6 Smart Account Types Assets are represented as company owned allowing effortless sharing across your enterprise Customer Smart Account Account where Smart Account enabled products are deposited. Licenses can be managed by Customer directly, Channel Partner, or authorized party. Who needs this: All Customers

8 Request Customer Smart Account Access the new Software Portal: Cisco Software Central (CSC) software.cisco.com Go to Administration and then click on Request Smart Account

9 Request Customer Smart Account Select an Account Creator Select the option Yes, I have the authority to represent my company if you have the authority to represent your company and you will authorize Smart Account activation. Select the option No, the person specified below should be notified to authorize activation if you do not have the authority or prefer not to authorize the Smart Account. Select this option also to start a Smart Account request on behalf of your Customer. Confirm your profile information below. If needed, update your profile. In this example, you will nominate another person to proceed with the Smart Account activation. 3 Enter the Account Name. Click Continue to proceed. 3 The Account Name should reference the Company Name (e.g. Cisco Systems, Inc.)

10 3 4 5 Cisco Software Central (CSC) Request Customer Smart Account Edit the Account Domain Identifier (Optional) If needed you can Edit the Account Domain Identifier (optional - requires additional approval time). In the Edit Account Identifier dialog box, change Domain Identifier (edit top-level domain or add a prefix). Click OK to confirm the new Domain ID. Verify the Account Name and edit if required. At this point you can click Continue to proceed with the Smart Account request (see previous slide) If you choose to edit the Account Domain Identifier at the time of Smart Account request, Cisco will contact you to complete the approval process.

11 Request Customer Smart Account Enter Company Information (Optional) If you selected the option No under account authorization, you will be brought to the Company Information slide. You can provide Customer Company Name and Address (it is optional at this stage). Tick the checkbox to select to provide this information now. Enter the following customer details: Company/Organization Name Country Address City State/Providence Region* Zip/Postal Code* Note: If state/province and/or zip code/postal code does not apply, please enter NA

12 Request Customer Smart Account Nominate Users for Admin Access (Optional) Enter the ID of users separated by commas to nominate them for Administrative access. Selecting the option I request access to myself to nominate yourself for the administrative role. Click Continue to proceed.

13 Request Customer Smart Account Verify Information and Submit Request Verify the Smart Account information and the names of the users nominated for administrative access. Click Submit Request.

14 Request Customer Smart Account Smart Account Request Complete After submitting the request you will receive a confirmation message Smart Account Request Complete. The request is placed in pending state until it is authorized by the specified creator. You and the nominated creator will also receive a confirmation via . After submitting the request, a provisional Smart Account will be created. Orders can be assigned to a provisional Smart Account, however the items purchased cannot be used by the Customer until the Smart Account is activated.

16 Complete Smart Account Setup Access Link from Notification An notification will be sent to the nominated person with a link to verify Account information. Click Complete Smart Account Setup to access the Account Authorization page. a You need a CCO ID. If you don t have one, click register for a new account To learn more about Smart Accounts, click the Learn more about Smart Accounts link. a

17 Complete Smart Account Setup Accept Account Activation Authorization Select Yes, I have authority to represent my company if you can represent your company for account authorization. Note: If you do not have authority, select No, the person specified below must be notified to authorize activation to nominate a user who can authorize account creation. Click Continue to proceed.

18 Complete Smart Account Setup Confirm Account Information 3 Verify and confirm the Account Name. You can edit the Account Domain Identifier if needed (view details on the next slide) Click Continue. *Note: the Account Name should reference the Company Name, to mirror the Domain of the Account Owner s Company. E.g. If the Domain is Cisco.com, the Account Name should be Cisco.

19 Complete Smart Account Setup Edit Account Domain Identifier (Optional) If needed you can Edit the Account Domain Identifier. In the Edit Account Identifier dialog box, change Domain Identifier (edit top-level domain or add a prefix). 3 Enter the justification for updating the Domain Identifier and provide your phone number. If the Domain Identifier does not match the address provided, an approval is required. Click OK to proceed. An notification will be sent to you once you submit the request. Once the change has been approved, you can login and resume the account set up process. 3

20 Complete Smart Account Setup Enter Company Headquarters Address After confirming the Account Information, you need to confirm your Company Name and Address. Enter the company/organization headquarters address (populate all the mandatory fields) Click Continue. The company information may be prepopulated for confirmation or require manual entry.

21 Complete Smart Account Setup Approve Administrator User Access The Administrator User Access Request screen shows authorization requests for additional administrators. Select the radio buttons to Approve or Decline the request(s). Select the acknowledgement checkbox. 3 Click Continue. 3

22 Complete Smart Account Setup Nominate Additional Approvers / Administrators 3 Add Approvers or designate yourself as the Approver. The Approver should have the authority to bind the company in any agreements pertaining to the Smart Account. Add Account Administrators. Click Continue. Approver: A User with the authority to bind their company to license agreement and any agreements pertaining to the Smart Account Accepts the Smart Licensing agreement 3 Administrator: Approve access for other users smart accounts License management in Smart Software Manager Can accept the Smart Licensing agreement becomes Approver

23 Complete Smart Account Setup Activate Smart Account Review the account information and click Activate Smart Account to complete the Account Setup.

24 Complete Smart Account Setup - Confirmation Confirmation page. Click Cisco Software Central to view and manage your Smart Account. To manage the individual Smart Licenses, go to SSM. From here, the Customer can go directly to Cisco Software Central Administration Manage Smart Account and accept the Smart Licensing Agreement.

32 Request Access to an Existing Smart Account A link to Request Access to an existing Smart Account is available to the Users. From here you can place a request to access any existing Smart Account.

33 Request Access to an Existing Smart Account - Profile After clicking Request Access to an Existing Smart Account, you will be redirected to this view. The information from your Cisco.com profile is used to verify your identity when the request is sent to the Smart Account Admins for review. Please ensure that your Cisco.com user profile is updated.

34 Request Access to an Existing Smart Account Domain Identifier You can validate whether a Smart Account exists by entering the Domain Identifier, so that you can place a request to get access to an existing Smart Account. If you enter the wrong Domain Identifier, an error message will be displayed. When a correct Domain Identifier is entered, the corresponding Smart Account will be displayed. The Domain Identifier is the unique ID that is tied to a Smart Account so it is important to know the Domain Identifier of the Smart Account for which you are requesting access.

35 Request Access to an Existing Smart Account - notification to Administrators When a new request for access is placed for a Smart Account, an is triggered to all the existing Smart Account Administrators. Once a request is placed, an is sent to all Admins. In the scenario in which two Admins access the request at same time, once the first takes action, the second gets a real time message stating that the request has been acted upon.

36 Request Access to an Existing Smart Account - Access Request Approval A Smart Account Administrator has two options: A. A If the request came in from someone within their own organization (or a known Partner) they can approve the request. If you are not sure, you can contact or the person concerned. B. B The Administrator can decline the request if they feel the request is invalid. In case of an approval, the Administrator will need to decide the access level. A Partner can also place requests to access their Customer s Smart Account so that they can access and manage the Account and entitlements on Customer's behalf. Within Customer s Smart Account, a Partner does not have the ability to: Accept a Smart Licensing Agreement on behalf of the Customer Be granted a Smart Account Approver role Remove a Customer Admin and their privileges.

37 Cisco Software Central Request Access to an Existing Smart Account Review Requests A Smart Account Administrator can also view and access all the requests from the Access Requests tab in Manage Smart Account. If a request is pending, the Admin can click on the hyperlinked option to access its details.

38 Request Access to an Existing Smart Account - notification to Requester Once the Smart Account Administrator takes action, an is triggered to the Requester. In case of an approval, the Smart Account Role assigned is stated in the . In case of a decline, the reason is specified in the .

40 Manage Smart Accounts To access and manage Smart Account, click Manage Smart Account.

41 Manage Smart Accounts Account Properties Account name can be modified by Account Approver or Administrator in Account Properties tab. The Account Name should reference the Company Name, to mirror the Domain of the Account Owner s Company. E.g. If the Domain is Cisco.com, the Account Name should be Cisco.

42 Manage Smart Accounts: Add New Virtual Account 3 4 In the Virtual Accounts tab, click New Virtual Account to add a new Virtual Account. Enter a Name and Description for the Virtual Account. You have to set the Commerce Access Level: select Public or Private*. Click Save. Public: the Virtual Account will appear in the search results of the Cisco Commerce Tools. Private: the Virtual Account will not appear to any user in the search results of the Cisco Commerce Tool. But if the exact Virtual Account Name is entered manually, such private Virtual Account can still be assigned to quotes and orders. 3 4

43 Manage Smart Account: Adding New Virtual Account 3 Every new Virtual Account created will appear in the Virtual Account page with the Commerce Access Level value displayed. You can sort the list based on the values in the Commerce Access Level column. You can also search for a Virtual Account by name. 3 If the Commerce Access Level of an existing Virtual Account is set to Public, you can update this value to Private, if required.

44 Manage Smart Account: Default Virtual Account The Default Virtual Account is created at the time of Smart Account activation. It is created to temporarily assign orders in case the Customers have not set up any other Virtual Account in their Smart Account. The Commerce Access Level of a Default Virtual Account is set to Public, so that it can continue to be used to assign orders in Cisco Commerce.

45 Manage Smart Accounts Edit Virtual Accounts 3 4 Click the name of the Virtual Account to edit an existing Virtual Account. You can edit Name and Description. You can also change the Commerce Access Level (from Public to Private or viceversa). Click Delete Account to delete the Virtual Account. 3 4

46 Manage Smart Accounts - Virtual Accounts Best Practices You can create multiple Virtual Accounts within one Smart Account. Virtual Accounts should be used to enable access control for licenses. Cisco Commerce Search Create multiple Virtual Accounts within your Smart Account to subdivide your assets and ensure role-based access control. Virtual Account Users are only assigned to a Virtual Account, so they can only manage licenses in that Virtual Account. Public Virtual Account names are visible for Partners in the Cisco Commerce (CCW) Smart Account search. Private Virtual Account Names are not visible in Cisco Commerce search, but can be assigned by Partners at the time of Quote/Order by typing the exact VA name.

47 Manage Smart Accounts - Users In the Users tab, all users associated with the Account are displayed. Upon selecting Users you will be able to see a list of users and an option to add a New User.

48 Manage Smart Accounts - New User Upon selecting New User, a pop-up appears: Step, Identify New User. You can enter the ID or CEC ID of the new Smart Account user and then select Search. The system verifies whether a profile has been set up for them or not. If there is a match, the pop-up will automatically populate the details, including Full Name, Address, Cisco.com ID, and Company. 3 Select Next to proceed. 3

49 Manage Smart Accounts New User Role You are then redirected to Step : Select Roles. Here, roles and associated privileges are assigned. The Smart Account Administrator can assign other users the following roles: Smart Account User Smart Account Administrator Smart Account Approver Assign to Specific Virtual Account only Once you have decided what role to assign, select the corresponding radio button, and select Next to continue.

50 Manage Smart Accounts New User VA Role In Step : Select Roles, you can Assign Roles to specific Virtual Accounts only, to set up appropriate permissions. You will then select the appropriate Virtual Account from the dropdown menu. 4 3 Finally, select the corresponding role you d like to assign to the new user either an Administrator Role, or User Role. 4 Select Next to continue. 3

51 Manage Smart Accounts - New User Review and Confirm In Step 3: Review and Confirm, the user information and proposed role assignment is displayed for a final review. If the information listed is correct, select Add User to complete the process. 3

52 Manage Smart Accounts - New User The new Smart Account User will receive an confirmation regarding their new role. They will also be listed in the primary Users tab.

53 Manage Smart Accounts Modify Role Privileges of Existing User Smart Account Administrators can view user information by selecting the User name from the main Users tab. A pop-up appears with General user information, and the option to work on Role Management.

54 Cisco Software Central (CSC) Manage Smart Accounts Modify Role Privileges of Existing User The Smart Account Administrator can utilize the Role Management tab to remove users from their existing roles, or to 3 Reassign Roles, to other Virtual Accounts, for instance. To confirm role reassignment, the Account must be selected, and then the Role must be selected. 3

55 Manage Smart Accounts Modify Role Privileges of Existing User The Smart Account Administrator can also modify another user s role to any role, including Smart Account Administrator or Smart Account User. As roles are changed, an confirmation will be sent to the user with their previous role, as well as the new role. Changes will also be logged in Event Logs. Smart Account Users and Virtual Account Users will be able to remove themselves from the Smart Accounts to which they are assigned.

56 Manage Smart Accounts Account Agreements In the Customer Smart Account, you can view Account Agreements (Smart Licensing Agreements), their date, status, and the Approver/ Administrator who signed the Agreement. From here, the Smart Account Administrator or Approver can accept the Smart Licensing Agreement. Smart Licensing Agreement must be accepted to generate tokens and connect product instances to consume licenses.

57 Manage Smart Accounts Event Log In the Event Log you can view all activity at the Smart Account level to have better visibility into the Smart Account. Filter results by a specific date range, Event type (user management, Virtual Account management or Smart Account management), or search by the user who took the action. License activity is not available in CSC. Go to SSM for Smart Licenses or LRP for Classic PAK based licenses

59 Customer Smart Account Roles Smart Account Approver Smart Account Administrator Virtual Account Administrator Can only approve Smart Account legal agreements on behalf of the Account Owner. Includes no User or Administrator privileges. Manages all aspects of the Smart Account and its Virtual Accounts. The Smart Account Administrator can view and manage license inventory for the entire Smart Account, and also perform Account management activities. Similar to the Smart Account Administrator, but limited to selected Virtual Accounts. Can perform license management activities and also User management for selected Virtual Accounts. Smart Account User Similar to a Smart Account Admin, this role allows access to all Virtual Accounts. A Smart Account User can perform licensing activities, but cannot create new Virtual Accounts or perform User management activities. Virtual Account User Similar to a Smart Account User, but is limited to the Virtual Account the User is assigned to they can perform license management activities, but cannot add new users to their assigned Virtual Account.

61 Grant Partner Access to Manage Smart Account You can grant Partners access to manage your Smart Account and your licenses by adding them as a User. There are 4 user roles that you can assign Partners to: Role Access Level Select this when Smart Account Administrator Virtual Account Administrator Partners can view and manage license inventory for the entire Smart Account, and can also perform Account management activities. Partners can view and manage licenses only in specific Virtual Account(s) for which they have been granted access. Partners can also manage Users in the assigned Virtual Account(s). You can select this option if only one Partner will be managing your entire Smart Account, and also if the Partner needs to manage Users and Virtual Accounts on your behalf. You can select this option if the Partner will be managing licenses in specific Virtual Account(s) but not within all the Virtual Accounts. Please note that the Partner will also be able to manage Users for the assigned Virtual Account(s). Smart Account User Virtual Account User Partners can view and manage license inventory for the entire Smart Account. Partners can view and manage license inventory for assigned Virtual Account(s). You can select this option if the Partner will be managing your entire Smart Account, but you would like to keep control over the Account management activities (adding/ deleting Virtual Accounts and User management). You can select this option if the Partner will be managing licenses within a particular Virtual Account, but you would like to keep control over adding or deleting Users within that Virtual Account. Please note that by authorizing a Partner User to access your Smart Account, you implicitly acknowledge that it will enable the Partner User to access all the information within the Smart Account that includes Licenses, Devices, etc. In addition, please note that as a Customer you are responsible for all the actions performed by your Partners, which includes any licensing transactions as well.

63 Smart Account User Security and Deauthorization Employer Deauthorization Previously, after an individual has left their Partner / Customer Organization, the Smart Account Administrators could remove that User from their Partner / Customer Organization s own Smart Account. However, they could not remove that User from other external Accounts i.e. End Customer s Smart Accounts, that he/she had access to. Example: john@serviceprovider.com was part of Serviceprovider.com Smart Account as well as two external accounts such as EndCustomerA.com & EndCustomerB.com. After John has left the Organization, the Smart Account Administrators of the company removed John from serviceprovider.com Smart Account, but they could not remove him from the other End Customer Smart Accounts, since they did not have visibility to John s access to those Accounts. Now, when there is a change in the employment status or in the CCO ID for any User within a Smart Account, the Smart Account Admins have visibility of that employee s external Smart Account accesses, so that they can revoke access if required.

64 Smart Account User Security and Deauthorization Employer Deauthorization There are two use cases applicable for Employer Deauthorization: Use case # John has left his Organization John has but left did his not update Organization his primary but did not update address his CPR in his primary Cisco.com address profile to his to new his new company company ID. ID. The Smart Account Administrators Adminsof of ServiceProvider.com Account account will now have visibility to John s internal & external Smart Account accesses. The Smart Account Administrators Admins of of ServiceProvider.com can remove John from all external Smart Accounts, i.e. EndCustomerA.com and EndCustomerB.com if John is no longer affiliated with the Organization. Use case # John has left his Organization and he updated his primary address in his Cisco.com profile to his new company ID. When the primary address is changed, all current Smart Account access (internal & external accounts) will be automatically revoked. A notification will be sent to the Smart Account Admins. If required, the Smart Account Admins can re-authorize such User to the Smart Account on the Cisco Software Central portal.

65 Smart Account User Security and Deauthorization How User Deauthorization works in Cisco Software Central In Manage Smart Account Users tab, the Smart Account Admin can now see sub-tabs: Accounts Users: includes all the Users assigned to this specific (selected) Smart Account. Company Users: includes all the Company Users with access to any Internal Smart Accounts as well as any External Smart Accounts. There are 3 options: Internal & External access, Internal access only or External access only

66 Smart Account User Security and Deauthorization How User Deauthorization works in Cisco Software Central After clicking on the User Name, a pop-up will appear where the Smart Account Admin can check the User Information in three additional sub-tabs: General User information related to this specific Smart Account Internal Accounts Access External Accounts Access In the General tab, the SA Admin can see User Information and Assigned roles. The SA Admin can also Remove the User from the selected Smart Account.

67 Smart Account User Security and Deauthorization How User Deauthorization works in Cisco Software Central In the Internal Account Access tab, under Access in Selected Smart Account (selected Account), the Smart Account Admin can see the current roles granted to the User in this particular (selected) Smart Account. 3 3 The Smart Account Admin can change the role of each user 4 or even remove the User from this particular (selected) Smart Account. 4

68 Smart Account User Security and Deauthorization How User Deauthorization works in Cisco Software Central In the Internal Account Access tab, under Other Internal Accounts Access, the Smart Account Admin can see the User access to other Internal Smart Accounts, as well as the Roles granted to the User in each Internal Smart Account.

69 Smart Account User Security and Deauthorization How User Deauthorization works in Cisco Software Central In the External Account Access tab, the Smart Account Admin can see to which external Smart Accounts the User is associated and which are the Roles assigned to the User for each Smart Account. The Smart Account Admin can remove the User from all External Smart Accounts. This action is recommended only if the user is no longer affiliated with your Company and should be removed from all External Smart Accounts. Upon removal, the User and all the Administrators of the External Smart Accounts will also be notified. You can add a special Message to External Account Administrators.
