Configuring Microsoft Outlook for Hosted Exchange Service How to configure Microsoft Outlook client software to connect to the Hosted Exchange service To configure the Microsoft Outlook client software to connect to the Hosted Exchange service, please follow the instructions below: Configuring Microsoft Outlook Client for Hosted Exchange Service On the PC you wish to configure Outlook on, open the Control Panel by going to Start Control Panel Once in the control panel, on the top right corner of the window, next to View by: select Small Icons Next, click the Mail icon in the Control Panel list of items. In the Mail Setup window, click the Show Profiles button to open the Outlook Profiles window. In the profiles window, click the Add button to create a new Microsoft Outlook Email Profile. You will then be asked to provide a name for the new profile you are trying to create. In the Profile Name field, type in a name you wish to call the profile (i.e. Hosted Exchange) Click the OK button to continue. Page 4 of 7
You will then be presented with the Auto Account Setup window. First, type in your full name in the Your Name field. In the Email Address field, type in your Hosted Exchange email address (i.e. Joe.Doe@trial.hostedlync.com) In the Password field, type the password that was provided to you for your Hosted Exchange account. You will need to retype your password to confirm. Click Next to continue. The Outlook client will then begin to search the internet for the appropriate settings for the email account information you have entered in the previous step. Please wait a few moments while the Outlook client searches for the correct settings. If prompted to allow the website to configure your email accounts server settings, check the box next to Don t ask me about this website again and click the Allow button to continue. Page 5 of 7
You will then be presented with a username and password prompt to authenticate the email account. In the User name field, type your Hosted Exchange email address. In the Password field, type your Hosted Exchange password that was provided to you. Check the box next to Remember my password to allow the Outlook client to remember your password. Click OK to continue. Once the configuration was able to successfully find the server settings for your email address, you will be presented with a message stating Your e-mail account is successfully configured to use Microsoft Exchange. Click Finish. You will be brought back to the list of mail profiles. You will now see your new Hosted Exchange mail profile you just created in the list of profiles. If you have multiple profiles, select the bullet next to Prompt for a profile to be used. This will allow you to choose with mail profile to use every time you open the Microsoft Outlook client. Click OK to complete the configuration. Page 6 of 7
To open your new mail profile, open the Microsoft Outlook application on your PC. If prompted, select the profile you created in the previous steps and click OK. After a moment, you will see a new dialog window pop up stating that Outlook is preparing for first use as this is the first time your Outlook client is trying to open this mail profile. Once this process is completed, you will have access to your new Hosted Exchange email account in Microsoft Outlook. You are now ready to send and receive email messages. Page 7 of 7
