2 Adding a New Profile 1. Log into emerge by typing the IP address in a web browser and entering your Username and Password. 2. From the navigation menu on the left of the screen, go to Administration People Add. 3. Enter the Last and First name in the designated fields. 4. An expiration date and time can be entered in the Expiration Date/Time field. Note This expiration date is for the profile and not for each access control credential. 5. Click Next. If you are not adding credentials click Save on the next screen. Adding a Credential 1. On the Access Control tab, highlight < add new>. 2. Type the credential number into both the Hot Stamp # and Encoded # fields. 3. Select the Card Format from the Card Format drop down menu. 2

3 4. Highlight the Access Level type (in this example it is Gates) and click on the right arrow to move it into the Selected column. Click Apply. 5. Add as many credentials as needed ensuring to click Apply after each addition. 6. Then click Save to save all of the information to the database. Note If you receive an error stating that a credential is already assigned to another user, go to Administration Lost Cards, enter the credential number in the Hot Stamp # field and click Search. The profile that the credential is currently assigned to will be listed. Verify with the current assignee of the credential and update accordingly. 1. Go to Administration People. Editing Information 2. To locate the profile requiring edits, enter a full or partial first or last name into the search fields and click Search. A search can also be performed by going to Administration Lost Cards and entering the credential number. 3. From the list of search results, click on the profile s name. 4. To edit simply change the pieces of information that require updating and click Save. If updating credential information always click Apply then Save. 3

4 Deleting Information Revoking Credentials 1. On the Access Control tab, highlight the credential that needs to be revoked (deleted). 2. Click Revoke Card. A message window will appear to confirm you would like to revoke the credential. Click Yes. Note Be very careful not to click Delete at the bottom of the page as this will prompt you to delete the profile in its entirety. 3. Click Save to permanently delete the credential from the profile. Deleting Profiles 1. Go to Administration People. 2. Locate the profile you would like to delete from the database. 3. On the Access Control tab, revoke/delete all credentials assigned to the profile. Note If all credentials are not revoked prior to deleting a profile, the credentials cannot be reused. 4. If applicable, delete any information in the Username and Password fields on the Login tab. Note If the Username is not deleted prior to deleting, it cannot be reused. 4

5 5. Click Delete and confirm you would like to delete the profile. Activity Log This is a log of the current portals (i.e. doors or gates) being accessed by any registered user in the system. It is a real time log and lists the name and portal accessed. It also lists when access was denied and the reason. 1. Go to Monitor Activity Log to view the log. 5

6 Note The Activity Log only lists by name and does not identify which specific credential was used. To troubleshoot specific credentials, search by first initial of the last name. Locate the person in the roster and check the date and time in the Card Number column for when the credential was last read. Processing a NOT IN NODE If a credential is not set up or set up incorrectly in the system, a NOT IN NODE message will appear in the Activity Log when the credential is used. 1. Click on the NOT IN NODE link to bring up the Issue Card Using Reader window. It will tell you which credential number was used. 2. Copy the credential number from the chart. In this example it is the 5-digit number (14964) in pink. 6

7 3. Go to Administration Lost Cards and enter the credential number into the Hot Stamp # field. Click Search. If the credential has been assigned, the name will appear on the search results list. 4. Click on the name to bring up the profile. 5. Verify the correct Facility Code (FAC) has been applied to the credential. You can find the FAC on the same chart next to the credential number. In this example it is 123 in green. 7

8 6. On the Access Control tab, highlight the credential number in question to determine which Facility Code (in the Card Format field) has been assigned to it, if any. In our example, the FAC assigned to this credential is FAC 126 which is incorrect. 7. To assign the correct FAC, click the drop down arrow in the Card Format field and select the correct FAC. In this example, it should be FAC Click Apply and Save to save the change. 9. If the credential has not been assigned, you will receive a No records match your query message. This could mean one of two things. The credential number was entered incorrectly, or An Access Control Registration Form has yet to be submitted or entered into the system.
