Apple Configurator For Management of Classroom ipad Sets Created by: Brian K. Cocke, Chalkville Elementary School

First Time Setup Of Supervised Class Ipads SETUP DISTRICT GIVEN EMAIL Once the supervisor sets up your e- mail, follow the directions in the e- mail Go to Safari and go to https://portal.microsoftonline.com Log in with the given username and password Change to desired password (capital letter, numbers, exclamation point) CREATING USER ACCOUNTS ON MAC 1. On the Macbook, click the Apple Icon in the top left corner of the screen 2. Click on System Preferences 3. Click User and Groups 4. Click the Unlock symbol at the bottom and enter your system password 5. Click the + at the bottom of the list 6. New Account: Admin 7. Type the desired name of the account under Full Name and Account Name (for example: ces0170third1 or Mr. Cocke s ipads or Class ipads) CREATE APPLE ID 1. On the Macbook, log into the new login that you created to manage to ipads 2. Click on Create Free Apple ID 3. Birthday: January 1, 1901 4. First Name: (Third) 5. Last Name: (Grade) 6. E- mail Address: (the address from above that you setup) 7. Enter your desired password 8. Rescue E- mail: (put your school e- mail address) 9. Security: Choose three security questions and enter passwords a. Favorite Teacher: [Payne] b. Dream Job: [Teaching] c. Bosses First Name: [Rod] 10. Agree to terms and conditions 11. Do not setup icloud AUTHORIZE COMPUTER WITH ITUNES ACCOUNT 1. On the Macbook, log into the account that manages the ipads and go to itunes 2. Agree to terms (in two places) 3. Download new version of itunes if it asks. 4. Go to Store Menu 5. Choose Authorize this computer 6. Enter system password 7. Enter your Apple ID and password 8. Click Review 9. Agree to terms, Enter School Address, Enter School Phone Number 10. Exit out of itunes Store DOWNLOAD APPLE CONFIGURATOR 1. On the Macbook, log into the account that manages the ipads and go to the App Store 2. Search for Apple Configurator 3. Click on Free to download 4. Click on Install App 5. Agree to the terms DOWNLOAD FREE APPS 1. On the Macbook, log into the account managing the ipads and go to itunes 2. Click on itunes Store in upper Right corner 3. Search for app 4. Click on Free, Click on Install 5. Enter Apple ID and Password 6. Continue to download all the apps that you want

APPLE CONFIGURATOR PREFERENCES 2. Click on the Apple Configurator menu 3. Click Preferences a. Uncheck automatically refresh 4. Click Lock Screen a. Click on Ipad and Choose Device or username SETTING UP THE MASTER IPAD *Supervising means connecting the ipads to the system to be able to install the apps 5. Plug one ipad into the USB port that you are going to use as the Master 6. On the Macbook, log into the account managing the ipads and go to Apple Configurator 7. Accept Terms 8. Click on the Prepare icon at top a. Name: (Type the name that you want displayed on the ipads) b. Supervision ON c. IOS: Latest d. RESTORE: Don t Restore Backup 9. Click on Apps and check all the apps you want installed on the ipad a. You can press the option key and click on one box and it will click all of them b. If apps are not showing, see directions below called Adding Newly Downloaded Apps to Apple Configurator i. Click on the + at bottom ii. Click on the apps in the right panel iii. Click Command + A to select all of the apps, or choose individual ones iv. Click Open v. Enter Apple ID and Password vi. If it asks you to replace an app, Check Don t ask again and choose Replace 10. Click Prepare at the bottom and wait for the process to complete ARRANGING THE APPEARANCE OF THE MASTER BACKUP IPAD 1. On the ipad that you are going to use to create the Master Backup, complete the ipad setup. This ipad does not have to remain the Master, it will be used this one time to create a backup of your preferences 2. IPAD SETUP ON DEVICE a. Language: English b. Choose Network: Private (Username Student / Password) c. Disable Location Services d. Setup as new ipad e. Sign in with Apple ID f. Agree to Terms g. Don t Use icloud h. Don t Use Siri i. Diagnostics: Automatically Send j. Register with Apple k. Start Using ipad 3. Arrange the icons the way you want to appear on all the ipads 4. It is recommended to put all apps that the students shouldn t use in a Folder on the very last page by itself and call it Teacher or Do Not Use CREATE THE BACKUP MASTER IPAD *A Backup is the arrangement and placement of the apps and folder that you create 2. Plug in the ipad you want to use as the master into the USB port 3. Click on the Supervise icon 4. Click on ipad in the list that is plugged in you want to use as the Master 5. RESTORE: Create Backup 6. Name: (Name + Date (example: Cocke Backup 05-20) 7. Click Create Backup

CREATE PROFILE *A Profile is the setting and options to be installed on each of the ipads 2. Click on the Prepare Tab 3. Click on the + sign at the bottom of the profile list 4. Click Create New Profile 5. Profile Name: (Name + Date (example: Cocke Profile 05-20) 6. Organization: Chalkville 7. Click on Restrictions on the left a. Click Configure b. Set settings you want under the three tabs Functionality, Applications, Media Content 8. Click on Wifi on the left a. Click Configure b. SSID: Jefcoed- Public 11. Save SETTING UP ADDITIONAL IPADS 2. Plug in all the ipads that you want to setup into the USB ports of the Macbook a. It is helpful to have USB Hubs to do many at the same time 3. Click on Prepare Tab (it should show you a # of how many ipads are connected) a. If it does not accurately show the number of ipads that you have connected, unplug and replug them one at a time to figure out which one it is not recognizing correctly b. Type the Name you desire to Display on the Home Screen of the ipads c. Supervision On d. IOS: Latest e. Restore: Choose the Backup you created above f. Profiles: Check the Profile you created above 4. Click on the Apps in the top right. Choose all the apps that you want installed a. You can press the option key and click on one box and it will click all of them 5. Click Prepare at the bottom ARRANGING THE IPADS INTO SETS IN CONFIGURATOR * This is helpful if one computer is managing multiple class sets with the same Apple ID 2. Click on the Supervise icon in the top middle 3. Click on the + on the bottom left in the Supervised Devices panel 4. Name the set what you want. 5. Click on All Devices and drag all of the ipads that belong to that set over to the

Updating Supervised Ipad Sets IMPORTANT No ipads should be plugged into the computer at this time STEP 1: CHECK FOR APPLE CONFIGURATOR UPDATES 1. Go to the Macbook App Store 2. Click on the top right and choose Updates 3. If Apple Configurator is NOT listed, proceed to Step 2 4. If Apple Configurator is listed, click on Update in the bottom right a. If the app does not update, you may have to go under the user account in which apple configurator was originally downloaded STEP 2: UPDATE THE APPS ON THE COMPUTER 1. Open itunes 2. In the top left, click on Music and then choose Apps 3. Click on Updates in the top center 4. Click on Update All Apps in the bottom right 5. Wait until all updates are finished downloading STEP 3: UPLOAD THE APPS TO APPLE CONFIGURATOR 1. Open Apple Configurator 2. Click on the Supervise in the top middle 3. Click on Apps on the right panel 4. Click the + at the bottom 5. Click once on one of the apps in the right panel 6. Press Command and A on the keyboard to select all apps 7. Click Select 8. It will say app already exists, check Don t Ask Again and choose Replace 9. Wait for all apps to update during which you may be prompted to enter your itunes account password. STEP 4: CHOOSE SETTINGS 1. Continuing in Apple Configurator, click on All Devices in the left panel 2. Click on Settings in the right panel a. Update ios: When update is available b. Restore: (choose the one for your ipad set) c. Lock to App: None d. Profiles: (check the profile for your ipad set) STEP 5: CHOOSE APPS 1. Continuing in Apple Configurator, click on Apps in the right panel 2. Check the apps you want to install, uncheck the apps you want to uninstall. If there is a - that means that app is on some but not on all of them. Checking it will put it on all, unchecking will take it off of all. STEP 6: PLUG IN THE ipads 1. Plug in the ipads you wish to update. 2. Continuing in Apple Configurator, click on USB Connected in the left panel 3. Click Apply at the bottom 4. When all ipads show a battery icon instead of the clock, they are finished. You may unplug them at this time. 5. Plug in the next set of ipads to be updated and click Apply 6. Continue until all ipads have been updated. TROUBLESHOOTING If one of the ipads show up with a Yellow Exclamation point, there was an error. When all currently connected ipads are completed updating, unplug one at a time to isolate which one gave the problem In the right panel, click the Yellow Exclamation point to view a description of the problem. Unplug the ipad, exit Apple Configurator, plug the ipad back in, and choose refresh again to see if this fixes it

Creating a New Master Backup STEP 1: ARRANGE THE IPAD 1. On a supervised ipad in the set, arrange the icons the way you want them to appear STEP 2: BACK UP TO CONFIGURATOR 2. Plugin the ipad you want to use as the master into the USB port 3. Click on the Supervise icon 4. Click on ipad in the list that is plugged in you want to use as the Master 5. Restore: Create Backup 6. Name: (Name + Date (example: Cocke Backup 05-20) 7. Click Create Backup STEP 3: PUT THE BACK UP ON ALL DEVICES 2. Plug in all devices that you want the backup to go on 3. Click on the Supervise icon 4. Next to Restore, choose the backup you created 5. Click Refresh to install it on all of the ipads Removing An App From A Supervised ipad Set STEP 1: CHOOSE APPS TO REMOVE 1. Open Apple Configurator, Click Supervised icon in the middle, Click on Apps in the right panel 2. Remove the check mark or dash next to the apps you want to remove. If there is a - that means that app is on some but not on all of them. Checking it will put it on all, unchecking will take it off of all. 3. Plug in the ipads and choose Refresh STEP 2: PERMANENTLY REMOVE AN APP FROM APPEARING IN CONFIGURATOR (OPTIONAL) 1. On the Macbook, log into the account managing the ipads and open Apple Configurator 1. Click on the Supervise icon and then the apps section 2. Click on an app while holding the option key on the keyboard until NOTHING is checked 3. Find the app you want to remove 4. Click the - button in the bottom of that panel to remove it Installing A New Free App On Supervised ipad Sets STEP 1: DOWNLOAD THE APP ON itunes 1. On the Macbook, log into the account managing the ipads and go to itunes 2. Click on istore in the upper right corner 3. Search for the app you want to download and download it STEP 2: ADD THE APP TO CONFIGURATOR 4. On the Macbook, log into the account managing the ipads and go to Apple Configurator 5. Click on the Supervise Icon and then the apps section 6. Click the + at the bottom of the screen 7. Go to the Folder where your apps are located a. Often they are in: music / itunes / itunes media / mobile applications 8. Find the App you downloaded and choose open 9. The App will now appear in the list. STEP 3: INSTALL IT ON THE ipads 10. Find the app in the list and click the check box next to it 11. Hook up the ipads for it to be installed on, and choose apply

Purchasing New Paid Apps on Supervised ipad Sets STEP 1: CHOOSE THE APPS TO PURCHASE 1. Choose the Apps from the itunes store and send the names to your volume licensing supervisor 2. That person will e- mail you spreadsheets. Download them to your computer into the desired folder STEP 2: REDEEM & DOWNLOAD 3. Open the spreadsheet in Microsoft Excel 4. Click on the first code and copy it 5. Open itunes 6. In the top left of the screen, click on your Apple ID name 7. A drop down box will appear and choose redeem 8. In the box below Enter Code Manually, paste the code you copied from excel 9. Click redeem it will download automatically (or you can enter it manually) 10. If you have another app to download, click Redeem another code and follow the same steps 11. When you are completed, click done STEP 3: MARK SPREADSHEET AS REDEEMED 12. Go back to Microsoft Excel and open the spreadsheet again 13. Under Code Redemption Link, put your cursor on the first code (the SAME one you copied) and type redeemed 14. Save the spreadsheet and close it STEP 4: UPLOAD THE APPS TO APPLE CONFIGURATOR 1. Open Apple Configurator 2. Click on the Supervise in the top middle the click on Apps on the right panel 3. Click the + at the bottom 4. Find the name of the app you just purchased. 5. Click Select. You may be prompted to enter your itunes account password 15. The new app(s) will now appear in the list STEP 5: ADD REDEMPTION CODES 16. Continuing in the Apps section of Apple Configurator 17. Find the App in the list and click on the number to the right of the name 18. Choose Import Redemption Codes 19. Find the spreadsheet and choose open 20. The number should change to reflect the amount you bought 21. Check the box next to the app, hook up the ipads for it to be installed on, and choose apply Adding More Licenses Of A Paid App STEP 1: PURCHASE THE APPS 1. Have your VPP Person purchase the Apps using VPP Program 2. They will send you a spreadsheet with the new VPP codes 3. Put the spreadsheet in the desired location STEP 2: ADD THE LICENSE TO CONFIGURATOR 4. On the Macbook, log into the account managing the ipads and open Apple Configurator 5. Click on the Supervise icon and then the apps section 6. Find the app and click on the number next to it. 7. Choose Import Redemption Codes 8. Find the spreadsheet and choose open 9. The number should increase to the amount you bought. 10. Check the box and hook up the ipads for it to be installed on and choose apply

Adding an Additional ipad to a Supervised Set 1. Open Apple Configurator 2. Plug in the ipad to add to the set 3. Click on the Prepare icon at the top. A number with a circle around it will appear showing how many are being recognized. 4. Settings a. Name (Should be the same as the rest of the set) b. Supersivion: on c. Update ios: When an update is available d. Restore: (choose the backup that is on the other sets) e. Profiles: (choose the profile that is on the others in the set 5. Apps a. Choose the apps you want 6. Click Prepare at the bottom 7. Enter the Appld ID and Password Removing an ipad from Supervised Set IMPORTANT This will restore any VPP paid apps back to the computer so that they can be used on another computer This will ERACE EVERYTHING on the ipad and reset it to factory settings 2. Plug in the ipad that you want to remove from the set. 3. Click the Devices menu and choose Unsupervise Manually Removing An Ipad From A Supervised Set IMPORTANT Sometimes you just can t figure out why an ipad won t sync or function right in a set This will Loose ALL VPP codes or paid apps that were installed on it. Do not do this unless the computer that supervises the ipads crashes or is no longer available. ERASE ALL CONTENTS AND SETTINGS 1. On the ipad, go to Settings 2. Click on General on the left panel 3. Scroll to the bottom and choose Reset 4. Choose Erase All Content and Settings 5. Choose Erase two times when it asks you Error Messages UNABLE TO REDEEM CODE FOR [app name] Click on the Grey Circle I Please enter your Apple ID and Password to redeem code Wait until all connected ipads are finished or have the Yellow Exclamation Point Next to them Exit out of Apple Configurator Go back into Apple Configurator Click on USB Connected in the left panel Click Refresh It should prompt you to enter your Apple ID and Password

Backing Up Configurator Data IMPORTANT It is EXTREMELY Important to backup configurator data, especially if you have purchased apps using VPP Codes. If the data is not backed up and codes are lost, you may not be able to recover them and will have to repurchase them FOLDERS TO BACKUP 1. ~/library/contianers/com.apple.configurator 2. ~/library/keychains 3. Macintosh HD / users/cesmusic(or whatever account you are using)/music/itunes/itunes Media FINDING THE HIDDEN LIBRARY FOLDER 1. Open Finder 2. Click on Go menu 3. Click on Go to folder 4. Type: ~/library Transferring Apple Configurator Settings From One Computer To Another STEP 1: COPY THE DATA FROM THE ORIGINAL COMPUTER 1. On the Macbook that currently has the settings or VPP Codes open Finder 2. Press Command + Shift + G on the keyboard 3. Type: ~/library/containers 4. Copy the entire folder called com.apple.configurator to a backup device STEP 2: PASTE THE DATA TO THE NEW COMPUTER 5. On the Macbook that you want the settings to go onto, go to finder 6. Press Command + Shift + G on the keyboard 7. Type: ~/library/containers 8. Copy the entire folder called com.apple.configurator from the backup and replace the existing folder on that computer MORE HELP 9. For More Help: Go the Apple Support: Search HT5194
