CPMS The Central Portfolio Management System (CPMS) is essential to the effective management of the CRN Portfolio and for the growth and success of the CRN over the next 5 years and beyond. It will be a key enabler for improved clinical research delivery in the NHS, providing information to support efficient research management with timely and accurate data. 2
Who will be using CPMS? CRN CC will be able to effectively manage study records, providing the tools to improve delivery of studies to time and target, support study teams and deliver the commercial feasibility services LCRNs will be able to view and edit study records, support study teams to maintain their study records and provide research activity data as well as providing sitespecific responses to commercial feasibility service requests Study Teams will be able to manage their study record (including applying for ISRCTN registration) and provide research activity data Commercial Partners will be able to submit and view the outputs of service requests Members of the public will be able to access information on all CRN Portfolio studies via the UK Clinical Trials Gateway 3
Where do I start? CPMS will go live in April 2016. Any existing users of the Portfolio database will have accounts created for them in the new system. Around the time of Go Live you will receive an email, with a link to the new to the new platform. https://cpms.nihr.ac.uk This will take you to the Identity Gateway landing page: 4
Next step: NIHR Hub users Any users of the Portfolio database who already have an NIHR Hub account can easily login to CPMS using their existing Hub account. Simply click on the link to Login with your NIHR Hub Account to enter CPMS. 5
Next step: Non - NIHR Hub users (But have Portfolio account) Any existing users of the Portfolio database who do not already have an NIHR Hub account will be notified that an account has been created for them, and requested to perform a password reset to activate their account. Click the Forgot your password? link to start this process. A password reset screen will open prompting you to enter your email address - this will be the email address you previously used to log on to the UKCRN Portfolio. Follow the process to set a new password. When your password has been reset successfully, use the Non-NIHR Login password area to enter your email and password to access CPMS. 6
Next step: New users Any new user without an existing account can create an account within CPMS by clicking on the Create Account link on the Identity Gateway landing page. 7
Next step: New users New users will be directed to the Create Account page. Complete the details on the form and agree to the Terms and Conditions before clicking the button marked Next. 8
Next step: New users You will be directed to page which tells you to check email and to click on the confirmation link: Open your email and click the confirmation link: 9
The Identity Gateway - NOTE Please note: If you have automatically been created an IDG account as you were an existing Portfolio database user and you try to create a new account with the same details, IDG will recognize you already have an account and show the following error. To avoid this simply follow the instructions for Forgot your password?. 10
Next step: New users Click on the Login and access your CRNCC applications link 11
Next step: New users When your new account has been created and you have confirmed the link in your email, you can login to CPMS from the Identity Gateway landing page by using the Non-NIHR Login password area to enter your email and password. 12
In CPMS... When you have successfully logged in to CPMS through the Identity Gateway your username will be displayed in the top right hand corner of the screen. The permission level and access to study information is by default a public view. If a new role is required, this will need to be determined by the NIHR and will be managed by the central CPMS team. 13
In CPMS... Within CPMS, the menu icon in the top left hand corner of the screen will always open a drop down menu allowing you to open or access functionality within the system, such as viewing the Studies list or beginning Research Activity to upload recruitment information. 14
Sorting Study Records In the list of study records the small arrows under each of the column headings indicate whether the data is sorted using this column. Click on any of these arrows to change the way the study list is sorted. 15
Filtering Study Records To search for a particular study or studies in the Study List, click the Show Filters link at the top of the list. A filter area will open at the top of the form. Enter any criteria you wish to search for in the filter area and click the Apply Filters button: 16
Opening forms When viewing the List of Study Records, clicking on the ID or Short Name will open the study record for viewing or editing study information. 17
Viewing and Editing a Study Record Information on the Study Record is displayed across a number of screens, each headed with a sheet tab such as Eligibility, Network Support and Study Design. Click any of these sheet tabs to move through the screens of information. The Edit button will be displayed in the top right hand corner of the form if the Study is open to edits and you have the correct permissions. 18
Saving and Submitting Information Changes to information, such as edits to a Study Record, will usually be completed by clicking the Save button in the top right hand corner of the screen. Saving information on a form does not close the form, allowing you to continue to make changes. Other forms, such as the ISRCTN form, will contain their own Save button at the bottom of the form which will close it and save changes. Some actions will also open a form which needs to be forwarded for action by others and will contain a Submit button. 19
