3 Overview The MAINTENANCE Application provides entry of parameters to control ALL other Talex Applications. Access requires a Login and Password MAINTENANCE may be run from any network location. 4 Startup Run Talex Maintenance The first time If this is a NEW System then a temporary user ( admin) is created. Press OK. USER Password admin admin The admin login is only used to run Maintenance for the first time. Refer to System Users. The MAIN MENU appears Shortcuts to other applications. 5 Getting Started Maintenance screens may be run from : Menus Getting Started This is a LIST in the recommended sequence for a NEW system. Press either : 1. CLICK ON THE LIST ( to Select a Step ) 2. EACH of 3 DATABASES : Select FOLDER or LOCATION for Backup Files 1. INDEX Rebuild indexes so that data is not fragmented. 2. SHRINK Reclaim allocated but unused space. 3. BACKUP Create COPY File TalexSERVER.bak, TalexARCHIVE.bak, TalexCLIENT.bak AUTOMATIC BACKUPS AT SESSION CLOSEOUT Refer to : Maintenance / Preferences [ Miscellaneous ] IF IS CHECKED : BACKUP follows EACH SESSION CLOSEOUT suggest Save To Location. 6 System Users Security Users must identify themselves with a LOGIN and PASSWORD at the start of each application. Users are assigned to GROUPS. Groups are given permission here to run applications and their routines. Everyone in a group has the same permissions. Enter a Password here to secure this screen. 8 Preferences General INVENTORY ISSUE Sales PRODUCT : Station or Cashier Tracking OFF is checked if Inventory NOT tracked. PAPER Inventory methods : - Quantity by Case - Quantity by Product - Booklets Enter the NAME ( eg. PULLTAB ) for this product. Note : CAGES are required unless BOTH Tracking OFF and Pulltab Active not checked. Purchase Orders Lead Days, Safety Stock, etc. GAME PAYOUTS Game Payouts Levels, Columns, Category, etc. W-2G Forms ( US only ) : TO ACTIVATE : Enter Federal Identification ( ID ) # Enter AMOUNT ( ie ) to require a W-2G Rounding method for multiple winners PULLTAB payout eligibility CENTRAL SERVER is an optional database at another location. Internet access is required. Primary Server Account is required - enter any number if Central Server not active Central Server is a standalone system similar to Talex that runs at a central location with internet access. Connections are accepted from remote locations to gather data in a SQL Server database. Customer Accounts may be shared, so that setup at any remote location will be visible and may be modified at any location. RECEIPT PRINTERS must be defined Assign a CODE ( eg. P1 ) to each Printer Columns must be between 40 and 44 RECEIPT LOGOS ( Epson printer required ) : Printer programming is required TYPE must be : TM-T88 1 Color File Logo.bmp must be in the folder C:\Talex Receipts Message Line 1 and 2 for ALL Receipts Aug 24, 2009 Talex Maintenance Page 7

9 Preferences General U-PICK-EM Helper Sheet is a PLAY SHEET from a line printer Helper is available in 3 FORMATS RECEIPT Play Sheet may be in LINE or CARD format. Alternate Description ( eg. Pick 8, Lucky 7 ) entered here appears on all screens. FLOOR FLOOR SALES may be done 2 ways : 1 FLOOR Screen - Separate screen is used to Issue and Return Cards and Cash to Floor Workers 2 POINT OF SALE Screen - Floor Workers are setup as Customers - Sales Entry screen is used to Issue and Return Card ISSUES : entered as sales Card RETURNS : entered as returns CASH : Floor Cash screen MISCELLANEOUS Receipt Printer for Non-Selling (Main) Applications - CODE and PORT for Receipt Printer Backup To : Automatic Backups at Session Closeout: IF NOT BLANK : Backup follows each Closeout To turn Backups ON : 1. 10 Station General STATIONS accept Point of Sale entry. Each station is configured here type of entry, ports, receipt printer, etc. TO ADD a new station : 1. Install Talex refer to Installation Manual 2. Run the STATION application on that machine ( may not create here ) 3. Applications will request the SESSION REPORTING Charity Password and keep separate records. 11 Session General A SESSION is a day or event with sales entry. There must be at least 1 session for each organization. Session Control ( List of Routines ) The Session Control application provides various screens and reports for each session. Check here ONLY the screens and reports that are required. 12 Electronic Handsets Equipment suppliers and types of handset and fixed base are defined. 13 Electronic Turbo Pattern Generator Turbo Patterns : 2. Select a Pattern 1. Select Pattern Type ( Group ) EXTRA : File extrapat.bin will be re-built on exit if any changes. EXTRA and DYNAMIC STANDARD Patterns may be : Patterns may only - Created be VIEWED - Changed ( no changes ) - Deleted. Press to remove the pattern completely. Click on a pattern WAY to SELECT it ( turns RED ). FOR THE SELECTED ( OR A NEW ) PATTERN DELETE the selected WAY CLEAR the Entry Card ROTATE the Entry Card SAVE a new or changed ( red card ) WAY SAVE and CLEAR the Entry Card CLICK ON SQUARES To SELECT (Yellow) OR NOT ( Blue ) Creating New Patterns Existing patterns may be combined to create new ones, for example : To combine : 1 Corner Stamp 1 Easy Bingo 1. Start a ( New ) Pattern 2. Enter Name To: what to call it 3. Select Pattern 1 4. Select Pattern 2 5. Select either : a) Add patterns separately, or b) Join the patterns together 6. 14 Electronic Turbo Preferences Preferences control electronic routines. Available Card Libraries ( Default is normally MAIN ) Add-Ons allow multiple sales to be combined in ONE handset. Up to 4 different sales can be grouped together. Add-On sales may include : a) More cards for games already loaded b) new games c) U-Pick-Em rows Check the maximum number of add-ons or n/a to turn this feature OFF. R/F Loading refers to wireless loading of Turbo units from a Ball Server. Loader Packages are purchased at the point of sale. The station sends one or more files to the Ball Server. The Server transmits one file for each Turbo unit. Turbo units are activated when their file is loaded. R/F Loading may be configured 3 ways : a) Single - Purchase is entered, one file is sent to the Ball Server - Account number is printed on the customer receipt. - Entry of the account number loads the Turbo unit wirelessly. netloader is NOT required ( NO check ) if each station loads their own units. Units Type are generally ARM based or Byte b) Multi 1 Receipt - Purchase is entered, ONE OR MORE Turbo units are scanned. - Cards are allocated and one file is sent to the Server for each unit. - Each Turbo unit transmits its number and receives a wireless load - 1 shared receipt is printed for all sales c) Multi >1 Receipt - SAME as Multi 1 Receipt, except a separate receipt is printed for each sale Sets are consecutive sections of a card library. SET SIZE is the maximum cards for one game. Active NOT checked ( OFF ) each unit receives different cards for each game, allocated sequentially from the library. Automatic checked ( ON ) a unique set number is assigned to each unit, which uses that set (same cards) each sale. Offset Loading checked ( ON ) 1 set is allocated for each game in each unit, with all units starting at a different set. Max number of units : ( N ( G x F )) / F where N = cards in library, G = games, F = set size eg. N = 30,000 G = 30 F = 100 allows 270 units 24 Number ( side game, separate from bingo ) May not be sold on the same invoice as bingo Refer to separate documentation 6 Code Loading Units may be pre-loaded with multiple sessions SETS must be active Code Loading checked ( ON ) to activate Units how many handsets will be code loaded If Code Loading is ON : STATION Application may be used for Code Loading only Refer to Sales Manual. 15 Electronic Turbo Games Games and their patterns are defined for each session. Each session has separate games. New sessions may be setup by copying from another. Select a Pattern ( to Add or Change ) REPORT Games ADD or DELETE Game PART Select Game, click here TO VIEW Packages (below) that any game Is assigned to : Pattern WAYS are displayed for selected game. 16 Electronic Turbo Packages PACKAGES are groups of games. One or more packages will be loaded into electronic units. Organization Session VERIFY : Display Games by Package PACKAGE Check ALL GAMES TO CREATE A NEW PACKAGE : in the package. - Select a ( New ) Package - Enter a NAME - Enter Package LEVEL and CARDS May NOT combine - Check ALL GAMES to include U-Pick-Em and Regular games in the same package. Games may require TWO columns. Selecting a U-Pick-Em GAME marks the package as U-Pick-Em. Electronic Skus Each PACKAGE creates ONE electronic SKU per electronic unit. SKU s are sold at the Point of Sale. Organization Handset Type ( eg. Turbo ) ONLY Talex Description may be changed here. EACH PACKAGE Only ACTIVE items ( eg. Door Pack 2 ) are available for sale. creates one SKU for EACH UNIT Type Items NOT in use are un-checked ( OFF ) if the Handset Type is NOT active. 17 Electronic Inventory Electronic Skus Units sold at the Point of Sale are added to an electronic inventory LIST. A Central database may track all units. UNITS SOLD at the Point of Sale Two ways to communicate with a CENTRAL DATABASE : 1 ONLINE Files may be exchanged. - OR - 2 TEXT FILES Maintained ONLINE Files may be created here and imported at a central location. - OR - The central location also creates files to be loaded here. Loaded with Text Files Central Database is NOT mandatory. Unit History to REPORT units here. to load a TEXT file created elsewhere. TO TRANSFER Units to another location : Only units at this location may be transferred away. 1. Select a TO Location 2. Check Service if the unit requires servicing. 3. Enter or scan a UNIT NUMBER. 4. Enter optional NOTES. Print a Transaction Report. Update INVENTORY to post the entry. Inventory may be updated ONLINE or a TEXT file created. ADJUST STANDARD LISTS Select STYLE, COLOR, or SERIES. Add or change text. Paper selection LISTS will be adjusted. MODIFIERS Groups of paper that differ only by color or series may be represented by ONE Paper item. Example : 1 On Bonanza available in several colors. 1. Create and assign - as the COLOR. 2. 19 Accessory Point of Sale ACCESSORY Items are used to track and sell merchandise, also for discounts and point and coupon redemptions. Each organization has separate paper. New organizations may be setup by copying from another. A BLOCK or USED button will prevent this. Maximum Width ( 1-4 columns ) and Height ( 1-4 rows ) may be set. TO ADD a BLOCK Button : 1. Select an Unused button. 2. Check Block ( ON ) 3. Large X appears on button. To remove a BLOCK un-check it. SELECTED BUTTON Button TEXT ( max 15 chars ) Special Prices ( refer below ) Always ONE ( otherwise will ask ) TO MOVE a Button : 1. 21 Kits Point of Sale DROP-DOWN ButtonS present a LIST of Items to the Cashier : Check DROP-DOWN ( ON ) Enter any number of items. Cashier may choose 1 or more. Price and Points assigned to each Recommended maximum 12 products. Special Prices are DAY sensitive pricing assigned to buttons. 1. Select a BUTTON, press BUTTON TEXT is PINK when special prices exist. 2. Select a DAY OF THE WEEK. If entries overlap the LOWEST in effect is used. 3. Enter PRICE and HOURS the price is in effect. If NO From/To the price applies ALL DAY. U-Pick-Em s may be played on the RECEIPT or in selected ELECTRONIC units. ACCESSORY or ELECTRONIC Value is PRICE per Quantity ( Example : $1 each ) If Quantity is NOT 1 : - a MULTIPLE of Quantity must Check U-Pick-Em Only ( ON ) be purchased if Kit will contain ONLY U-Pick-Em ( eg. Quantity 4 Value $5.00 must purchase 4, 8, 12 rows etc. ) Press U-Pick-Em. For ALL Kits containing U-Pick-Em Points are PER ROW purchased. If Quantity Always 1 is checked : ONLY 1 row may be purchased KITS CONTAINING 1 U-Pick-Em PLUS Other Products : DO NOT CHECK U-Pick-Em Only ( OFF ). Add 1 U-Pick-Em ( Accessory or Electronic ). Add other products. Press U-Pick-Em. FOR MORE THAN ONE GAME in the same session : 1. Press New to add a new game. 2. Select a KIT on the right side. 3. Press ADD to add selected KIT to the new game. 22 Kits Point of Sale Triggers are automatic entries at the Point of Sale when certain conditions exist. Example : Ink Marker at half price when any 2 of a list of kits are purchased. 1. Select a BUTTON TO BE TRIGGERED 2. Press TRIGGER button. ( PINK when a trigger is attached. ) Display ALL triggers on file Text turns red 3. WHEN this action occurs ( eg. each time one of 5 specified kits is sold. ) 4. IF this condition is TRUE 6. Enter KITS ( eg. 2 or more of these kits are on the order. ) maximum 17 To Remove : 5. THEN do this ( eg. sell the triggered button at 50% off. ) 7. Price DISCOUNT (%) : eg. enter Prompt Before Apply : eg. Check (ON) to prompt in case not wanted Note : Trigger screen will change depending on the WHEN, IF, and THEN selections. OTHER TRIGGER EXAMPLES Free coffee if 2 specified products are purchased. Discount if a Customer Card is used. If the TOTAL is $20 or more a random discount of 5, 10, or 20% Random deductions of $1, $2, $3, or $4 when TOTAL is pressed. Reporting must be : Points Redeem Loyalty POINTS Category : Amount Value is negative value of 1 point. Amount DEDUCTIONS Reporting must be : Amounts Deducted Category : Amount Value is negative of the deduction. 24 Progressive Games PROGRESSIVE Games are played across more than one session. The prize may build and carry forward until won. PRIZE Amounts may be : Calculated from sales. Reporting TO REPORT Sales with Game Payouts on the Event Summary Report. Organization Session GAME SET To Change SET NAME re-type here.
