Overview SAP BusinessObjects is embedded with SHR. Using one of the features called Schedule in BusinessObjects you can distribute the output (PDF, CSV, Excel, and Web-Intelligence report) to destinations like Email, FTP server, BusinessObjects Inbox, Microsoft SharePoint, and shared drive. Scheduling Scheduling is a process that allows you to run an object automatically at specified times. When you schedule an object, you choose the recurrence pattern that you want and specify additional parameters to control exactly when and how often the object will be run. Type of Scheduling Schedule to BusinessObjects Inbox Schedule to FTP server Schedule via Email Schedule to Filesystem (Local Drive/Shared Location/SharePoint) How to schedule? Scheduling can be done via Business Objects InfoView as well from Central Management Console (CMC). InfoView: Login to InfoView Click on Document List Click on Public Folders Go to the folders where the web intelligence report resides Right click and select the Schedule option. CMC: Login to CMC Click on Folders Go to the folders where the web intelligence report resides Right click and select the Schedule option. Schedule Parameters Report (instance) Title The default report name is displayed. If you choose to rename the report, type the name in the Instance Title field Note: This only renames the report that will be delivered to your Inbox. It does NOT rename the report found in the Public folder. Recurrence Here, you specify a date and time for running the report. Each option in the Run object drop down list has its own specific data entry requirements. Some popular options are: Now When you click Schedule, the report runs immediately.

Daily This option requires a start and end time parameter. The report runs once every N day at the time specified. The report will not run after the end time that you specify. Weekly This option requires a start and end time parameter. Each week, the report runs on the selected days at the time specified. The report will not run after the end time that you specify. Monthly This option requires a start date and time, along with a recurrence interval in months. The object runs on the specified date and time every N month. The report will not run after the end time that you specify. Prompts If any prompts on the report, please assign the values to the prompts.

Formats and Destinations First select the output format which we want to see either web intelligence report, PDF, CSV or Excel Next, select the Destination where this report should reside after successful schedule, like Inbox (it is BusinessObjects Inbox), File Location, FTP Server, and Email Recipients. The Details of the destination we can enter here for each report or we can set once in BusinessObjects CMC servers. By Default Destination option is Use the Job server defaults. You can also provide the default options for the generated report names (title, ID, owner, date and time, and email address). You can also clean up instance after scheduling.

Parameters to be Enabled in CMC In order to work these destination options to Business Objects job servers must be enabled. Here is the step-by-step procedure to setup the System. Go to CMC Servers Right click on Adaptive Job server click Destination. From the Destination drop box, add all the four options (Email, Business objects Inbox, File System, FTP server) Now we will go through the options you need to provide for each of the four options. Email Provide the following options for Email as shown below. Provide Domain name and Host and the port is default 25 (check with the admin that this port is free to use if scheduling fails), From, To and CC. Make sure you have proper subject (select different options from the drop down box: in the following image, date time is selected in the subject) and message. Deliver the document as attachment; provide different name and extension of file.

FTP Server Provide the details as shown in the following image. Provide hostname, port, username, password, and the directory where you want to save the reports. File System For the file system, provide the details of Directory where you want to save. If it is local Business Objects server: For example, represent as c:\temp\generatedreport\ If it is shared drive: For example, represent as \\<Servername>\c$\temp\ If it is SharePoint: For example, provide UNC path as //xyz.sharepoint.abc.com/shared Documents/BSI/archive BusinessObjects Inbox For the BusinessObjects inbox, provide the users or group which you need to send. The following image explains it.

NOTE: Repeat the above steps for all Job servers like Destination Job Server, Desktop Intelligence Job server (if any custom DeskI report developed), and Publication Job server. Destination Options BusinessObjects Inbox If you select the Destination as inbox, you must fill the following properties for successful output of the schedule report. We need to select the users or groups for which the reports need to deliver. You can also have an option to specify the proper title for the report, below screen shot explains the options.

This will send the output of the report to your BusinessObjects inbox. FTP Server In order to generate the schedule output to the FTP server as shown below, follow the instructions in InfoView Provide Hostname, Directory where you want to save the output, Port, username of the server, password and also provide the filename which is automatically generated or give specific name with the options

File System (Local Driver/Shared Drive/ Microsoft SharePoint) In order to generate the schedule output to the File Location as shown below, follow the instructions in InfoView Provide the Directory Name that you want to publish. If it is a local drive, provide c:\temp for instance If it is a shared drive, provide as follows If it is a Microsoft SharePoint location, provide UNC path like //xyz.sharepoint.hp.com/shared Documents/BSI/archive (additional information that you must provide for SharePoint is discussed below). Email In order to generate the schedule output to the email address as shown below, follow the instructions in InfoView

Provide From, To, Subject and Message, filename, extension all the required information below. NOTE: Provide an email address that belongs to the domain in which you set up CMC. These are the destination options you can set in BusinessObjects. Scheduling to Microsoft SharePoint Unlike other options, some extra parameters or steps are needed to schedule a report to SharePoint. The BusinessObjects server and SharePoint server must be in the same domain. (Right-click on Computer, select Properties, verify the option for domain; this must be to the same as your SharePoint server domain) Click Start >> Run Enable and start the service Webclient. Click Start >> Control Panel >> Add or Remove Programs >> Add/Remove Windows Components. Uncheck the box with the label Internet Explorer Enhanced Security Configuration >> Click Next. Logon to Business Objects Server using the service account used to authenticate against the SharePoint Server. Open Internet Explorer >> Tools >> Internet Options >> Security >> Local Intranet >> Sites >> Advanced. Add the hostname and hostname.domain.com of the SharePoint Server to the Trusted Sites. Do NOT prefix the name with http(s). Open Internet Explorer >> Tools >> Internet Options >> Security >> Local Intranet >> Custom Level >> User Authentication >> Logon

Choose the radio button with the option Automatic logon with current username and password. >> Ok >> Ok. Create a registry entry AuthForwardServerList of type Multi-String Value at HKEY_LOCAL_MACHINE\SYSTEM\CurrentControlSet\Services\WebClient\Parameters\. Type the names of the computers hosting the SharePoint service as a list in the Value Data, one name on each line. Click OK. Reboot the Business Objects Server. NOTE: If a logon prompt appears for a user who has access to Microsoft SharePoint, while browsing the given UNC location from the Business Objects server computer, the steps mentioned above must be rechecked. Scheduling to Microsoft SharePoint will not work unless the user is allowed to access the UNC location without being challenged for credentials.
