3 What is Web ShieldStats? Web ShieldStats is our interactive web reporting business solution for plan sponsors and their plan advisors. It has been designed to meet your reporting and analysis needs. With Web ShieldStats you can access data in our corporate databases from your own office, home, or around the world, using a secure Internet connection. All this is at your fingertips 365 days a year, seven days a week, from 6:00 a.m. to midnight eastern time (ET). Web ShieldStats makes it easy to access your data because you work with it in business terms familiar to you. You do not need to have knowledge of database structure or technology, and specialized software does not need to be loaded on your computer. An Internet browser is all you need. Web ShieldStats Home Page Once you have successfully signed in to Online Administration, select the Web ShieldStats option in the navigation menu along the left side of the page. You can return to the Online Administration home page at any time, by clicking the Home option. The Web ShieldStats home page provides information on the features of the website, including an Important News section, and how to access additional help if you need it. Click on the links provided, and quickly access your commonly used reports. Report Navigation Menu 3

4 Within the reports menu, you will see four options: Browse, Recently Viewed, Favourites, and Scheduled. This menu will be your main navigational tool while using the website. Browse Reports are organized logically within categories and sub-categories, which allows you to quickly find what you re looking for. Report names identify the type of information provided within the report. Once you ve located the report, you can open and run it within the current tab, in a new tab, create a schedule, and mark the report as a Favourite. Recently Viewed This page provides you with a list of the last ten reports you opened. From here, those reports can be opened, viewed, scheduled, marked as a Favourite, or removed from the recently viewed list. Favourites If you run the same report regularly, this feature is very convenient. Favourites provide you with quick access to an unlimited list of reports that have been identified, by you, as a favourite report. From here, reports can be opened, viewed, scheduled, or removed from your Favourites list. A report can be marked as a Favourite from any main menu option. Simply select the Mark as a Favourite icon. A confirmation message will display, and the report will appear in your Favourites list. Scheduled Web ShieldStats includes a built-in scheduler that allows you to run reports anytime, so the data is there when you re ready to view it. You also have the option to receive an notification when your report is available. This page provides you with a list of reports that have been scheduled, and their status. From here, you can open and view the results of scheduled reports, as well as the prompts that were used. New 4

5 schedules can be created, and existing schedules can be modified, deactivated, or deleted. See the Scheduling Reports section below, for detailed how to information. Finding a Report Every report available in Web ShieldStats is assigned to a specific category. On the Browse page, you ll find similar reports grouped into smaller, more manageable folders. Categories include Billings, Claims, Enrolment, Financial Experience, and Plan Design. From this page, select a folder to review all published reports within that category. If you re unsure of the category for a specific report, select All Categories, and a complete list will display. A search tool is located beneath the main reports navigation menu and is available on every page throughout the application. The tool returns results with keywords found in the report title, description, or category name. Still not sure if a report will return the data you need? You can expand and collapse the report name to see a description of the report, its category, and the reporting prompts. 5

6 Favourite Reports Marking a report as a Favourite gives you quick, unlimited access to the reports you run regularly. From the Favourites list, reports can be opened or scheduled. Reports can also be easily removed from the Favourites list when they are no longer needed. A report can be marked as a Favourite from all menu options. Simply select the Mark as a Favourite icon A confirmation message will appear, and the report will be added on your Favourites page. Running a Report Now that you ve found the report you need, open it by clicking on the Open Report action icon. You also have the option to open the report in a new tab by clicking the Open in a New Tab action icon. Opening the report in a new tab allows you to have multiple reports open at the same time. Reports can be run or refreshed in one of two ways: manually (immediate) or by creating a schedule. See below for a detailed section dedicated to scheduling reports. Manual (immediate/real-time) 1. Click on the Open Report action icon 2. Enter the prompts within the prompt window. In some cases, you can enter multiple values within the same prompt field. Enter each value separated by a semicolon (e.g., Billing Divisions 17468; 17469). You will note that some prompts are optional. (Prompts are fully described below.) 3. Click on the Run icon or use the Refresh icon 6

7 Scheduling a Report Reports can be scheduled from the action menu of any report. Scheduling a report allows you to run reports automatically, so data is available when you want to review it. You can schedule a report to run at a specific interval, whether it be once or recurring over time. After creating the schedule, you can check the status, open the refreshed report, view the prompts used, and edit or delete the schedule. All of these options are available within the Scheduled page on the main reports menu. To schedule a report to run automatically 1. From the action menu of the report you want to schedule, click Schedule Report. 2. Enter a schedule name. This can be left as the report name or can be changed to any name you choose. This must be unique as duplicate schedule names aren t permitted. 3. Set the schedule frequency. You have the option of creating a schedule to run one-time only by selecting Once. If you wish to create a recurring schedule, you can select one of many options shown below in the Recurring Scheduling Options section. 4. Set the start date and time. (For optimal system performance, set schedules to run between the hours 6:00 a.m. and midnight ET.) 5. Indicate whether you d like to receive an once the report is ready to be viewed. The will be sent to the address we have on file as part of the Online Access agreement. 6. Enter the required report prompts. 7. Click on Submit, or Submit and create another schedule if you d like to schedule the same report using new prompts. 8. A confirmation message will display letting you know that the report was successfully scheduled. 7

8 Recurring Scheduling Options A variety of options allows you to create a schedule to run daily, weekly, or monthly. Simply enter the schedule parameters once, and let Web ShieldStats take care of your scheduling needs. You also have the option to set a monthly schedule on a specific day of the month. You can select a day value of 1 through 31 or a specific day of the week. 8

9 Report Prompts A prompt is a condition that is built into a report. This is the driver behind the data that appears within the report you re running. Some prompts are optional and don t require a value to be entered. Some reports force you to exclude an administrable category. The following list shows the administrable categories, along with the two-digit code to enter into the prompt field. Note: If your travel plan is funded on a pooled basis, the information regarding the travel plan will not be displayed even if you entered NO in the prompt box. The following list shows the available codes along with their description. 9

When the report is open, click on the Export icon. You have a few options to choose from. Export as PDF, Excel (.xlsx or.xls), CSV Archive, or Text. (Text will export only the current tab, not the entire report) Printing a Report Click on the Print icon. The report will automatically convert to PDF format for printing. Additional Information 10

11 Each report available in Web ShieldStats has a report name and a report number. The report number is a combination of letters and numbers. The prompts available within a report are next to the report number, in brackets, and also in the Report Prompts section. At the end of the report number, you ll notice a letter a W, P, or F. It s important to know the difference between the three options so you can retrieve the most current and up-to-date data, depending on your needs. Data Warehouse (W) is our corporate repository of stored claims data. The data warehouse is loaded monthly, so information returned from these reports is only current as of the last day of the last month. Production (P) is data that is current up to the minute. Flash (F) shows data that is current as of yesterday. Drill Down Reports Some reports allow you to analyze data at different levels. If you re looking for details down to the category level, click on the Drill Down icon. Although you ll see this for every report, the functionality is restricted to specific reports. How can we help you? On each page, a dynamic Help panel includes tips that are relevant to the page you re on. It also includes a legend of the Actions icons, specific to the current page. Throughout the site, you have access to a Frequently Asked Questions (FAQ) document a Quick Reference Guide that provides easy-to-follow steps for some of the most common tasks, as well as a listing of the most commonly used reports. 11
