sage Software, Inc. All rights reserved. 6 Only imports that were written after this Extended Solution was installed and enabled will automatically support the batch number processing described above. If your import was already on file, you will either need to re-key it (COPYing it won t work) or use the following procedure: On the Configuration panel in Import Job Maintenance, click on the Perform button and add the following command to be performed on Job Start :..\im\imwvip;im_trans_boj (Note: the command should be typed in exactly as shown.) For more information on adding Job Perform Logic, consult your Visual Integrator user manual. Visual Integrator The files listed below have been added or changed in the Data Dictionary by this Extended Solution for Visual Integrator purposes. New File: IM.TRNS_II IM.TBATCH IM.TRANDE2 Field: Batch_No All Fields USER_ID The Data Dictionary may contain other files and data fields that are not available without their corresponding Sage Software Extended Solutions installed. ODBC Dictionary The files listed below have been added or changed in the ODBC Dictionaries by this Extended Solution for Crystal Reports purposes. File: Description Field: IM_AG Transaction Entry File 2 All Fields IM_BP Batch Processing File All Fields IM_A5 Transaction Detail 2 UserID Be aware that the ODBC Dictionaries may contain other files and data fields that will be unavailable without their corresponding Extended Solutions installed. Upgrades and Compatibility The installation CD is labeled with the version of the MAS 90 MAS 200 module for which this Extended Solution was prepared. This Extended Solution will check its compatibility with the appropriate MAS 90 MAS 200 modules and will be disabled if an incompatibility is found. If you upgrade your MAS 90 MAS 200 modules, this Extended Solution must be upgraded as well. Your MAS 90 MAS 200 dealer can supply this upgrade Sage Software, Inc. All rights reserved.
