Introduction n About This Guide This user guide describes the DRC INSIGHT Portal, which is the online interface for performing administrative functions, such as student and test management for both paper/pencil and online TerraNova testing. Throughout this guide, the DRC INSIGHT Portal is referred to by its full name or simply as the Portal. Specifically, this guide discusses how ACSI/CSP schools need to complete online enrollment (or registering for machine scoring) and precode (or student file upload.) This guide also offers general information for setting up and accessing a DRC Portal account, and how to navigate through the menus. n Audience The primary audience for this guide is the Association of Christian Schools International s (ACSI) Student Assessment Services: Christian School Program s (CSP) School Test Coordinators, and ACSI Organization staff that support the ACSI/CSP TerraNova testing program. The primary users of this guide are those school personnel who are responsible for online enrollment, or registering their school for machine scoring, and precode, or creating and uploading a student data file so that DRC can print and send barcoded labels. n Section Summaries n Training Information This guide is divided into various sections: The Working with the DRC INSIGHT Portal section covers basic Portal tasks, such as logging on and changing your password. The Online Enrollment for Machine Scoring section describes how to verify school contact information on the CSP Order Entry Report, and access and complete the CSP Order Entry Form for online enrollment for machine scoring. The Student File Upload section describes how to upload a TerraNova Precode student file into the Portal. In addition, procedures for adding individual students to the Portal and editing student information are described. Information provided in this guide is explained and extended in a series of on-demand training modules. For access to the training modules, contact ACSI Member Care at 800-367-0798. Page 5

Introduction DRC INSIGHT Portal Permissions Matrix For TerraNova testing, the Portal uses the following roles: ASCI (District), School Test Coordinator (School), or Teacher (Educator). Each user will be assigned a set of functions, called permissions, to allow the user to handle the testing responsibilities. The table below lists the Portal menu to which the permission applies, the current Portal permissions, a description of the function(s) the permission allows, and the roles that are recommended to be assigned the permission. Working with the DRC INSIGHT Portal Accessing the Portal If you are a new Portal user, you receive an email containing your user name and a link. Clicking the link displays a screen that allows you to choose your password. Then, you are prompted to read and accept the Security Agreement to activate your account (see page 9). A sample email is shown below. Your Portal user name is your email address. Click this link then follow the instructions in the Portal to create your password and activate your account. Page 8

Accessing the Portal (cont.) Working with the DRC INSIGHT Portal After you reset your password (and each time you return to the Portal), the Welcome to the DRC INSIGHT Portal page displays. 1. Enter the Portal URL https://tr.drcedirect.com in a supported browser. The Welcome to the DRC INSIGHT Portal page displays containing helpful information about documentation and support resources. Note: You can access Documents without logging in to the Portal. From the All Applications menu bar, select General Information, then choose Documents. 2. From the Welcome to the DRC INSIGHT Portal page you log in to the Portal. Enter your username and password in the Please Log In dialog box, and then click Log In. 3. The first time you log in to the Portal, the Accept the Security and Confidentiality Agreement page displays. You must check the Accept Security Agreement checkbox and click Confirm Accept to continue. Note: You cannot continue to use the Portal without checking this checkbox. To read the Security Agreement, see Displaying the Security Agreement on page 13. Page 9

Working with the DRC INSIGHT Portal Accessing the Portal (cont.) After a successful log in, the Welcome to the DRC INSIGHT Portal page reappears with menu options for navigating the site. TerraNova customer service contact information displays on the Welcome page; however, ACSI/CSP Schools should always contact ACSI Member Care at 800-367-0798 or member_care@acsi.org. 4. When the Welcome page reappears, click the All Applications option to display a menu bar containing the various Portal functions that you have permission to use. For more information about these functions, refer to the specific section in this user guide. Page 10

Changing Your Password Working with the DRC INSIGHT Portal This topic describes how to change your password within the Portal. This process applies to existing Portal users only. 1. If you are an existing Portal user, to create a new password, click on your name in the top right corner of the page. The new password must meet the following conditions: The password must contain at least eight characters, including: - At least one numeric character - At least one lowercase character and at least one uppercase character - At least one of the following special characters:!@#$%^&* The password cannot contain your username, first name, or last name. 2. When the Manage Account page appears, click edit next to Password to change your password. 3. When the Change Password page appears, enter your current password in the Current Password field, your new password in the New Password and Confirm New Password fields, and then click Update Password. Working with the DRC INSIGHT Portal Recovering a Forgotten Username or Password If a user forgets his or her password or username, the user can attempt to recover it. If the request is successful, the user receives an email containing his or her username or password. 1. If you are an existing Portal user and you forget your username or password, click the Need Help? link on the Please Log In dialog box. 2. When the Log In Help page appears, click I don t know my username to recover your username, or I don t know my password to recover your password. 3. Enter the correct information in the dialog box that displays and click Send. An email will be sent to you containing your username or password, based on your request. To recover your username, when the Recover Username dialog box appears, enter your Portal email address in the Email Address* field and click Send. To recover your password, when the Recover Password dialog box appears, enter your Portal username in the Username* field and click Send. Page 12

Displaying the Security Agreement Working with the DRC INSIGHT Portal You can click the Security and Confidentiality Agreement link at the bottom of any Portal page to display the Accept the Security and Confidentiality Agreement for the Portal (you also can print the agreement). The first time you access the Portal, you must agree to the terms of the agreement to continue using the Portal (see page 9). Click Security and Confidentiality Agreement to display the Security and Confidentiality Agreement for DRC Applications. Page 13

Working with the DRC INSIGHT Portal Displaying the Minimum Browser Requirements You can click the Minimum Browser Requirements link at the bottom of any page to display the Minimum Web Browser Requirements page listing browser requirements, with links to browser pages and additional information. This page details the Portal web browser requirements for the Windows, Mac (OS X and macos), and Linux operating systems. When you click the Minimum Browser Requirements link at the bottom of the page, the Minimum Web Browser Requirements page displays a list of the web browsers that are certified to use with the Portal. The page contains links to web browser home pages, organized by operating system that you can use to learn about and download different web browsers. The Additional Information section contains links to descriptions of other items such as JavaScript and session-based cookies that are required for browsers to use the Portal. Page 14

Online Enrollment for Machine Scoring Introduction From the Report Delivery menu, Portal users can verify school contact information, provide enrollment and demographic information, and select optional scoring services. Providing this information ensures that DRC has accurate data to create and send the customized Test Coordinator Kits, which include precode labels and scoring materials for machine scoring. Open the All Applications menu bar and click Report Delivery to display the Report Delivery menu. Select View Reports from the Report Delivery menu to access the Order Entry Report. Page 16

Access the CSP Order Report and CSP Order Entry Form Online Enrollment for Machine Scoring Prior to submitting online enrollment information for machine scoring services via the CSP Order Entry Form, you must first verify your school contact information on the CSP Order Entry Report. Portal users can access the report from the View Reports page. 1. From the All Applications menu bar, select Report Delivery then View Reports. The View Reports page displays. 2. Select the TerraNova administration, then select a district and school. Select CSP Order Entry Report from the drop down menu and click Show Reports. A list of reports that match the selection criteria displays at the bottom of the screen. 3. In the Action column, click the Open PDF icon for the CSP Order Entry Report to open the report. 4. Use the report to confirm the contact information is correct. If needed, follow the on-screen instructions for updating information. Read the Instructions section of the page. For best results, read the instructions on the screen in the Portal. Click CSP Order Entry Form to display the form. Page 17

Online Enrollment for Machine Scoring Access the CSP Order Entry Form (contd). The CSP Order Entry Form includes on-screen instructions and is divided into separate sections as shown below. Required fields on the form are marked with a red asterisk (*). Complete all required fields (*) and any applicable optional fields. Note: This form cannot be saved. If you close the form before submitting it, your changes will be lost. Page 18

Online Enrollment for Machine Scoring Access the CSP Order Entry Form (contd). 6. When all fields are complete, you can select Send me a copy of my responses and enter your email address. When you submit the form, you will be emailed a copy of the form including your selections for your records. 7. Click Submit to submit the form. If you have left a required field blank, an error message displays. Complete all required fields and click Submit again. Note: After you click Submit, the form is locked and cannot be updated. Contact ASCI member care if you need to make changes. Page 19

Upload a Student Precode File Student File Upload Use the Manage Students page to create and upload a precode file containing student information into the Portal. The file must be in the comma separated value (.csv) format used by Microsoft Excel (and other spreadsheet programs) and the fields in the file must be in specific columns. IMPORTANT! Make every attempt to maintain and upload only one precode file: If you upload a precode file with the same students multiple times, multiple barcode labels print for those students. To avoid multiple precode file uploads, you can use the Portal to add and edit information for individual students. For more information, see Adding a Student to the Portal on page 25 and Editing a Student s Information on page 27. 1. To create and upload a student Precode file, click All Applications to display the menu bar. Click Student Management and then click the Manage Students tab. The Manage Students page displays. 2. On the Manage Students page, click the Upload Multiple Students tab. Use the drop down menu filtering options to select the correct administration, district, and school. Throughout the file upload process, instructions and status messages display. Keep in mind, messages from a previous file upload may display as you begin the process. Note: TerraNova users can ignore messages about uploaded files discarding previous versions. Page 21

The Upload Multiple Students tab contains links to both a sample PDF file that contains instructions and a sample.csv file that you can use to create the actual file. Click the Download the File Layout link to display the Student Precode File Layout - TerraNova file. This file displays the required layout of the.csv file you will upload to DRC with rules, instructions, and examples describing how to create and format the file. Page 22

Student File Upload Upload a Student Precode File (contd). 4. Click the Sample File link to download or display the Sample Precode spreadsheet file. This file is only a sample of the type of file you will upload to DRC. Note: Depending on the browser you are using, a dialog box may appear for you to use to open or download the file. 5. Use the sample Precode spreadsheet file to create, rename, and save a student file to upload. Note: Be sure to keep the header column rows in the file you upload. Page 23

Student File Upload Upload a Student Precode File (contd). Note: Previous upload files are NOT overwritten by the file you are uploading. For best results, do not upload files that contain the same students more than once. Multiple barcodes will print for those students. 6. After you have created a student file, click Browse to locate it, select the file, and click Open to display it in the File field of the Upload Multiple Students tab. 8. This message displays for a successful file upload. Note: There may be errors within the file that did not load properly. Click the student file link in the message to validate the file data. 7. Click Upload. A message displays indicating the file has been transferred and is being checked for errors. 9. This message displays for an unsuccessful upload. If the file contains errors, no data from the file is uploaded. You must correct all errors and repeat Steps 5 and 6. Click the error report link in the message to display the errors. Page 24

Adding a Student to the Portal The Add Student page allows you to add students (one-by-one) to the Portal. Student File Upload 1. To add a student, click All Applications to display the menu bar. Click Student Management and then click the Manage Students tab. The Manage Students page displays. 2. Use the drop-down menus to select an administration, district, and school for the student. 3. Click Add Student. The Add Student page displays. Page 25

Student File Upload Adding a Student to the Portal (cont.) 4. On the Add Student page, enter the student information in the fields and on the various tabs on the page. Fields with a red asterisk (*) are required. 5. Click Save to save the student information. You are returned to the Manage Students page, where a confirmation message displays. Click Save & Add Another to save the student information and add another student. You remain on the Add Student page, where a confirmation message displays. Click Cancel to exit without saving student information. Page 26

Student File Upload Editing a Student s Information The Edit Student page allows you to add or edit student information. 1. To edit student information, click All Applications to display the menu bar. Click Student Management and then click the Manage Students tab. The Manage Students page displays. 2. To search for one or more student records, use the various drop-down menus and fields to enter search criteria and click Find Students. 3. Click the View/Edit icon ( ) in the Action column for the student whose information you want to edit. The Edit Student page displays. 4. Edit or add information to the various fields and tabs on the window, then click Save. Page 27
