Office 365 The Basics Office 365 is a package of productivity software and related services that are enabled over the Internet (cloud services). Included is the full Microsoft Office Suite, OneDrive for Business, Skype for Business, OneNote, Sharepoint, and other services. Number Title Description App Launcher The app launcher gives quick access to all available apps. Tiles The tiles are the quick launcher for each Microsoft online app. User Settings Settings that control the user profile such as picture and contact information. Site Settings Settings that control app functions and general Office 365 settings. Install Help The Install link is a shortcut to the software download section of Office 365. This opens the Microsoft 365 help window. Office 365 Button The Office 365 Button will take you back to the Office 365 landing page. Signing In The Towson University Office 365 portal is the gateway to access the Microsoft Online Web apps as well as your personal Microsoft OneDrive for Business. 1. Navigate your web browser to office.towson.edu. Changing the Office 365 Theme Office 365 gives users the ability to customize their theme. 1. Click the gear icon in the upper right-hand corner. 2. Click the down arrow in the Theme section. The theme options will appear. 3. Select the desired theme and click Save. 2. In the first text box, enter your primary Towson University email address. 3. In the next text box, enter the password associated with your email address. 4. Click the Sign in button. You will be taken to the Towson University Office 365 landing page. Installing the Office Apps Office 365 gives users the ability to install the Office apps on up to five devices. This should not be used for university-owned faculty/staff machines. 1. Click on the gear icon in the upper right-hand corner. 2. Click Office 365 under Your app settings. 3. From the Office 365 settings menu, click Software. 4. Scroll down and select the appropriate Language and click Install. For more information on downloading to a specific device, please see the OTS Training documentation for your device at towson.edu/office365. Adding or Changing Your Picture Office 365 allows users to add their picture to their account. This picture will be seen when using Skype for Business or Outlook. 1. On the Office 365 landing page, click the user settings button. This is your user image at the top right of the screen. 2. Click on your existing photo. 3. A pop up window will appear. Wait for it to load. 4. Click Choose File. Find the image you wish to use for your profile and click Open. 5. Click Save. The pop up window will close and your image will now appear as your icon. 2 Office of Technology Services - OTS Trainings

Launching an App Office 365 has many built-in apps that will allow you to work on your documents in the cloud. Some of these apps include Microsoft Word, Excel, and PowerPoint. You can launch these apps in one of two ways: From the landing page, click the tile of the app you PowerPoint Online App 1. From the landing page, click the PowerPoint online tile. 2. Click on either New blank presentation, a file listed under the Recent heading, or choose Open from OneDrive for Business. 3. To edit the file, click the Edit Presentation button and then click Edit in Browser. 4. The file can now be edited in the PowerPoint Online app. There is no need to save the file as the file will automatically save to your OneDrive. 5. To rename the document, click on the title at the top and type the new file name. Then press enter. wish to launch. Use the app launcher from any Office 365 page or Office online app. Using the Online Apps The Online apps are scaled-down versions of the full Office suite. Please note that not all features will be available in the Online versions of the applications. Word Online 1. From the landing page, click on the Word online tile. 2. Click on either New blank document, a file listed under the Recent heading, or choose Open from OneDrive for Business. 3. To edit the file, click the Edit Document button and then click Edit in Browser. 4. The file can now be edited in the Word Online app. There is no need to save the file as the file will automatically save to your OneDrive. 5. To rename the document, click on the title at the top and type the new file name. Then press Enter. Presenting PowerPoint from a Web Browser Microsoft provides users the option to run a PowerPoint presentation from the web browser. This means that you can make a presentation on a machine that does not have PowerPoint installed. Note: To use this effectively, the file must be saved on your OneDrive. 1. From the landing page, click the PowerPoint online tile. 2. Click the PowerPoint presentation you wish to run. 3. Click Start Slide Show. The presentation will begin. Excel Online App 1. From the landing page, click on the Excel online tile. 2. Click on either New blank workbook, a file listed under the Recent heading, or choose Open from OneDrive for Business. 3. If opening a file from OneDrive, to edit the file, click the Edit Workbook button and then click Edit in Browser. 4. The file can now be edited in the Excel Online app. There is no need to save the file as the file will automatically save to your OneDrive. 5. To rename the document, click on the title at the top and type the new file name. Then press Enter. Opening the Outlook Web App Office 365 will replace Outlook Web App with a new look similar to the Outlook local version. There are separate tiles for Outlook Mail, Calendar, People, and Tasks. Each tile will open the application associated with your Towson University primary email address. For more detailed information on using the Outlook App, please see the OTS Training document Office 365: Outlook on the Web. Checking Mail 1. From the landing page or app launcher, click the Mail tile. 2. Your mail will appear in a new tab. use the app launcher icon to navigate to another place in Office 365, or close the tab. Saving a Local Copy There will be times that you are working on a document in the cloud, but wish to have a copy saved to your local machine as well. This is done using the same process for Word Online, Excel Online, and PowerPoint Online. 1. If you are not already editing the document, click Edit in Browser in the Edit Document drop down menu. 2. From the document you are working on, click the File tab. 3. Click Save As. 4. Select Download a Copy. 5. Choose the location on your machine where you would like to save the file. 6. Click Close. Outlook Calendar 1. From the landing page, click the Calendar tile. 2. Your calendar will appear in the web browser. use the app launcher icon to navigate to another place in Office 365, or close the tab. Closing an App When working on a document in one of the Microsoft Online apps, the file will continuously save automatically. Since the apps open in a new tab, you can simply close the tab when you are finished working on your document. 4 Office of Technology Services - OTS Trainings

Outlook People (Formerly Contacts) 1. From the landing page, click the People tile. 2. Your contacts will appear in the web browser. use the app launcher icon to navigate to another place in Office 365, or close the tab. OneNote Online OneNote is Microsoft s free form note-taking software. It allows users to gather notes, pictures, drawings, screenshots, and more into one place. These notes can be synced to multiple devices, including mobile devices, and shared with others. For more information on OneNote, see the document Office 365: OneNote. 1.From the landing page, click the OneDrive tile. Outlook Tasks 1. Click on the Tasks tile. 2. Your tasks will appear in the web browser. use the app launcher icon to navigate to another place in Office 365, or close the tab. One Drive OneDrive is Microsoft s service for hosting files in the cloud, that s available for free to everyone at Towson University. OneDrive offers users a simple way to store, sync and share all kinds of files, with other people and devices on the Web. Each individual receives 1TB of storage space which can be accessed from your web browser. SharePoint SharePoint is a web-based program tied into Office 365 that serves as a hub for sharing information, storing files and group collaboration. 1. Click on the Sharepoint tile. 2. Your Sharepoint sites will appear in the web browser. use the app launcher icon to navigate to another place in Office 365, or close the tab. 1. Click on the OneDrive tile. 2. Sharing a Document from Office (Desktop Version) Sharing a document you have created in an Office application is easy with your OneDrive. This process is the same from any Office application including Word, Excel and PowerPoint. 1. Click the File tab. 2. Select Share. 3. Select Share with People. 4. Click Save to Cloud. Presenting a Document Online from Office (Desktop Version) Documents created in any of the Office applications can be quickly presented online using Lync. The process does not require you to have the Skype for Business meeting started. 1. Click the File tab. 2. Select Share. 3. Select Present Online. 5. Select OneDrive - Towson University. 6. Browse to your desired save location. 7. Click Save. You will be redirected to the Share with People screen. If not, click Share once more. 8. Type names or e-mail address, enter the name or email address of the individuals you would like to share the document with. 9. If desired, you may include a message. 10. Click Share. 4. Click Present. The Share Document Window will appear. 5. By default, Start a New Skype Meeting will be selected. Click OK. 6. From the Join Meeting Audio box, select the appropriate radio button then click OK. 7. The Skype for Business meeting will be started and you will be presenting. 8. Add individuals to your conference by clicking the Invite More People button. 9. To end, click hang-up or press Ctrl+Enter.
