1 Introduction to Smart Quote 1.1 What is Smart Quote? Smart Quote is an easy-to-use web-based tool accessible via Unison Partner Portal, for managing special pricing requests. 1.2 Who will use Smart Quote? Resellers will use it to submit final tier special pricing requests. 1.3 Do I require a special login to access Smart Quote? You will be able to use your Unison Partner Portal login credentials to access Smart Quote. No additional login or password is required. Please note that your user account needs to be profiled in order to get access to Smart Quote. You can contact your Unison Partner Portal Administrator (PPA) for account profiling. 3

2 How to Access Smart Quote Unison Partner Portal URL: https://partner.hpe.com/. Figure 1 Unison Partner Portal login page To access Smart Quote, you will have to sign in via Unison Partner Portal. Type in your User ID and Password, and click on the Sign In button. From the Smart Quote login page, click the Go button to open the Smart Quote homepage. 5

3 How to Use Smart Quote 3.1 Smart Quote Homepage From the Smart Quote homepage, you will be able to view all quotes you have created and the quotes created by distributors on your behalf. To enable Distributors to submit quotes on your behalf, you must first participate in the Distributor Submit on Behalf (DSB) program. You can use the following functions on the homepage: Search: You can type in a quote ID in the Search field or tick the appropriate Status checkbox and click on the SEARCH button to locate the corresponding quote(s). Advanced Search: You can perform a more targeted search with more search criteria by clicking on the Advanced Search hyperlink. Access an existing quote: You can click on the listed Quote ID hyperlink to access the corresponding quote. Create a new quote: You can click on the NEW QUOTE REQUEST button to trigger a new quote creation. For detailed steps on this, please refer to the Request a new Smart Quote section in this document. 3.1.1 Advanced Search You can perform a more targeted search for quotes using the advanced search function. This function allows you to input more search criteria to filter your search accordingly: Click on the Advanced Search hyperlink on the Homepage to access the Advanced Search page. Figure 5 Advanced Search Once the Advanced Search page is displayed, type in/select the search criteria as necessary and click on the RETRIEVE button. To export the search into a.csv file, click on the EXPORT button. To delete the search criteria input and selection, click on the CLEAR button. 7

3.1.2 Smart Quote Statuses Quote statuses are either changed manually by your selections or automatically updated depending on the changes made to the quote. Under the Status column, any of the following statuses may be displayed: Not Submitted to HPE Submitted to HPE In Progress Approved Resubmitted Cancelled Rejected Incomplete Won Lost OPG Created Expired Expiring Routed for Sales Validation* Routed to Pricing Desk* Those two statues with *are not for all regions. Only Specific country/region uses them. For the Incomplete and Expiring quotes, you will receive a system generated email notification. You can follow the instructions in the email and edit the quotes accordingly. For more information on editing a quote, please refer to Edit a quote. Region processes may differ. For Expired quotes, you can copy them and update the details to be re-submitted as a new quote reques. For more information on copying a quote, please refer to the Copy a quote section in this document. Figure 6 Statuses 8

3.2 Request a new Smart Quote 3.2.1 Reseller page To request a new quote, click on the New Quote Request button on the Homepage. The reseller page will displayed with your details auto populated. You can change the Partner Contact details (if necessary) and Partner Location (if applicable). The Reseller Info is not editable. If there is any error in the pre-populated reseller data, please contact your region s support team to update your distributor reseller mapping. Figure 7 Reseller page Click on the NEXT TO CUSTOMER button to proceed to the Customer page. 9

3.2.2 Customer Page On the customer page, you have 3 different ways to provide the customer information: Select a customer from the PREVIOUSLY SELECTED CUSTOMERS list by clicking on the customer name link. The table will display 5 records per page with an unlimited number of records. Click on the arrow buttons to navigate between the pages of the records. You can search for an existing customer by filling in the search criteria fields and clicking on the Search button. The table will display 5 records per page with an unlimited number of records. Click on the arrow buttons to navigate between the pages of the records. You can click on the NEW CUSTOMER button to add a new customer. If this request is for your own use, please select your company as the customer, and tick the This is for my own consumption checkbox. Figure 8 Customer page 10

The Customer Details section will appear when a customer has been selected and will be auto populated by the system with the customer selected and is not editable. You can fill in the Contact Person details. Fields marked with an asterisk (*) are mandatory. Figure 9 Customer detail Click on the NEXT TO PRODUCTS button to proceed to the Product page. 11

You can also add customer affiliates by clicking the Customer Affiliates link from the customer details page. Search for the customer by typing in the search criteria and clicking on the Search button Select the customer by ticking the checkbox corresponding to the partner Click on the ADD CUSTOMER AFFILIATES button to add the partner Figure 10 Customer affiliate Selected customer affiliates can be deleted by ticking the checkbox corresponding to the customer added and clicking on the Delete Selected Customer button. 12

3.2.3 Product page The Product page is used for adding products to the quote. The product list is initially empty. You can add products using one or more of the following options: Product Search section: You can search for a product by typing in the search criteria and clicking on the Search button. Product Import section: You can import Product(s) or Configurations from Excel or XML files. Attachment section: You may select either the Product(s) or Configurations radio button, add the files as attachments and manually select the correct BU checkbox for your attachment. Once completed, you can use the BACK TO CUSTOMER and NEXT TO DISTRIBUTOR buttons located at the bottom of the page to navigate to the corresponding pages as necessary. Product Search Type in the product search criteria and click on the Search button. The search result page will be displayed as illustrated below. You can then select and add the products using the following steps: Filter the search results by selecting the correct currency from the dropdown list. You will not be able to add the products until you have selected the currency. For single currency countries, the currency is defaulted and no selection will have to be made. Select the correct checkbox corresponding to the product. Once completed, click on the Add Product(s) to the List button. Figure 12 Product search Product Import From the Import section on the Product page: Locate the product file by clicking on the Browse button corresponding to the Product(s) field. Once the file has been selected, click on the Upload button. 14

Figure 13 Product import - upload product file On the Products Import page: Select the product sheet from the dropdown list Select the currency from the dropdown list (applicable to multi-currency countries) For single currency countries, the currency is defaulted and no selection will have to be made. Type in the start row number Map the columns accordingly and click on the Update button. Once completed, click on the Check eligibility button to screen the product list. Figure 14 Product import - check eligibility of the uploaded products After the system has returned the eligibility check results, all eligible products will be marked as Y and ineligible products will be marked as N in the Eligible column. Click on the Add eligible products to the quote button to complete the import process. Only eligible products will be imported to the product list. The following error symbols may be displayed if applicable: 15

Once the file has been selected, click on the Upload button. Figure 19 Configuration import - eligible products added to the quote If there are ineligible products in the configuration, the error message illustrated below will be displayed and the configuration file cannot be uploaded. Requested Buy Price (RBP) Once the product(s) has been uploaded to the product list (either by product search or product/configuration import), you will have to specify the Requested Buy Price (RBP) on the Product page: Type in the RBP value in the fields corresponding to the product or configuration Once the RBP has been specified, the system will auto populate the requested discount value percentage in the % RBP Discount column located next to the RBP column. OR Select a product by ticking the corresponding checkbox Type in the requested discount percentage in the % RBP field it. To apply the same discount value to all products, type in the % RBP field and click on the Set All link located next You can reset the changes made by clicking on Reset. You can delete a product by ticking the checkbox corresponding to a product and clicking on Delete. Figure 21 Set request buy price Attachments The Attachments option on the Product page allows you to upload multiple product lists in separate attachments. Select either the Product(s) or Configuration radio button. Only wwb, xls, xlsx and xml format files can be attached. Locate the attachment by clicking on the Browse button. Once the file has been selected, click on the Upload button. Select the appropriate BU checkbox relating to the attachment. Uploaded attachments will be displayed in the table. To delete an uploaded attachment, click on the cross icon corresponding to the uploaded attachment 20

3.2.4 Distributor page You can provide the distributor details on the Distributor page using the following steps: Select the distributors from the dropdown list. Note: Selected distributors will be listed in the distributor field in the distributor details section. To view the distributor s detail, select the distributor from the dropdown list. Add additional e-mails if necessary. Note: additional e-mails must have the same domain as the assigned e-mail. All additional emails must be separated with a comma. Click on the NEXT TO QUOTE CORE DATA button. Figure 23 Distributor page 22

3.2.5 Quote Core Data page You can provide the following information on the Quote Core Data page: Competitor / Competitor Products: You can select the competitors and detail the Hewlett Packard Enterprise products and the competing products. Timeline: You must (mandatory) select the Expected Customer Decision Date and Order Delivery Date (From/To) using the date-picker buttons provided. Figure 24 Quote Core Date page - info part 1 Information: You must select (mandatory) the Special Price Request Justification from the dropdown list and type in the Business Justification / Partner Comments fields (mandatory). You can also fill in the additional fields and provide a comment if necessary. Once completed, click on the SAVE AND UPDATE COMMENTS button to save the additional comments. 23

Attachments: You can add attachments (txt, doc, docx, pdf, csv, and zip). Locate the file by clicking on the Browse button. Once the file has been selected, click on the Upload button. Figure 26 Quote Core Data page - info part 3 You can delete uploaded attachments by clicking on the cross icon corresponding to the attachment. 24

Mandatory selection: You must select additional flag for the products you selected/attached for the quote request. Figure 27 Quote Core Data page - info part 4 After all information has been updated, click on the NEXT TO REVIEW & SUBMIT button. 25

3.2.6 Review & Submit page You can click on the Edit link in each section to make changes. If there are mandatory information missing, the error massage will be displayed (in red) at the respective data point for easy user reference. It will not be possible to Submit the quote if there are errors on the page. After the validation, tick the I accept Hewlett Packard Enterprise s End-User Special Negotiated Discount Terms on Hewlett Packard Enterprise s Partner Portal checkbox, and click on the SUBMIT button. Upon submission, you ll get a message that the quote request has been successfully submitted. Figure 29 Quote submitted 27

3.3 Edit a Quote You can edit quotes with the following statuses: Not submitted to HPE Submitted to HPE In progress Incomplete Expiring Approved Rejected Resubmitted If you are editing a quote in In progress, Incomplete, Expiring, Approved, and Rejected status, the status will be automatically set to Resubmitted. Quotes submitted on your behalf are editable. Distributor Create On Behalf quotes are marked as DIST CREATE ON BEHALF under Request Type column. Use Search or Advanced Search to locate the required quote. Click the quote ID hyperlink to open the quote. Figure 30 Open the quote to be edited On the Review & Submit page, you will see the quote details in the respective sections (i.e. Deal metric information, Reseller, Customer, Products, Distributors and Quote Core Data). Click on the Edit hyperlink in each section (as necessary) to make the necessary changes. Figure 31 Edit a quote 1 28

Upon completion of the changes, click SAVE to save the changes. To make other changes, you can navigate to the relative tab. If all necessary changes have been done, click on the REVIEW & SUBMIT button. Figure 32 Edit a quote 2 If you ve changed products for a quote in In progress, Incomplete, Expiring, Approved, and Rejected status, the quote will atomatically be set to Resubmitted. 3.3.1 Deal Won Once a quote has been approved, you will be able to mark the deal won. Click on the Deal Won link on the Review & Submit page Your distributor will not be allowed to mark the Deal Won on your behalf (for partners participating in the DSB program). Once the system has received your Deal Won update, the quote status will be changed to OPG Created, and an email will be sent to inform you that the OPG has been created. 3.4 Copy a Quote You can copy an existing quote by clicking on the Copy button. All data from Reseller, Distributor, End customer and Product list (including quantities and requested prices) tabs are copied and is editable. The system will automatically assign a new quote ID to the copied quote. Use Search or Advanced Search to locate the required quote. Tick the checkbox corresponding to the required quote. Click on the Copy button. The system will redirect you to the quote Review & Submit page to update the details. Figure 41 Copy a Quote 34

4 Support for Pricing Matters 4.1 Who should I contact for any issues encountered? There are a couple of ways: If you have any queries related to Smart Quote special pricing request submission, you can use: Get Support link available on Unison Partner Portal (for all regions), or Send an email to: channelpricing@hp.com (for AMS) Your Hewlett Packard Enterprise Partner Account Manager is the route for escalations. Additionally, the Hewlett Packard Enterprise Sales contact name from the specific Smart Quote request as advised. 35
