2 Receptionist PC Console - Description Features Real time access to employee directory Monitor status of employees Integrates with your physical phone Manage Calls Click to dial, click to answer Drag/drop to transfer calls Easily establish conference calls Software vs Hardware Calls can be processed using the software application Or calls can be processed using the phone in a traditional manner 2

3 Receptionist PC Console Launch Receptionist Console Log into your End User Portal Enter your User ID (refer to your Welcome ) Enter your Password (refer to your Welcome ) Click the Log In button Click on the Receptionist PC Console link 3

4 Receptionist PC Console Log In Launch Receptionist Console Enter your User ID Enter your Password Check Stay signed in check box Click Sign In It is suggested that you bookmark this page for easy access! 4

5 Receptionist PC Console Screen Overview All call processing can be managed via the Call Console pane Manage contacts for your Enterprise (company) or add/manage personal contacts Note: The Receptionist Console software integrates with your physical phone device. All call processing, i.e., answering, transferring, conference, etc., can be done from the software or the physical phone. 5

6 Receptionist PC Console Click ANS to answer an incoming call Click End to release the call from the console 6

7 Receptionist PC Console Call status is easily identified by the status Icon next to each call To answer an incoming call WITH a call in progress, click the ANS button, this will automatically place your existing call on hold Held Call Active Call Incoming Call 7

8 Receptionist PC Console Click to ANS, CONF, TXR, HOLD or END 8

9 Receptionist PC Console - You have access to several directory options within the Receptionist Console Favorites allows you to identify individuals you want to monitor for phone status Enterprise directory is a real time directory that contains contacts from your entire company Personal directory will contain contacts personal to you that you can add and delete Search provides you the option to Search from all directories for a specific individual 9

10 Receptionist PC Console - Enter Search or partial search Search Field Click on any Contact within a directory to view contact information Status View the Status for specific individuals Click the Call button to dial that contact 10

11 Receptionist PC Console - Enter a name in the Search field Entries meeting that criteria will be filtered from the entire directory Click the CALL button to send a call to that individual 11

12 Receptionist PC Console - Within the contact, click Notes to enter a note or information about the contact, such as, On Vacation, and click OK After clicking OK, you will be able to view the note you entered for that contact 12

13 Receptionist PC Console Outgoing Call To make an outbound call, manually enter or copy/paste a Number in the dialing field Click the Phone button to send the call OR, click the Call button within a contact to place a call to that individual 13

14 Receptionist PC Console Transfer With a call in progress, find the individual you want to transfer the call to within your Contact Directories Click the TXR button, OR grab the call from the screen and left-click to Drag/Drop the call to the contact The call will be answered or roll to voic To send the caller directory to voic , click the VM button 14

15 Receptionist PC Console Conference With two calls in progress, click the CONF button The three parties will be joined into a conference call All parties included in the Conference call are displayed in the Conference Call field Click HOLD to place either party on hold Drop any party by clicking END Click LEAVE to leave the conference call and the other parties will remain connected 15

16 Receptionist PC Console If you are not sure what a button or tool is for, hover over the button for a brief description anywhere within the Receptionist Console 16

17 Receptionist PC Console You can monitor the status of individuals from your Enterprise, that are designated as Favorites Expand the Favorites directory Status will change as your contacts phone status changes Idle Busy Ringing Unknown Do Not Disturb Call Forward Always 17
