11 IBM FastBack for Workstations Protection of workstations with IBM RDX enclosures IBM FastBack for Workstations provides continuous data protection of desktops and laptops by copying all new or changed files to a specified path. This Tivoli field guide describes how the software is configured when used in conjunction with IBM and Imation RDX enclosures. These simple disk drive enclosures provide an effective mechanism to allow for a second copy of data to be stored. This field guide will demonstrate how this media can be used and controlled by end users as well as storage administrators. 1 IBM Tivoli FastBack for Workstations Overview End-to-end protection with IBM Tivoli IBM Tivoli offers a suite of products to help organization manage and protect their data. IBM understands that every organization is different and each has its own set of unique requirements. The range of products available is diverse but is designed to offer you, the customer, choice for the most appropriate way to protect your data. As shown in figure 1 IBM Tivoli products can deliver end-to-end solutions that are fully integrated between each component. FastBack provides enhanced data protection and recovery of critical Windows servers, integrating with Tivoli Storage Manager (TSM) allows for flexible long-term management of that data. Similarly, FastBack for Workstations provides continuous protection of endusers data, this data can be replicated directly to a TSM server to provide a more secure repository for end-users data. 12 End-user data protection IBM Tivoli FastBack for Workstations is designed to comprehensively protect end users workstations. Files, applications, or directories are continuously scanned for new or changed files which are then copied to a local storage as shown in Figure 2. Files can also be replicated continuously or on a scheduled basis to a secondary media type or target. This can be a file share, a target from a WebDev server, a TSM server or a removable disk device (external hard drive, USB flash drive etc). An end-user can maintain the configurations of the software or this can be controlled from a central management console. Whilst control of the configuration can be delegated to an administrator the end user can still recover their own data. This can reduce the number of restoration requests for help desks and allow IT administrators to focus on other tasks. Figure 2: FastBack for Workstations standard configuration 12

13 2 IBM RDX Disk Enclosures Overview IBM Hardware IBM develops and distributes a diverse range of hardware. This ranges from the System X rack server right up to the enterprise IBM System Storage DS8000 storage enclosures. IBM also re-distributes and rebrands products from other organizations. For example, many of the storage enclosures aimed at the mid market are re-branded LSI (now NetApp) block storage enclosures such as the IBM DS3300. Imation Imation design and build scalable data archive and data protection storage solutions for small and medium sized data intensive and compliance driven businesses and have been helping companies retain, retrieve and recover data for over 30 years. IBM currently OEM's (re-brands) both internal and external single RDX removable cartridge systems with capacities ranging from 160 GB thought to 1 TB. It allows smaller, either new, or well established organizations, the capability to 13

14 safeguard their valuable information with enterprise-strength resilience at an affordable price. Its easy to use, configure and manage, giving small organizations the data protection they need to protect their information from loss. The RDX devices combine the best features of the world s two leading storage technologies: Disk: Random access speed, low costs of entry, endurance and investment protection Tape: Capacity, portability and rugged cartridge design Simply, organizations can realize the potential of removable media negating the capital investment in tape (sequential media) technologies. The ability to remove media allows organizations to have copies of their important information at an alternate location should there be a disaster in their server room or office. An added capability is the ability to recover data from different points in time in case data loss occurs. The RDX enclosures whether they are internal (within an existing server) or external (connected via USB3 or iscsi) offer incredible scalability for the SMB market place, from 160GB for a single disk cartridge up to 1TB (1.5TB supported from 2013). Furthermore the enclosures that read/write to the cartridges are capable of reading all cartridges what ever their size is. More than 130 Petabytes of data have been stored worldwide on RDX disks across 250,000 customers. Figure 3: RDX Internal (left) and External (right) Disk Enclosures. Imation RDX A8 Storage Enclosure The multiple-bay RDX A8 networked storage array allows up to 8TB to be simultaneously accessed from multiple sessions. Leveraging its ability to mix different capacity RDX media (160GB to 1TB) in a single appliance, the RDX A8 provides the storage scalability that organizations value. An appliance can start with 1 bay with 1 160GB drive and scale to 8 utilized bays each with 1 TB to give a total capacity of 8TB. 15 Figure 4: Imation A8 RDX Hard Disk Storage Library 3 IBM Tivoli FastBack for Workstations and IBM RDX Removable Disk Enclosures End-user Data Protection IBM Tivoli FastBack for Workstations provides comprehensive local file-level protection for end-users. The software is installed on each end-point and enables an organization to protect each user s valuable work. To give greater resilience to this configuration IBM recommends data that is protected locally is also replicated to alternative media. Offsite or removable media gives the best option to avoid data loss should there be a disaster. Utilizing IBM RDX Removable Disk Enclosures offers the best level of protection* for most SMB s. Data that is replicated locally to an IBM RDX Disk Enclosure can be ejected and stored elsewhere for safe keeping. Disks that are ejected from an enclosure can be replaced with new or existing IBM RDX disk drives. Figure 5: End-user Data Protection with IBM RDX Single Drive Enclosure 15

16 The configuration is easy to manage from an end-user and from a management perspective. For fixed laptops or desktops an administrator can eject and replace media periodically dependent on the business requirements. Where an end-user is responsible for the replacement of the media, such as a mobile user, the same procedure is adopted. This consistency removes any complications associated with data protection of end-user workstations. Set-up & Configuration of FB for WS with IBM RDX External Single Disk Enclosure IBM RDX External Disk Enclosures connect to workstations utilizing USB 3. Where the workstation does not support USB 3, USB 2 or USB 1 is utilized instead. The RDX draws its power from mains electricity (an AC adapter is supplied). Once powered on the Microsoft Windows operating system should assign the device a drive letter. This is the path that the software will use. The device will appear in Microsoft Windows explorer such as displayed in Figure 6. Figure 6: MS Windows view of RDX device IBM FastBack for Workstations can be initially installed and configured using the guide found in the IBM Information Centre ( stallingtheclient.html). Once this configuration has been completed the user/administrator can then configure the software to replicate data to the RDX External Enclosure. Open the FastBack for Workstations management interface located in the system tray: Figure 7: FB for WS Icon in System Tray Browse to Settings > Remote Storage. This is the interface used to configure the software with RDX or any other secondary target as shown below in Figure8. 16

17 Figure 8: Remote Storage GUI Select the following options: Backup Identifier: Back up to: Location: Versions: Maximum Space: Advanced Settings: Sub-file backup: Insert the name of the end-user Select External Device Browse to the RDX media, or type in the path as it appears in Windows. In Figure 6 the location is G:\ Select the number of versions of changed files currently backed up that you want to keep on the RDX media. Select the maximum space you want to allocate for backups. The RDX disk devices do not have to be dedicated for backups. Select whether the data that resides on the RDX disk media should be encrypted the end user will have to provide a memorable password. The data can alternatively be compressed. The data cannot be compressed and encrypted, the two functions are mutually exclusive. This function should be left unchecked for this configuration. Once the options have been selected the user should select Apply and then OK. Browse to Settings > General. Select the following options as displayed in Figure 7. Back up to: This should be by default C:\. Unless a user has a secondary internal disk then this should be used instead. 17

18 Versions: Maximum Space: Continuous Protection Level: Select the number of versions of changed files currently backed up that you want to store on the local storage. Select the maximum space you want to allocate for local backups. Select Local and Remote Storage for this configuration. This will ensure all changes are continuously replicated to the RDX device. Figure 9: General Settings Every time a new file is created or changed (and subsequently saved) that file will be replicated to the RDX External Disk Drive. The Files to Protect tab that is visible in Figure 9 & 10 allows users or administrators to configure the files, folders or applications that are protected and subsequently replicated by the software. The user should see a screen similar to the one displayed below: 18

20 Procedure for replacing media On a periodic basis there may be a requirement to change the media. To perform this operation follow these steps: 1. Pause the remote replication from the system tray 2. The remote storage will appear yellow Figure 13 Figure Within windows eject the media (or do it manually by pressing the eject on the enclosure). If the media does not eject or an error occurs in Windows please wait a few minutes as there may be open handles on the directory. Figure Insert the new media into the caddy. In the example here the second media is 640GB in size to differentiate it from the first and show the procedure more completely. In Windows Explorer it appears under the same drive letter: 5. 21 Figure Log onto the FastBack interface, the software will not recognize the new path, and the following will be displayed if you hover over the lower right-hand side of the screen: Figure Select Stop from Remote Backup and wait for the screen to refresh. Select close when this has completed. 8. Browse back to Settings > Remote Storage and re-select the G drive. Select OK and then Apply Figure Browse back to the main page the remote storage destination should be highlighted in blue this can take up to a couple of minutes to refresh. 10. Data has started to replicate to the target media. The initial data transfer is slow since the software sends some configuration files across before any data is replicated. 21

22 Figure 20 Media Rotation and Restore If a user has been assigned more than one cartridge (Media) then it may be applicable to rotate the media so that other cartridges can be taken off-site / to a secure room. Alternatively and if space permits existing directories may wish to be renamed and kept on the same cartridge so that data can be retained for longer periods of time. Should a user need to recover this data and they ve subsequently ran out of space on the target directory or the version they require is older (or exceeds the number stored) then a user can browse to these previously backed up files and recover them. Following on from the previous steps the two cartridges will be used to simulate this set-up. 11. Pause Remote Replication from the system tray. 12. Eject the existing media (in this case 640GB) 13. Insert another cartridge (previously used) 14. Browse to the cartridge 15. Rename the most recent target directory. FastBack for Workstations stores the target data in RealTimeBackup named folder. In this example the directory is changed to April2012RealTimeBackup. 16. Follow steps 5-10 Figure On the media as displayed in Windows there are now two folders. The new folder and the previously renamed folder. Figure If the data is not encrypted a user can manually browse this directory for a file if it s needed for recovery. To browse for different versions of the file (providing they have correct permissions), 22

23 or browse for files that are encrypted the Restore section should be accessed from the main interface. Figure Select Files to Restore > Folder View > Change Search Location > Other and browse to the target location. In this example this is G:\April2012RealTimebackup: Figure An error will occur since the target directory must be RealTimeBackup and we have subsequently changed that name. In order to resolve this we must somehow change the directory name back to the original without altering the live replication to the newer directory. Here I ve created a directory within April2012RealTimeBackup called RealTimeBackup and subsequently copied the existing files into this directory: Figure 25 Figure Following the step 19. This time the path is G:\April2012RealTimeBackup\RealTimeBackup. Browse to the file required or folder and select as shown below: Figure Select Update Table > Next. Select a restore location and select Next. Select restore. 23

24 Troubleshooting If after step 10 replication does not restart, create a file in one of the directories that is under protection, or change and save an existing file that is protected. This will start the replication of new files. Restart the services this will refresh the settings more comprehensively. If the software fails to replicate make sure that replication is enabled (i.e. resume replication ). 4 IBM Tivoli FastBack for Workstations and Imation RDX A8 End-user Data Protection (A8) Similarly to the RDX Removable Disk Enclosure the A8 can be configured as a target for data protection provided by FastBack for Workstations. The A8 is connected to the network via TCP/IP and the destination drives are accessible via the iscsi protocol. In the configuration that follows each workstation is designated a single drive. Each A8 can therefore serve up to 8 end users. Configuration of the Imation RDX A8 This guide assumes that the Imation RDX A8 has previously been configured with up to 8 utilized drives. There are a few screen shots that may be useful for the set-up and configuration with the end-user workstations. 24

25 Under Configure > iscsi > iscsi Target we can see the IQN path. This is the path that is utilized when the workstation is configured to communicate with the device. Figure 28 Figure 29 The core information for the Imation RDX A8 as shown in Figure 29, the IP address is used in the next section for Windows to discover the iscsi path. Set-up & Configuration of FB for WS with Imation RDX A8 The following configuration assumes FB 4 WKS and the Imation A8 storage enclosure has been configured. For full set-up information for an Imation A8 please refer to: Each workstation must be configured to communicate with 1 disk drive located in the A8 storage enclosure. In the example configuration that follows, the operating system utilized is Microsoft Windows 7. The operating system has an iscsi initiator installed by default on Microsoft Windows 7. iscsi is the only currently supported way for a device to connect to the A8. 1. Start > Administrative Tools > iscsi Initiator 25

26 Figure In the iscsi Discovery Tab select Discover and enter the IP address of the Imation RDX A8 enclosure. Select OK. 27 Figure 33 Figure In this example (figure 35) the removable disk appears as Z but it may appear as another drive letter. If the device does not appear verify in System Management that the device has been found and assign a path to it. Figure Open the FB4WKS from the system tray and browse to Settings > Remote Storage. The data can alternatively be compressed. The data cannot be compressed and encrypted, the two functions are mutually exclusive. 27

28 Sub-file backup: This function should can be enabled if users are likely to have their data backed up whilst they are connected to a VPN or a low bandwidth connection. 8. Once the options have been selected the user should select Apply and then OK. 9. Browse to Settings > General. Select the following options: Back up to: Versions: Maximum Space: Continuous Protection Level: This should be by default C:\. Unless a user has a secondary internal disk then this should be used instead. Select the number of versions of changed files currently backed up that you want to store on the local storage. Select the maximum space you want to allocate for local backups. Select Local and Remote Storage for this configuration. This will ensure all changes are continuously replicated to the RDX device. Figure 36 Once set-up, data will be protected whilst a workstation resides locally to the office network and remotely e.g. from home where a VPN is utilized to establish a secure connection to the office network. Within the IBM software there is functionality that allows the management of how much bandwidth is utilized by the set-up for given network adapters when data is replicated to the target media. This can prevent connections becoming saturated when priority should be taken for other network traffic. For a local area network this could be set to 100Mb/s, when a workstation is connected to a home network (with an external broadband connection) this could be lowered to 50Mb/s. Similarly if a mobile data card/device was in use the replication could be lowered further, since backing up data may not be the priority for an end-user attempting to replicate their mail file. These settings can be changed in Advanced > Throttle Settings as shown in Figure 37. Figure 38 shows the various settings for each adapter, these can be further restricted by IP address. 28

29 Figure 37 Figure 38 Media Rotation and Restore On a periodic basis, for example monthly, an administrator may wish to change the disks that reside in the enclosures in the A8. By performing this action multiple copies or archives could be retained for longer term retention. Alternatively to keep costs low each user may only be assigned two disks that are rotated as desired. A disk cartridge can not simply be removed by selecting eject in the RDX A8 management console or pressing the eject button on the h/w. Since each drive is in use by FB4WKS and subsequently an iscsi connection is present the following procedure should be observed: 1. On the workstation in question right-click on the FB4WKS icon and select pause remote replication. Figure 39 29

30 2. On the workstation open the iscsi initiator. Under Discovered Targets select the active iscsi connections and select Disconnect. If an error occurs such as the one displayed below FastBack for Workstations still has open handles on the software, wait a few minutes and try again. If it continues to fail to disconnect, the FastBack for Workstations services may need to manually stopped. 3. Log onto the RDX A8 Management Interface. Go to Manage > Eject Cartridge. Select the relevant cartridge to be ejected. Only cartridges that don t have open handles can be ejected from the enclosure. Figure Remove the existing media and label appropriately e.g. Bob s Quarter 1. Insert a new cartridge into the enclosure. The new disk that is inserted as a replacement can be smaller or larger in capacity than the one removed this is because the RDX Enclosures are forward and backwardly compatible. This will be displayed in the management interface. 5. On the workstation open the iscsi initiator. Under Targets select Refresh. The available target should be displayed. Re-connect to the same target (or different if applicable). The device should connect and will be displayed in Windows as it did previously. In this case you can see that existing data already resides on the cartridge. The folder should be re-named so that it does not conflict with the new replication of data. 6.
