Polaris 4.1.640 Receipt Features Office of Library Information Systems This documentation lists Polaris 4.1 new ereceipt features and new receipt options. ILS Committee agreed to enable the ereceipt option for all libraries in MAIN with only the email receipt option, not the TXT option. At the end of the documentation, a list of receipt / slip options are listed. OLIS will have to enable or select the options for each library. In Polaris 4.1, patrons can receive email or TXT receipts for checkout, renewal and paid fines from the staff client, and for renewal from the PAC. In order for the patron to receive an email receipt, both the library where the receipt would be printed and the patron s library have to enable the ereceipt option. The TXT receipt is not rendered properly, e.g. the text message has a broken link, item barcode is rendered as a phone number link, and a field could be truncated if it is too long. For MAIN, the ereceipt is enabled for all libraries and only the email receipt option is selected. Now that the ereceipt feature is enabled, the patron needs to opt in to receive email receipts, which is explained below. A. Patron Opts in to ereceipt Patron can opt in to receive email receipts in two ways. The library staff member can select the option in the staff client. The patron can also select the email ereceipt option in the PAC. Updated on 1/7/2013 1 of 10
a) Staff Client There is a new ereceipt option on the Patron Registration workform Addresses view. If a patron opts to receive email receipts, the circulation staff can select Email Address in ereceipt option for the patron. See Figure 1 for Patron Registration ereceipt Workform. b) Power PAC and Mobile PAC Since all libraries have the ereceipts option enabled, we also enabled the ereceipt option for patron to select on the self-registration and account update pages from PAC. B. Verify Patron Choice: In the header area of the Check Out and Patron Status workforms, the ereceipt field will be Yes if patron has the ereceipt option selected; otherwise, the ereceipt field will be No. See Figure 3 Patron ereceipt Option on the Workform. C. Check-out Email Receipt Options The options for printed receipts in 4.1 are the same as in 4.0. With email receipts, there are two additional options: the summary data and custom note from printed receipts. The summary data includes the following patron account information: number of items currently checked out; number of open requests, number of items with a status of Held; total amount of unpaid charges. The custom note from printed receipts can be updated from the staff client Circulation, Options, Receipt Printer Options. See Figures 4.1 and 4.2. Both the summary data and custom note from printed receipts options are checked for all libraries based on ILS Committee s suggestion. D. Renewal In 4.1, there is a new option, Send receipts for renewal from PAC. This feature is also turned on for all libraries. With this feature, the library patrons with the email ereceipt option selected will receive a renewal email receipt when they renew items from the PAC. When a patron renews items from the PAC, the renewal receipt email subject is You renewed library items. A bug has been confirmed with Polaris that if items are renewed in the staff client, the renewal receipt email subject is Checked-out from your library. E. Hold Pickup Slip The default option for the Hold Pickup slip is the horizontal slip, same as in 4.0. In 4.1, two more options are available: the vertical hold pickup slip and the tag hold pickup slip. Only one option can be enabled for a library. a) Horizontal Hold Pickup Slip Horizontal Hold Pickup slip is the default option. This slip is the same as in 4.0. b) Vertical Hold Pickup Slip The vertical hold pickup slip prints patron s name in vertical form, last name first, then a comma (,), then first name. The patron name in the vertical slip is not as bold and large as it is in the horizontal slip. c) Tag Hold Pickup Slip The tag form of the hold pickup slip is inserted into the material with patron name and pickup date exposed at the top of the slip, printed horizontally, and the tail of the slip is inside the material. F. Fine Receipt In 4.1, a library has the option to print duplicate fine receipts as required by some agency audit policies. If this option is enabled, it prints two copies of a fine receipt. Another feature in Fine receipt is in the staff client Tools Options menu on each local PC. There is a new option for the Fine receipt, only if no ereceipt. See Figure 7 for Fine Receipt in Tools Options. If the new option is not checked, printed receipts are produced in addition to ereceipts for patrons who have opted to receive ereceipts. If the new option is checked, fine receipts are printed only when the patron does not have the email ereceipt option selected. A patron who has opted to receive ereceipts will always receive ereceipts for fines, regardless of these settings. Updated on 1/7/2013 8 of 10

H. Actions to Opt to Have Features Enabled or Options Selected If your library would like to have new receipt options or enable a receipt feature, please open a ticket to specify your preference: The Hold Pickup slip If your library currently prints the horizontal Hold Pickup slip and wants to change to the vertical or tag Hold Pickup slip, open a ticket. See Figure 4 for the Hold Pickup slip in different forms. The Fine receipt If your library opts to have duplicate Fine receipts, open a ticket.
