1 ACS Technical Bulletin Upgrading Pervasive.SQL to V9 General Guidelines and Instructions for Customers Running AutoEDMS v6.5 Version: 1.0.3, , RLB Overview & Assumptions The purpose of this document is to provide general guidelines and instructions for upgrading the Pervasive.SQL database engine software to V9, as it relates to an organization running AutoEDMS v6.5. In this document, the Pervasive.SQL software will also be referred to as PSQL. The instructions in this document can also be used, in general, if you re installing Pervasive.SQL V9 for a new AutoEDMS installation. However, please bear in mind that some information may not apply to a new installation. For information on how to configure AutoEDMS to use Pervasive.SQL as its database engine, please consult the online AutoEDMS Setup & Administration Manual Part 1 from the AE InfoCenter. This document assumes your AutoEDMS v6.5 software is installed on a network fileserver computer, and that AutoEDMS is currently configured to use an earlier version of Pervasive.SQL software such as V8, 2000i, 2000, or V7, which is also installed and currently running on the network fileserver computer. For this upgrade, the instructions assume you will be installing the PSQL V9 software into the same PVSW folder where your current PSQL software is installed. In addition, this document assumes: (a) you have a solid understanding of AutoEDMS v6.5 administrative utilities, tools, and procedures. (b) you have administrator privileges on your network and/or fileserver where Pervasive.SQL is installed. (c) you are qualified to perform administrative duties for the network operating system running on your fileserver or you are receiving assistance from an individual qualified to do so. It s a good idea to read these guidelines completely prior to planning your upgrade process. If you have any questions or concerns, you can contact ACS Software or Pervasive to get them answered before you begin. PSQL Server Upgrade Guidelines 1. Plan to do the PSQL V9 installation at a time when you can restart the server, if required. 2. Make sure ALL users are out of AutoEDMS at the time you perform the PSQL V9 server component installation on the fileserver. In other words, take the normal precautions you would take if you were updating AutoEDMS, including using "Maintenance Mode" to prevent users from logging in to AutoEDMS while your installation is taking place. If one or more users are running AutoEDMS at the time the PSQL V9 software is being installed at the server, irreparable damage could occur to your AutoEDMS database files. 2 3. It's not necessary to uninstall the older PSQL software at the server before installing V9. The PSQL installation routine takes care of archiving the previous installation. Just be sure to install the new version in the same folder where the older version exists, which is commonly a PVSW folder on the root of the primary server volume. 4. The PSQL server software can be installed from a workstation, provided you are logged onto the network as a user with administrator privileges to the destination fileserver. 5. If you are installing PSQL V9 to a Windows server, you should do the installation from the server console. If you are installing PSQL V9 to a Novell NetWare server, you would do the installation from your workstation. 6. Load the PSQL V9 CD-Rom into the CD-Rom drive. When the AutoStart screen appears (see screenshot below), you can select Launch PSQL V9 Server for Windows Install. If you are installing on a Novell NetWare server, the button would indicate Server for NetWare. 7. If you are installing to a Windows server where Terminal Services is running, you ll see a warning message as shown in the screen shot below. If this is the case, you can pick the link to Add/Remove Programs in the warning message. From the Add/Remove Programs dialog, first pick the Add New2 Programs button on the left, then pick the [CD or Floppy] button. You ll need to [Browse] to the Server folder on the CD-Rom in order to find the Setup.exe program file, which you should select and this will start the InstallShield Wizard for the PSQL V9 installation. Leave the Windows Add/Remove Programs dialog open until you are finished with the PSQL installation. Upgrading Pervasive.SQL to V9 Page 2 of 7

3 8. Once you re in the InstallShield Wizard for the PSQL V9 installation, you can pick [Next], then accept the terms of the license agreement and pick [Next] again to continue. 9. Enter your PSQL license number, then pick [Next] to continue. The license number should be on a document within the box containing your Pervasive software. 10. On the next dialog, you will select the setup type. ACS recommends you do the Complete installation, which is the default selection. Pick [Next] to continue, then pick [Install] on the next dialog. 11. If you get a Conflicting Programs Report dialog (see screen shot below), you should follow the advice and close the conflicting program(s) before picking [Next] to continue. Be sure to note the programs or services you are shutting down so that you can start them up again after completing the PSQL V9 installation. 12. If your server was running a previous version of Pervasive.SQL, you ll see a message indicating that previous versions are being detected and archived this is normal. The archive location is a folder named PVSWARCH at the same folder level as the main PVSW folder. If all goes well with this installation, you can delete the PVSWARCH folder later. 13. On a Windows server installation, you may see a message about the Java Runtime Environment (see screen shot below). ACS recommends you pick [Yes] to install it. 14. At this point, the main Pervasive file installation will take place. This process may take several minutes. After files are installed, some sample data will be created which is used for communications and functionality testing. 15. After all files are installed and test data created, the Pervasive System Analyzer runs to perform the tests to prove that PSQL V9 is functioning properly. Upgrading Pervasive.SQL to V9 Page 3 of 7

4 16. The first test is of the Transactional Engine, as shown in the screen shot below. 17. The path information and default choices are selected by the setup program, and in most circumstances you can simply pick [Next] to perform the test. If everything was installed correctly and is functioning properly, the test results dialog will look like the screen shot below there will be a black checkmark next to each function tested on the right-hand side. 5 18. The next test is of the Relational Engine. This is similar to the Transactional test the test information and options are selected automatically, and you normally would just pick [Next] to continue. The results dialog should also be similar to the Transactional test black checkmarks next to each function tested. Pick [Next] to continue. If any of the functions fail their test, you ll see a red X by the function name instead of the black checkmark. Pick [Help] to review information in the Pervasive online documentation and/or contact ACS Software or Pervasive for further assistance. Please be aware that if you don t have full permissions or rights to the sample data folders (under the main PVSW folder), some of the function tests will fail and this is the most common reason for failed tests. 19. At the final dialog of the Pervasive System Analyzer, you have the option of viewing the Log File, which you may want to do if one or more tests failed. Otherwise there s really no reason to view the Log File and you can pick [Finish] to shut down the analyzer. 20. Next you ll be presented with a Pervasive Registration and Documentation screen. This is a good time to register your software with Pervasive. You can review the documentation if you like, but it isn t necessary for this upgrade process or for using AutoEDMS. 21. Finally, you ll receive the last dialog of the PSQL V9 upgrade & installation process you can pick [Finish] to close the dialog. In most cases you don t need to restart your fileserver, but please do so if instructed by the PSQL setup program. If you are prompted to restart but fail to do so, the PSQL V9 software may not function properly, which will in turn affect AutoEDMS operations. 22. If you were upgrading to PSQL V9 on a Windows server running Terminal Services, as mentioned in step 7 above, you can now proceed through the final Add/Remove Programs dialogs that are waiting to be completed. 23. The server component of Pervasive.SQL V9 is now installed and should be functional. If necessary, restart any programs or services that you stopped in step 11 above. Before Upgrading the PSQL Client After installing the PSQL V9 upgrade on the server, but before you start upgrading the PSQL client on the workstations, please take care of the following 1. From your PSQL V9 CD-Rom you must copy the Clients folder to the PVSW folder on your fileserver. This action will replace the existing Clients folder under PVSW, and it provides the client software needed by each workstation. 2. In the AutoEDMS Administrator, on the Station Setup tab, you ll need to re-set the path to the client software Setup program. (a) Pick the [ ] button, which displays a dialog showing two paths. (b) Pick the [ > > ] button and browse to the Windows folder under \PVSW\Clients on the server, then double-click the SETUP.EXE file to select it. (c) This action will return you to the paths dialog, where you pick [OK], then pick [Apply] in the AE Administrator to save the changes. Upgrading Pervasive.SQL to V9 Page 5 of 7

6 PSQL Client (workstation) Upgrade Guidelines The PSQL V9 upgrade is not complete without upgrading the client component at each of your workstations that run AutoEDMS. NOTES: A Be sure you have taken care of item 1 in the preceding Before Upgrading the PSQL Client section of this document. B You must be logged onto the workstation with Windows administrator permissions/rights to that workstation. It is not necessary to be an administrator of the network. C Windows 95 is not supported. Workstations must have at least Windows 98 to install the PSQL V9 client. D It is not necessary to uninstall the older PSQL client software at the workstation before installing V9. The PSQL installation routine takes care of archiving the previous installation. E To successfully perform the tests mentioned in steps 9 and 10 below, the user logged onto the workstation/network must have Read and Write permissions/rights to the Samples and Demodata subfolders under PVSW on the server. 1. At the workstation computer, using Windows Explorer, run the SETUP.EXE program from the path \\Server\Volume\PVSW\Clients\Windows where \\Server\Volume represents the server and volume on which you installed PSQL V9. 2. On the Welcome screen of the InstallShield Wizard, pick [Next] to continue. 3. On the next dialog, you will select the setup type. ACS recommends you do the Complete installation, which is the default selection. Pick [Next] to continue, then pick [Install] on the next dialog. 4. If your workstation was running a previous version of Pervasive.SQL client, you ll see a message indicating that previous versions are being detected and archived this is normal. The archive location is a folder named PVSWARCH at the same folder level as the main PVSW folder. If all goes well with this installation, you can delete the PVSWARCH folder later. 5. You may see a message about the Java Runtime Environment (see screen shot below). ACS recommends you pick [Yes] to install it. 6. After the JRE installation, the main Pervasive client file installation will take place. This process may take several minutes. 7. Once all PSQL client files are installed, the Pervasive System Analyzer (PSA) will appear to perform tests that prove that the PSQL V9 client is functioning properly and able to communicate with the PSQL server. The first test is Network Communications enter either the IP address or the name of the server where PSQL V9 is installed, then pick [Next]. Upgrading Pervasive.SQL to V9 Page 6 of 7

7 8. The desired result is to see a message stating Successfully connected to with your server s name and/or IP address and the communications protocol used for the test. If the test was successful, pick [Next] to continue. If not, the PSA window should list the issues to be resolved and tips on how to resolve them. You can also pick [Help] for MORE information. 9. The second test is of the Transactional Engine. This test is similar to the one performed on the server simply pick [Next] to run the test. The desired result is to see a black checkmark next to each function tested on the right-hand side of the test results dialog. If you see any red X s next to a function test, see Note E at the beginning of this procedure. Pick [Next] to continue. 10. The final test is of the Relational Engine. This test is also similar to the one performed on the server simply pick [Next] to run the test. The desired result is to see a black checkmark next to each function tested on the right-hand side of the test results dialog. If you see any red X s next to a function test, see Note E at the beginning of this procedure. Pick [Next] to continue. 11. At the final dialog of the Pervasive System Analyzer, you have the option of viewing the Log File, which you may want to do if one or more tests failed. Otherwise there s really no reason to view the Log File and you can pick [Finish] to shut down the PSA. 12. Next you ll be presented with a Pervasive Registration and Documentation screen. You can review the documentation if you like, but it isn t necessary for this upgrade process or for using AutoEDMS. Pick the X box on the window to close it. 13. Finally, you ll receive the last dialog of the PSQL V9 upgrade & installation process you can pick [Finish] to close the dialog. 14. The client component of Pervasive.SQL V9 is now installed on the workstation and should be available for use by AutoEDMS. Another way to run the PSQL client setup is from the AutoEDMS Station Setup utility when you re configuring a new workstation to run AutoEDMS. Station Setup will detect if the PSQL client is installed, and if not, it will launch the PSQL client setup.
