1 Website User Guide Introduction Welcome to a simple site to help you succeed. BenefitMall.com is designed for Brokers. There are many tools and resources available to keep Brokers up-to-date and stay productive. This user guide will explain a number of ways to quickly get the information you are looking for. For additional assistance, you can contact the BenefitMall Technical Support Team at (800) between 6:00 a.m. - 6:00 p.m., PST, or by at support@benefitmall.com. Homepage/Public Site Use the navigation bar on the left side of your screen to learn more about BenefitMall. The public site provides information about the company history, mission, employees, sales offices, awards, and career opportunities. Office Directory Search Box Login/New Broker Signup Navigation Bar Important Messages Assistance Menu 1

2 Contact Us To contact a local BenefitMall office or our national Customer Service or Technical Support click on the phone icon located in the upper right corner of the website. Office locations and contact information are listed alphabetically by state. Contact information for Customer Service/Technical Support can also be found here. **For directions to office locations, click on the office you wish to locate. About Us To View our Company Overview and History, BenefitMall Mission and a message from the CEO hover over the About Us menu header in the Navigation Bar. Broker Partnerships Proof that BenefitMall is the best choice for Broker Service, click on Broker Partnerships from the Navigation Bar to view information about Quoting, New Business Processing, Customer Service and Renewal Management. BenefitMall People Select the local office nearest you to meet your BenefitMall dedicated Sales Team. Office pages include a Sales Team Contact Sheet, contact information and a link to view their biography. Choose an office to view information about your local BenefitMall Sales Team. 2

3 Carrier Products To view a list of carriers and carrier products by state, click Carrier Products from the Navigation Bar. Once the red U.S. map is displayed, click on a state or state abbreviation. A list of carriers and products will be displayed. Office locations and contact information is displayed at the bottom of this page, below the carrier products. Choose a specific state to view carriers and carrier products. 3

4 Alternative Products To help you become a full-service benefits consultant, BenefitMall provides access to products outside the realm of standard medical and ancillary offerings. To view these products, select Alternative Products from the Navigation Bar to view information about 401(k) Plans, COBRA, Long Term Care, Prescription Drug Plans, and much more. Self Funded Division BenefitMall specializes in stop loss insurance and represents most of the direct writers of medical stop loss insurance. Select Self Funded Division from the Navigation Bar to view information about our self funded division services including billing, commission, claim issues and compliance. Advanced Solutions Offered exclusively through BenefitMall, Advanced Solutions makes it easy for you to participate directly in claims savings. Here you can view more information and a link to the e-brochure. Senior Division This division of BenefitMall specializes in products for the senior market and has written over 20,000 Medicare Advantage and PDP cases. With relationships with many major Carriers in the Senior Products market, you can provide your clients with complete benefits packages from our extensive line of products. Select Senior Division from the Navigation Bar to view information on these products and services. Newsroom Up-to-the-minute news about current trends, issues and topics that can affect your business can be found here. Press Center To access our newsroom resources including press releases, press release archives, media kit and relevant news announcement click here. Industry News To visit our Legislative Corner and stay on top of federal legislative and regulatory activities click here. 4

5 Archive To view the most recent updates for your area, login and visit the Archive by clicking on the quick access button in the middle of the page in your Broker Workspace. You must be a registered broker with BenefitMall to view these updates. Careers To learn about working for BenefitMall click on the links for Employee Commitment, BenefitMall Benefits and BenefitMall Job Search here. Search To search the website for documents, articles, or general information about a specific carrier or other industry related topic, enter one or more keywords and click search. The search box is located in the upper right corner of the web page. The search function of the website searches all pages of the website and also searches the titles of all PDFs hosted on the website. A link to the pages or PDFs will be displayed in the results list. To narrow your search, enter multiple keywords. **Your search results will vary depending on whether or not you are logged in to the BenefitMall site. Assistance F.A.Q Get answers to Frequently Asked Questions. Here you will find an overview of what BenefitMall is, what BenefitMall offers to Brokers, how to register, run a quote, and access forms online. We have also provided links to download Internet Explorer. A link to our privacy policy is also provided. Help Contact BenefitMall Regional sales offices, corporate headquarters, customer services or technical support. Site Map View an expandable/collapsible site map of Legal Review information pertaining to our copyright, terms and conditions, branding guidelines, privacy policy, and quality pledge is listed here. Employers (Provided for MD, VA, DC, DE,) Access the BenefitMall Online Enrollment Tool for brokers and clients. 5

6 Navigational Icons The BenefitMall website offers intuitive icons for easier navigation. The icons are located in the top right corner of the website. Login/New User Registration The Login box is located on the left side of the homepage below the navigation bar. Existing User: To login, enter the address associated with your account and password and click, Go. If you have forgotten your password, click Forgot Password?, and enter your address. Before your password is ed to you, you will be prompted to answer two security questions. These questions were previously selected and answered by you the first time you logged in or registered on the BenefitMall website. New User: To access a BenefitMall Broker Workspace, brokers are required to register. The internal site contains broker tools to assist in running a quote for your client, access to carrier plans, cut-off dates, and bonuses, and access to our Carrier Information Library, which includes underwriting guidelines, carrier forms, carrier plans, enrollment kits, and other BenefitMall documents. Remember Me Feature: To automatically sign you in when you visit the BenefitMall website, click next to Remember me for the system to remember your address and password. 6

7 Step 1: Click New Broker Register and complete the user profile form. Click Next after all required fields have been completed. Step 1 Step 2: A registration confirmation will be sent to you. Complete your registration by following the steps provided in the . Step 2 7

8 Step 3: Complete your user profile. Here you will choose your default state for your Broker Workspace and answer two-security questions in case you forget your password. Click the Next button to continue. Step 3 Step 4: Please enter state license and appointments (if required). Add your license information and click Next. Step 4 8

9 Step 5: Review your profile information and click Next. Step 5 Step 6: Read the BenefitMall User Agreement and accept/decline the terms. Step 7: Your license must be verified before access to your Broker Workspace. Please fax a copy of your license to (800) An from BenefitMall s customer service department confirming your registration will be sent within 24 hours. Step 7 9

10 Broker Workspace/Private Site After you have successfully logged in, the Broker Workspace appears. The Broker Workspace is designed around the unique needs of the broker. Here you will find tools to help manage your business, products your clients wants, and the information you need. Update profile state setting here Broker Workspace Menu Update your profile and user settings here Access plans, forms and other carrier related documents Contact Information for your Sales Representatives Regional Announcements are posted here Access Archive Quoting Options* Recently Accessed Clients View Carrier Products Offered in Your State In-Force Case Information Status of Submitted Cases * Quoting Options will appear different based on state preference. 10

11 Change Profile/Workspace Settings To customize your Broker Workspace experience we ask that you indicate your preferred state of business by selecting a default state for your user profile. By selecting a state, BenefitMall will be able to offer you regionalized news, events, and tools. To select a default state for your user profile, click on My Profile icon located in top right corner of your workspace. To temporarily change your profile settings, select a state from the drop down menu in your workspace and click Select New. To return to your preferred default state setting, click Apply Default. To permanently change your profile setting, click on My Profile icon and select a new state from the state drop down menu on the My Profile page. Click the Next button to continue updating your profile and confirm your changes. To manage your user profile settings, click here. To temporarily change your profile setting, scroll through the list of states and click Select New. To return to your preferred default state, click Apply Default. Personal information, passwords, and license information can be changed from the My Profile page too. 11

12 Broker Workspace Menu Proposal Case Management All items listed below are located under the Proposal/Case Management Tab located in the Broker Workspace Menu. Run A Quote (All Regions) To print instructions for running a quote in your region, click here. Edit Existing Quote (DC, DE, MD, and VA) To edit existing cases you are working with, click here. Recently Accessed Cases (AZ, CA, CO, FL, GA, IL, OH, TX) To view the 5 most recent view client files you have work with, click here. Status of Submitted Cases (All Regions) To access the current status of case(s) you have submitted to BenefitMall are listed here. To view detailed case information, click on the company name. In-Force Cases (All Regions) In-force business you have with BenefitMall that has an original anniversary date in our system that occurs within the next 60 days is listed here. These cases may be up for renewal. Click on a company name to obtain available case information. Individual (AZ, CA, CO, IL, TX) To begin quoting with Norvax, click here. Carrier Information All items listed below are located under the Carrier Information Tab located in the Broker Workspace Menu. Carrier Products To view a list of carriers and carrier products by state, click Carrier Products from the Carrier Information drop-down menu. Once the red map is displayed, click on a state or state abbreviation. A list of carriers and products will be displayed. Office locations and contact information is displayed at the bottom of this page, below the carrier products. The product map is hosted on the 12

13 public side of the website, therefore you will need to click on the Workspace icon located in the top right corner of the page. Carrier Information Library BenefitMall has created a comprehensive online resource for all your carrier document needs. Select search criteria here. Save documents to Favorites Click here to selected documents to yourself and your clients. Complete address information and change message if desired. 13

14 The library is designed to save time and make document retrieval as easy as possible. A document can be retrieved, saved to a favorite folder, and ed directly to your client. The library is updated regularly and is available 24 hours a day. The carrier information library houses: carrier plans, carrier forms, underwriting guidelines, BenefitMall documents, carrier rate charts, enrollment kits and licensing and appointment paperwork. To Search for documents, select from the drop-down menus or by typing a keyword(s). Drop-down search criteria should be selected in sequential order. To View a document(s), click the magnifying glass next to the desired document. To Save a document(s) to your computer, click the disk next to the selected document. To Print a document(s), save the document and print from the saved file, or print from the view screen. To Add to Favorites mark the box of the desired document(s) and click Add to Favorites. All search results that are not saved in your Favorites will be discarded during your next search. To a document(s), you must add the document(s) to your Favorites. To Delete document(s) from your Favorites mark the box of the document(s) to be deleted and click Delete. To document(s) from your Favorites mark the box of the document(s) to be ed and click Deliver. To Send the requested Carrier Information directly to you click the Send button now. To Send the requested Carrier Information to a third party, change or add the additional addresses for delivery, change the subject line and message to be customized as desired, and click the Send button. Carrier Cut-Off Dates To determine deadlines for case submission, click here to view cut-off dates. 14

15 Carrier Bonus Programs To view bonus programs for each carrier click here. For additional details, including timeframes and minimum requirements for each program listed, click the link provided on the page to view carrier provided materials. Carrier Commissions To review commission information click here. Additional changes are made on request by carrier notification. Therefore, the most recent changes may not be reflected. For the most accurate information, please refer to your Broker Agreements. Carrier Network Providers To link to each Carrier Network Provider physician and hospital finder, click the Carrier name within the chart to be re-directed to the Carrier s web hosted physician and hospital directory. Tri-State Tools (NJ, NY, CT) Sole Proprietor Plans Provides plan comparisons between HIP PPO, HMO Plan 1 and HMO Plan 2, and Atlantis POS1, POS 2 and HMO. Access complete benefit summaries and enrollment packages for HIP and Atlantis, and view updated product information from Oxford. Alternative Products Find information on custom design packages from AlphaStaff, AmeriFlex, Health Advocate and Partners Plan. Broker Tools All items below are located under the Broker Tools Tab located in the Broker Workspace Menu. Run A Quote (state specific) To access printable instructions for running a quote in your region click here. Client Ready Quote Assistant (AZ, CA, CO, FL, GA, IL, OH, TX) To access printable instructions for a running a quote with assistance click here. Side by Side Quoting To run a side-by-side quote step by step instructions for customization can be accessed here. Census Management Tool To obtain or distribute the Census Management Tool via from BenefitMall Technical Support or download from the BenefitMall web site refer to this page. Mid-Atlantic Tools (DC, DE, MD, VA) Online Benefits Management System To access BenefitMall s Online Benefits Management System, click Online Benefits Management System from the Broker Tools Menu. Broker Resources All items listed below are located under the Broker Resources Tab located in the Broker Workspace Menu. Carrier Ratings To see how a particular insurance carrier measures up, click Carrier Ratings from the Broker Resources drop-down menu. Links to companies such as, A.M. Best, Moody s, Standard & Poor s, and others are listed here along with rating definitions. Industry Associations To access links to both state and national industry associations click here. Insurance Boards To find information regarding any of the states' insurance regulators by going directly to their website click here. State Health Facts To view the latest facts and information regarding your state and the health care community click here. HIPAA To learn more about what HIPAA is, what it means to you, and what your responsibilities are click here. Continuing Education BenefitMall is pleased to partner with InsuranceStudy.com to offer you a discount on their entire continuing education course catalog. To view information about their online program and sample courses click here. Archive To view all the regional communications, monthly newsletters and corporate announcements sent by BenefitMall click here. Event Calendar To view a listing of BenefitMall and/or Carrier sponsored meetings, seminars, and continuing education opportunities being hosted in your 16

17 area, click Event Calendar from the Broker Workspace Menu. Obtain detailed event information by clicking on any meeting listed. A summary of the meeting, the location of the event and important details displayed for your convenience. BenefitMall s Brokers invitations at least two weeks prior to all events on the event board. An address or link to a registration site will be provided to register for all events. Click here to view a sample Event Calendar and RSVP demonstration. Run A Quote (State Specific) BenefitMall provides online quoting for the following states: Arizona, California, Colorado, Connecticut, Delaware, Florida, Georgia, Illinois, Maryland, New Jersey, New York, Ohio, Texas, Virginia, and Washington D.C. To quote for our online states, confirm your profile is set to the state you wish to quote for.
