How to Create PDF Files for Quebecor World Midland Version 2.0 Revised 03/05/04

Important Stuff That You Should Know The latest version of this document can always be found the PDF spec section on our FTP site at qwftpmid1.qwinc.com. Log in with a username of "specs" and a password of "specs" and proceed to the "PDF_Specs" folder. Please check regularly for updates. The Adobe PostScript Drivers and Acrobat Reader are also provided for your convenience. Please keep in mind that the application files being used to produce the job (page layout files, fonts, images, etc.) should be suitable for 4 color offset printing. The settings outlined in this guide can not compensate for the use of unsupported items such as low resolution or RGB images, images with embedded color profiles, TrueType fonts, insufficient bleed, inconsistent or incorrect page sizing, etc. Common Problems & Solutions Some of the more common problems we see with PDF files that we receive are: Wrong Job Options Used to Distill (use QWMidland Distiller Job Options) Unexpected Overprints (use QWMidland Distiller Job Options) Insufficient Bleed (make sure layout program set up as described in this guide and make sure any item meeting trim is pulled out 1/8" beyond trim) RGB or LAB Colorspaces (save files in CMYK colorspace) Embedded Color Profiles (do not embed profiles when saving and use the QWMidland Distiller Job Options) Wrong Trim Size (verify trim size before laying out job and create documents to that trim size) Fonts Not Embedded (make sure layout program set up as described in this guide and use QWMidland Distiller Job Options) Preflighting You will likely see a great disparity in the level of expertise of clients providing files to you. As a PDF finished file customer, you bear a responsibility to see that files arrive to us written to our specifications. This will go a long way toward helping to ensure that we will not have unforeseen difficulties producing your job, and greatly increase the likelihood that you will be thrilled with the final printed product. To this end, we recommend that you have the proper tools to be able to preflight files. The preflighting capabilities of many layout applications could best be described as rudimentary, though version 2 and later of Adobe InDesign include a relatively good preflight function. For general preflighting (layout documents, images, fonts, etc) we recommend FilghtCheck Professional by Markzware. You can find it at: www.markzware.com. PitStop Professional by Enfocus Software is an indispensable tool for working with and preflighting PDF files. You can find it at: www.enfocus.com. Batch File Production Because our specifications call for supplying a single page PDF file for each page of your publication, many of our customers have asked for ideas on streamlining their workflow. Your Account Manager, or our PrePress department staff can direct your inquiries to the proper resource to give you specific ideas and recommendations based upon your individual situation. Exporting PDF's from Your Layout Application Quebecor World Midland does not currently support exporting PDF's directly from your layout application. This is due to potential file problems that may be generated by using this method of PDF file production. Writing a PostScript file and creating a PDF from that file using Adobe Acrobat Distiller may seem to be an added step, but it is well worth the time and effort due to the increased reliability of PDF files produced by this method. Print On Demand Work for Docutech Specifications differ slightly for PDF production for the Docutech. PostScript should be written to trim size (not to a paper or media size 1" over trim), and as composite grayscale with no marks or colorbars turned on. The PDF files should also be multi-page (the entire publication in one PDF, if possible) The rest of the specifications are identical, including the PPD's, Job Options for Acrobat Distiller, etc. 2

Okay So Where Does All of That So Called Stuff_You_Need Go? For best results, after un-stuffing or un-zipping, files should be copied into the following locations: Well, lets start with the Prinergy Refiner PPD. Windows 2000: \WINNT\SYSTEM32\SPOOL\DRIVERS\W32X86\3\ Windows XP: \WINDOWS\SYSTEM32\SPOOL\DRIVERS\W32X86\3\ Windows 2000 or XP - PageMaker Users: \Program Files\Adobe\PageMaker 7.0\RSRC\USENGLSH\PPD4\ Mac OS 9.x: System Folder : Extensions : Printer Descriptions Mac OS 10.x: Library/Printers/PPDs/Contents/Resources/en.lproj/ (You must have administrator access & be able to take ownership of this folder to add the PPD) "Okay" you say "well, what about the QW_Midland Acrobat Distiller Job Options?" Windows XP or Windows 2000: Acrobat Distiller 4.x or 5.x: \Program Files\Adobe\Acrobat 5.0\Distillr\Settings\ Acrobat Distiller 6.x: 1. Open Distiller 2. Drag and drop Job Options file onto Distiller window Mac OS 9.x Acrobat Distiller 5.x: Applications* : Adobe Acrobat 5.0 : Distiller : Settings Mac OS 10.x Acrobat Distiller 6.x: 1. Open Distiller 2. Drag and drop Job Options file onto Distiller window So far, so good? Okay now for the Creo Distiller Assistant. Windows XP or 2000: Acrobat Distiller 4.x or 5.x: \Program Files\Adobe\Acrobat 5.0\Distillr\Startup\ Acrobat Distiller 6.x: \Documents and Settings\All Users\Documents\Adobe PDF 6.0\Startup\ Mac OS 9.x Acrobat Distiller 5.x: Applications* : Adobe Acrobat 5.0 : Distiller : Startup Mac OS X: Acrobat Distiller 6.x: Users/Shared/Adobe PDF 6.0/Startup/ If you are running Acrobat Distiller 5.x in classic mode on OS 10.x, follow the OS 9.x instructions. And last, but not least - the Creo Color TIFF XT. (QuarkXPress users only) All Platforms versions 4.x - 5.x. This file is not necessary for QuarkXPress 6.x. Place the Creo Color TIFF XT in the XTensions folder inside your QuarkXPress folder. *Folder may be titled Applications (Mac OS 9). 4

Creating a Virtual Printer in Windows 2000 or XP Using the Adobe PostScript Driver 6

Note Please read the following before proceeding or calling for technical assistance. The virtual printer is not required for Adobe InDesign users. The screen captures and recommended settings on the following pages are intended to be used as a guide for setting up a PostScript Printer in Windows that will produce PostScript suitable for PDF file creation via Adobe Acrobat Distiller. We do not support PDF created with the PDF export features of QuarkXPress, Adobe PageMaker or Adobe InDesign. When used in conjunction with the required settings for your layout application, the provided Adobe Acrobat Distiller Job Options file, and the Creo Distiller Assistant, these settings should provide you with the means to produce PDF files that will print to your expectations. Most of what you need is available in the "PDF_Specs" folder on our FTP site at qwftpmid1.qwinc.com. You can log in with a user ID of specs and a password of specs. You may also ask your Account Manager to provide you with a CD containing the files and specifications. Please contact your Account Manager if you wish to have us provide a CD. Please keep in mind that the files being used to produce the job (page layout application files, fonts, images, etc.) should be suitable for 4 color offset printing. The settings outlined here can not compensate for the use of unsupported items such as low resolution or RGB images, images with embedded color profiles, TrueType fonts, insufficient bleed, inconsistent page sizing, etc. If you are producing PDF files for our Docutech in our Print On Demand department, please see page 2 of this guide for important information. Download and run the Adobe PostScript Universal Print Driver Installer for Windows. You can get it from our ftp site at qwftpmid1. qwinc.com in the PDF_Specs folder, or from Adobe s web site at www.adobe.com. Once you have downloaded and run the installer, please match the screen captures in this section of the guide. This guide assumes that you have already placed the Prinergy Refiner PPD in a location where you can access it from this program (see page 4). 7

Click "Next >". Click "ACCEPT". 8

If you see the window shown here, choose the circled option and click "Finish". Printer Setup You can access the settings for the printer that you have just created by going to your Start menu and selecting Printers & Faxes (Windows XP) or by selecting Settings and choosing Printers (Windows 2000). Right-click the printer and choose Properties from the pop-up menu. 14

Click "Printing Preferences..." Click "Advanced..." 15

Match settings and click "OK". On the "Advanced" tab, click "Printing Defaults". 16

Click "Advanced..." Match settings and click "OK". 17

On the "Device Settings" tab, match settings and click "OK". Make sure all fonts are set to Don t Substitute. Please note that the fonts in the list shown will not be the same as the list on your computer. Once you are finished with the settings listed, you can click OK until you are back to the Printers and Faxes (Windows XP), or Printers (Windows 2000) window, which you may then close. Select this printer from your layout application when writing PostScript. 18

Creating a Desktop Printer in Mac OS 9.x 19

Note Please read the following before proceeding or calling for technical assistance. The Desktop Printer is not required for Adobe InDesign users. This document assumes that you have installed the Adobe PostScript Printer Driver and that you have copied the Prinergy Refiner PPD to the Printer Descriptions folder inside your Mac System Extensions folder. It also assumes you are currently using Desktop Printers*, and that your Mac is running system 9.x. Other versions of the Mac OS have not been tested with these settings, and may not function as intended. The settings provided have been proven to work on the vast majority of Macs on which they have been used, but we cannot guarantee they will work on every machine. Please let us know if you have any trouble creating the Desktop Printer. Most of what you need is available in the "PDF_Specs" folder on our FTP site at qwftpmid1.qwinc.com. You can log in with a user ID of specs and a password of specs. You may also ask your Account Manager to provide you with a CD containing the files and specifications. Please contact your Account Manager if you wish to have us provide a CD. Please keep in mind that the files being used to produce the job (page layout application files, fonts, images, etc.) should be suitable for 4 color offset printing. The settings outlined here can not compensate for the use of unsupported items such as low resolution or RGB images, images with embedded color profiles, TrueType fonts, insufficient bleed, inconsistent page sizing, etc. If you are producing PDF files for our Docutech in our Print On Demand department, please see page 2 of this guide for important information. *To use Desktop Printers, the "Desktop Print Spooler" and "Desktop PrintMonitor" system extensions must be active) The screen captures on the following pages were captured on a Mac running OS 9.2.2, but may be used as a guide for any version of OS 9, though screens may vary slightly. Find and launch the Desktop Printer Utility application (there may be more than one Desktop Printer Utility on your computer). The first dialog box on the following page appears when you launch the Utility. 20

Select AdobePS in the With drop-down list. Select Translator (PostScript) in the Create Desktop... selection window. Click "OK". Click Change.... 21

Note: This list of PPD's is for example only, and may not reflect the list on your computer. Choose the Prinergy Refiner PPD, and click "Select". The Prinergy Refiner PPD may not show an icon. This is normal for this file. Click Create.... Note that the selection you made in the above step is reflected in the PostScript Printer Description (PPD) File" section. 22

Name desktop printer and click Save. Hold down the Control key and click the new desktop printer that you have created. A menu will appear. 23

Select Set as Default Printer. The bold outline around the printer icon indicates the default printer. 24

Creating a Virtual Printer in Mac OS 10.x 25

Note Please read the following before proceeding or calling for technical assistance. The virtual printer is not required for Adobe InDesign users. This document assumes that you have copied the Prinergy Refiner PPD to the proper folder on you Mac hard drive. It also assumes that your Mac is running system 10.2.x or greater. Other versions of the Mac OS have not been tested with these settings, and may not function as intended. If you are running Mac OS 10.3 (Panther), you must update to version 10.3.2 or greater to produce functional PostScript files. Please let your Account Manager know if you have any trouble creating a virtual printer using this guide. Most of what you need is available in the "PDF_Specs" folder on our FTP site at qwftpmid1.qwinc.com. You can log in with a user ID of specs and a password of specs. You may also ask your Account Manager to provide you with a CD containing the files and specifications. Please contact your Account Manager if you wish to have us provide a CD. Please keep in mind that the files being used to produce the job (page layout application files, fonts, images, etc.) should be suitable for 4 color offset printing. Find and launch the Printer Setup Utility (it is called the "Print Center" on Macs using OS X versions prior to OS 10.3). The first dialog box on the following page appears when you launch the Utility. 26

Note: This list of printers is for example only, and may not reflect the list on your computer. Click Add to begin creating the virtual printer.. Match the settings below. Open the "Printer Model:" drop-down list. The inset shows the screen for OS X versions prior to 10.3 (Panther). 27

Choose Other... from the Printer Model: drop-down list. Browse to the folder where you copied the Prinergy Refiner PPD, select Prinergy Refiner and click Choose. Note: This list of PPD's is for example only, and may not reflect the list on your computer. 28

Verify the settings, and click "Add". The new virtual printer appears in the printer list as the default printer. Note: This list of printers is for example only, and may not reflect the list on your computer. 29

QuarkXPress 30

Note Please read the following before proceeding or calling for technical assistance. Before working with this guide, you should launch QuarkXPress, and run XTensions Manager... from the Utilities menu. The following XTensions should be disabled: Custom Bleeds OPI Quark CMS You will need to re-start Quark for the changes to be saved. If you are using Quark 4.x, you should run XTensions Manager... again to verify that the XTensions are still disabled. You may have to disable the XTensions again, and re-start Quark a second time. If any of the above XTensions that are not listed in XTensions Manager, you can assume that they are not present and can be ignored. The screen captures and recommended settings on the following pages are intended to be used as a guide for producing PostScript from QuarkXPress 5.x - 6.x that is suitable for PDF file creation via Adobe Acrobat Distiller. We do not support PDF files created with the QuarkXPress PDF export feature. PDF files produced using the QuarkXPress PDF Export feature may not print as expected. When used in conjunction with the appropriate Quebecor World Midland provided Adobe Acrobat Distiller Job Options file, the Creo Color TIFF XTension (Quark 4 & 5 only), the Creo Distiller Assistant, and a properly configured printer, these settings should provide you with the means to produce PDF files that will print to your expectations. Most of what you need is available in the "PDF_Specs" folder on our FTP site at qwftpmid1.qwinc.com. You can log in with a user ID of specs and a password of specs. You may also ask your Account Manager to provide you with a CD containing the files and specifications. Please contact your Account Manager if you wish to have us provide a CD. Please keep in mind that the files being used to produce the job (page layout application files, fonts, images, etc.) should be suitable for 4 color offset printing. The settings outlined here can not compensate for the use of unsupported items such as low resolution or RGB images, images with embedded color profiles, TrueType fonts, insufficient bleed, inconsistent page sizing, etc. If you are producing PDF files for our Docutech in our Print On Demand department, please see page 2 of this guide for important information. The screen captures on the following pages were captured on a Windows 2000 system using QuarkXPress 5.0.1, a Mac running OS 9.2.2 using QuarkXPress 5.0.1, and a Mac running OS 10.2.8 using QuarkXPress 6.0. They may, however, be used as a guide for any supported version of QuarkXPress, though dialog boxes may vary slightly. We will start by creating a QuarkXPress Print Style so that the required print settings will be permanently and readily available. 31

To create a Quark Print Style, simply choose the Print Styles... item under the Edit menu as illustrated at left. The Print Styles dialog box will appear.. Click New. 32

Note This is an example of how the paper width and height would be set for an 8.375 x 10.8125 publication. Leave the Paper Height: setting at Automatic. Set "Paper Width:" to your trim width plus one inch. 33

Note You may use the above setting for pages that are printing b/w. QuarkXPress 6.x Only: You should use the above setting for pages that are actually printing (not matching) spot colors. Please contact our technical staff if you have difficulty producing Post- Script using the "DeviceN" setting. 34

Once you have matched all of the settings in this section, click OK. The new Print Style should appear in your list. Click Save. 35

Please note that the settings illustrated in the previous screen captures should match what you see when you select the Print item from the File menu, and choose the print style you have just created. The Preview tab (which does not appear in the Print Style set up, should look similar to the screen capture below. Note: Mac users will not see the "Printer:" selection list in the "Print" dialog box. Select the page number to print here. Once you have selected the page number to print, click Print. Choose a name and select a location for your PostScript file. You will need to do this for each file you produce. We prefer that you use a 4-digit page number, as illustrated above. The example file name would be for page 4. Once you have entered a name and selected where to place the PostScript file, click "Save". Once you have produced the PostScript files for your publication, you can Distill them into PDF files using Adobe Acrobat Distiller. Please see the Distilling Your PostScript section of this guide for instructions. 36

Select the PS_for_Quebecor Print Style that you have created based upon the instructions on the previous pages. After doing so, the settings that you input for the Print Style are available in the Print dialog box. Select the page number to print here. Select the page number to print here. One of the last, but most important steps is to set up the print driver. After you have matched the settings on the previous pages in this guide, start this process by clicking the Printer... button at the bottom of the Print dialog box. After clicking the button, please match the following settings. Print driver settings not addressed here can be ignored. 37

Note: Do not select the page number to print here. You will do so in the Print dialog as shown above. 38

Once you have matched all of the recommended settings, click Save Settings at the bottom left of the Printer... dialog box. You will get the dialog box (inset) asking you to confirm that you want to save these settings for the PS_for_Quebecor printer. Click OK. Once you have saved the settings for the print driver, they will remain set unless you modify or re-install the printer, or the preferences become lost or damaged. If your are using QuarkXPress 4.x, you would now click the Save button at the lower right of the Printer dialog box. This will give you an opportunity to name and select a location for your PostScript file. You will need to do this for each file you produce. QuarkXPress 5.0.1 (you must have the 5.0.1 update; this does not apply to 5.0) will allow you to name and select a location for your file without clicking the "Printer" button each time you wish to create a file, but you still must go through this process the first time to properly set up the printer. Once you have clicked "Save", you will be taken back to the main print dialog box where you must click "Print". 39

Again, we prefer that you use a 4-digit page number, as illustrated. The example file name shown would be for page 4. Once you have selected a name and location for your PostScript file, click "Save". Distill the PostScript file in Acrobat Distiller using the job options provided to produce your PDF file. QuarkXPress 6.x Output to PostScript from QuarkXPress 6.x is similar to that of QuarkXPress 4.x - 5.x, but there are some subtle differences in the once you click the "Printer..." button. Set up a Print Style as described in the previous pages. Click the Printer... button in the Print dialog box. 40

Select the proper printer. Select Output Options in the drop-down list box. Make sure the Save as File option is checked, and the Format is PostScript. Instructions for building a virtual printer in OS X can be found in the "Creating Virtual Printers" section of this guide. Select Printer Features from the drop-down list and make sure Resolution: is set to 2400dpi. You can then click Save... and choose a name and location for your PostScript file. Once you have selected a name and location for your PostScript file, you can click Save, and your PostScript file will be written. Distill the PostScript file in Acrobat Distiller using the Quebecor World Midland provided Job Options to produce your PDF files. 41

Once you have established these settings, you can save them as a preset by selecting Save As... from the Presets: drop-down list, and giving your preset a name (here it is PS_for_Quebecor ). 42

Once you have set up Adobe Acrobat Distiller to use the correct Job Options file, you can create PDF files from your PostScript files by simply dropping the files on the Acrobat Distiller window. Your PDF files will be created in the same location as the PostScript files. Adobe Acrobat Distiller may also be set up to use Watched Folders that use the QWMidland Job Options, which are "hot folders" that you can drop PostScript files in to process into PDF files.
