1 Sirsi Unicorn Holds Instructions Placing Holds: Use the Place Hold wizard place holds on items. 1. On the Holds Information and Maintenance toolbar, click the Place Hold wizard. The following window appears: 2. Identify user Scan the barcode from the user s card, or type the User ID and click Get User Information. 3. Identify item Click on the Item Search and Display helper to select the title for the hold. The following screen will open. 1

2 4. Select a title and highlight an item and the Place Hold button will light up. If your library owns the title, highlight your library s item. Click the Place Hold button. This takes the user back to the Place Hold window 5. In the Pickup at box, select the location where you want the item held. The Pickup library should be the library where the hold is being placed. 6. In the Expires box, click the gadget to select a date. This is the date that the hold will be removed from the item. This is an optional entry. 7. In the Comments box, type information that is important about the hold, for example, how to notify the patron when the hold becomes available. This is an optional entry. This information displays when viewing the hold and when a staff member makes a hold available. 8. If the patron is going on vacation or wants to be temporarily removed from the hold queue, type the effective date in the Date suspended box. In the Date unsuspended box, type the date the patron wants to be restored in the list queue. During the suspension period, the patron will not lose his place in the queue. These are optional entries. 9. After all relevant options have been selected click Place Hold. The following screen appears: 2

3 9. Click Place Hold for Another User to place a hold for a different user or Close to exit Holds. Processing Holds Print the On Shelf Holds Report (Equivalent to the Router List in Carl) using the Holds Login. Place the items in Transit to send them to other libraries to fill a hold Receive items coming in from other libraries to fill Holds placed for your patrons. 1. Printing On Shelf Holds Report: a. Login to WorkFlows using the Holds Password User ID: HOLDS PIN: HOLDS b. If you are not already on the Reports Toolbar, click on Preference, click on Desktop, click on Current Toolbar and Select. Click on Reports. You can also right click on any point in the current toolbar, a window will open, click on Select Current Toolbar and then click on Reports. c. Click on the Finished Reports wizard. The Finished Reports: Set Session Settings window opens. The Application to view reports box should contain the following program information: C:\Program Files\Windows NT\Accessories\WordPad. If this information is not in the view reports box it can be typed in or you can use the gadget to enter the correct path. To use the gadget click on the gadget and go to My Computer, click on Local Disc C: click on Program Files, click on Windows NT, click on Accessories and 3

4 click on Wordpad.exe. This step needs to be done the first time you access Finished Reports. d. Click OK and the following window will open: 4

5 e. Highlight your library s Onshelf Hold Items report and click on View to view the report. 5

6 f. The Finished Reports: View Finished Reports window will open. Select check box View Result and check box Format Report and click OK. The report will open in WordPad and is ready to print from a local printer. 7 g. Once you have the On Shelf Holds Report in hand, you are now ready to trap the holds and put them on the hold shelf for local users or place items In Transit to other libraries. h. Exit Workflows and login using your library s circulation login. i. Follow the instructions on Page 3, b to change toolbars. Select Circulation. NOTE Items on the List Onshelf Items with Holds report continue to appear on the list until you do something with them. For example, if an item is missing you must change the status to MISSING before WorkFlows will look for a different copy. 2. Trapping Holds a. Click on the Holds Information and Maintenance Group Wizard b. Choose the Trap Holds Wizard The Trap Holds Wizard opens with the cursor blinking in the Item Id box. c. Wand or type in the Item ID of the items on your On Shelf Holds Report. The following window will open: d. Items requested for pickup in another library will display a message to route the item to the pickup library. This will also change the location to In Transit. 7

8 e. Items requested for pickup in your library will display a message to route the item to Holds. The location will change to Holds. f. Hold and In Transit slips will be printed at libraries with receipt printers configured to print Hold and In Transit receipts. g. The items are now ready to be placed on the hold shelf in the local library or packaged and shipped to the pick up library. 3. Receiving Items in Transit: a. These are items that are coming into your library via CD&L delivery. b. Using the Receive Items In Transit wizard or Check Item Status wizard c. Wand in the barcodes of the items you have received. 8

9 d. The following window will appear with a message to route the item to Holds and gives the name and User ID of the patron with the hold. e. Click the Receive another Item button or Close to exit Receive In Transit. f. Once the items are received they can be placed on the Hold shelf and libraries can notify patrons that the hold is available. Libraries should notify patrons using notices or phone calls as they have in the past. Items are now ready for patron pick up. g. Hold requests being filled by items from other LMxAC libraries should be charged out to the patron requesting the item. It is no longer necessary to charge out items to the pick up library. Items from other LMxAC libraries will be charged out to the patron using the item barcode on the item. There is no longer a need to create a brief or temporary record to circulate items from other Consortia libraries.
