Introduction The Skills Funding Agency requires all apprenticeship Training Providers funded by the SFA to supply information about the apprenticeships they offer. This document provides a quick step-by-step guide on how to do this. For further guidance on how to use the Portal such as how to add a new User, please see the Help Guide for SFA Funded Providers 1. Inputting data As a minimum, all mandatory fields must be populated to enable the information to be saved. These fields are marked with a red asterisk. Locations Locations are used to provide details about where your apprenticeships can be delivered. You can have multiple locations; it is easier to enter all the locations first. If you have previously uploaded your non-apprenticeship SFA funded course information to the Portal, your existing list of locations will be available for you to link to your Apprenticeships. Check that your location list is complete and add any new locations if necessary. An Apprenticeship is usually delivered at various different places, for example the qualifications are delivered at a training provider location and the work-based learning at the employer site. If this is the case, please use only the main location when adding that Apprenticeship to the Portal. Please Note: If you miss out a location, there is an option to add a new location later in the process when adding/amending an apprenticeship. Adding a new location To add a location, click on Apprenticeships and Add a new location. Page 2 of 13
There are 2 mandatory fields marked with a red asterisk that must be populated, these are: Location Name (this must be unique) Postcode However, where possible you should complete as many fields as possible to give learners the most accurate and complete information. Click the Create button to save the location. Amending a Location To amend a location, click on Apprenticeships and View all locations. Page 3 of 13
Click the Edit link under the Actions column against the venue you would like to amend. Amend the required fields. Click the Save button to save the location. Archiving a Location If an apprenticeship no longer runs at one of your locations you can archive it, to do this follow the steps above but click the Archive button. Page 4 of 13
Apprenticeships Entering information in to the Apprenticeships section of the Portal provides details of the course content which will help potential learners when making their learning choices. Each apprenticeship must be linked to at least one location. Adding a new Apprenticeship To add a new apprenticeship, click on Apprenticeships and Add a new apprenticeship. There is 1 mandatory field marked with a red asterisk that must be populated, this is: Framework / Standard Name However you should complete as many fields as possible to give learners the most accurate information. The Framework / Standard Name field will populate as you begin to type. All currently approved Standards and Frameworks are available. Page 5 of 13
Hovering over this icon next to each field will give you further information. The Additional Information field should be used to provide further details about the Apprenticeship for example an overview of the Apprenticeship. Bullet points, paragraphs and headings can be formatted in this field using the editor buttons. The Framework/Standard Website field should be populated with the URL for the page in your website which shows further details of the specific apprenticeship (where applicable). The Contact Website field should be populated with the URL for contact details or the enquiry/enrolment page of your website. Click on the Create button to save the Apprenticeship. If you do not go to the next stage and link the A,pprenticeship to a location, it will be held as Pending and will not be published with your live data. Please refer to section Assigning pending apprenticeships a location to link a location and make the apprenticeship live or follow the instructions below. Click on the Create and Add Delivery Location button to save the apprenticeship and link/add its delivery location. To link a location already on the Portal, select the relevant one from the Location drop down list. Enter a number in the Catchment Radius (miles) field, this will show in miles how far the catchment area is from the delivery location. Potential learners will use this information when searching for apprenticeships in their local area. Page 6 of 13
Tick one or more options for the Delivery Mode, the options are: 100% Employer Based. Select this option if the whole apprenticeship is delivered on the employer s premises. Block Release. Select this option where the Apprentice is released for blocks of time to attend college to complete their Apprenticeship, for example one week per month. Day Release. Select this option where the Apprentice attends college one or two days per week to complete their Apprenticeship. Click the Create button to save this location against this apprenticeship. To add additional locations to this apprenticeship, click on the Create and Add Another Delivery Location button, this will refresh the screen to enable another location to be linked/added. To add a new location from this page, click on the Create New Location link. Populate the mandatory fields as detailed in the Adding a new location section. Linking pending apprenticeships to a location To link a location to a pending apprenticeship, click on Apprenticeships and View all apprenticeships. Page 7 of 13
Click the Edit link under the Actions column against the pending apprenticeship. Page 8 of 13
Scroll down to the bottom of the page and click on the Add New Delivery Location link. Select the relevant location from the Location drop down list. Enter a number in the Catchment Radius (miles) field, this will show in miles how far the catchment area extends from the delivery location. Remove a location from an apprenticeship To remove a location from an apprenticeship click on Apprenticeships and View all apprenticeships. Scroll down to the bottom of the page and click on the Edit link against the location you would like to remove. Page 12 of 13
Click on the Delete button. This will remove the location from the apprenticeship. If you only had one location against the apprenticeship this will put it into pending until another is added.
