University of Kentucky College of Nursing Electronic Practice Inquiry Project Submission Guide UKnowledge (http://uknowledge.uky.edu/) is a digital collection of unique scholarship created by the University of Kentucky faculty, staff, students, departments, research centers, and administration. UK DNP students can provide free online access to their practice inquiry projects (PIPs) by submitting them to UKnowledge. Students should take note of these requirements: 1. The College of Nursing DNP Practice Inquiry Project Approval Form must be completed, signed by required parties, and submitted to DNP-UKnowledge@uky.edu. If the students have questions, they should seek clarification from their advisors. 2. In case the students wish to request an embargo on their PIPs (i.e., a delay in online access), their advisors must provide substantive reasons to secure an approval in advance of submitting the Approval Form. 3. The students should ensure that their PIPs are free of errors. Once the College of Nursing has posted the PIPs on UKnowledge, corrections cannot be made. The students should convert their PIPs to PDF format, ensure that the formatting is correct, and check that the file size is not over 100 megabytes. PDF files that exceed the 100-megabyte limit will generate problems in the submission process. Note: Occasionally papers that have a combination of portrait and landscape pages will not upload correctly. If this occurs, please just rotate the landscape pages while in PDF format and upload again. Students who meet these requirements should read this guide and proceed to submit their PIPs accordingly. Make sure that you have completed the Formatting Checklist with your advisor. It would also be helpful to have the Submission Checklist with you during this process. Open your Web browser and go to this page: http://www.uky.edu/nursing/academicprograms-ce/current-students/academic-policies/dnp-practice-inquiry-project-pip. Creating a UKnowledge Account You should see a UKnowledge login page. The UKnowledge system works best with the FireFox browser. If you already have a UKnowledge account, please log in. The UKnowledge account is different than your LinkBlue account. If you have forgotten your password, click the Forgot your password? link and follow the instructions to reset the password. If you have never made a submission to UKnowledge before, you will need to create an account. It will be separate from your LinkBlue account. When creating an account, please provide your PERMANENT email address, i.e., an email address that you can still use after graduation. The UKnowledge system will recognize you with that email address. Type your name as it appears on your PIP. The suffix box is for an abbreviation such as Jr. or Sr., not Mr., Ms., Mrs., Dr., or PhD. Skip it if you do not have a suffix. Please enter University of Kentucky for the institutional affiliation. Remember to write down your password for future reference. 2 Last updated: 8/31/15
Click the Sign up button to complete the account creation process. The UKnowledge system will send you a confirmation message by email. There is a link in the message that enables you to log in and continue the submission process. Click it. If you do not see the confirmation message in your email inbox, check the junk mail box because the UK email system sometimes treats the confirmation message as spam. Submission Agreement After logging in the system, you will be presented an agreement as the first step of the submission process. Please read the agreement carefully and print it for your record. Questions about it should be directed to DNP-UKnowledge@uky.edu. Check off the box and click the Continue button at the bottom. Submission Data Title Copy and paste or retype the title of your PIP in the text box. It should be entered EXACTLY as it appears on your PIP. 3 Last updated: 8/31/15
Author The system will automatically populate this section with the data you provided when creating the UKnowledge account. Please verify that University of Kentucky has been entered for the Institution field. Year of Publication Enter the year your PIP was approved by the advising committee. Embargo Period (Duration of the delay in online availability of your PIP) Your advisor must file a request and provide the MSN and DNP Program Director with substantive reasons for approval before you can impose an embargo during the submission process. If an embargo is not applicable to your PIP, leave the option at No Embargo Required. If the MSN and DNP Program Director has approved an embargo, click the drop-down menu and select the approved duration. Committee Chair, Clinical Mentor, and Committee Members Enter the title(s) and name(s) of your Clinical Chair or Advisor(s), e.g., Dr. Charles Smith. Do not enter 4 Last updated: 8/31/15
the name at Charles Smith, PhD or Dr. Charles Smith, PhD. Simply put a Dr. in front of their name if it applies. Enter the name of your Clinical Mentor in the next field, then your remaining Committee Member(s) using this same rule. Leave the last Committee Member box empty if this does not apply. Subject Categories Select appropriate subject categories from the menu on the left. If you are looking for specific categories, click the link noted here to view the complete list of disciplines and then expand the sections on the menu to locate the suitable categories. Accurate and specific subject categories will improve the online indexing and retrieval of your PIP. Abstract The toolbar above the abstract box provides shortcuts to creating paragraphs, bullet lists, italics, bold, superscript, and subscript. If there are special 5 Last updated: 8/31/15
characters and/or specific formatting in your abstract, the best way to submit it is to click the HTML button and paste the text in the pop-up editor box. From there, you can use HTML tags to format the text as needed. Click the Update button on the pop-up box to insert the formatted text to the abstract box. Upload Full Text Click the radio button next to Upload file from your computer, select the PDF file of your PIP, and upload it. Do not choose the other options to submit your PIP. Note: Occasionally papers that have a combination of portrait and landscape pages will not upload correctly. If this occurs, please just rotate the landscape pages while in PDF format and upload again. Additional Files If you do not have any additional files such as data, graphs, spreadsheets, images, video files, or audio files, skip this field. If you have an additional file(s) for the PIP, check off the box and click the Submit button at the end. A Browse box will appear and you can identify the file(s) to be uploaded. After a file has been uploaded, remember to click the Save button. Repeat this step as needed. When all additional files have been uploaded and saved, click the Continue button to complete the submission process. UKnowledge supports these file formats: Images: JPEG, PNG, GIF, TIFF Audio: AIFF, MP3, unprotected (DRM-free) AAC, WAVE Video: MPEG, QuickTime Data: XML, Comma-separated values What Happens Next Your PIP is now under review. Once your PIP has been reviewed, you will receive a decision message by email. The College of Nursing staff will either accept your submission or request that you make corrections to the PIP. If the latter, there will be a corrections sheet to guide you. Revise and Re-submit Read the College of Nursing s correction sheet and revise your PIP as requested. If you have any questions, contact your advisor. After you have modified the document and converted it to a PDF file, refer to the College of Nursing s decision email for instructions on how to submit the revised version to the UKnowledge record you have already created for your PIP. Do not go through the original submission process all over again or it will result in a separate, duplicate record and may delay the processing of your revised PIP. Click the link in the decision email and log in the UKnowledge system to access a screen like this: Click the Revise submission link on the left. Click the Submit button at the end to complete the submission process. You will receive a confirmation message by email. If you have any questions, Please submit them to DNP-UKnowledge@uky.edu. The College of Nursing will post the accepted PIP on UKnowledge and notify you of its URL by email. IMPORTANT NOTE: Once the PIP is posted, we cannot accept replacement copies or other changes. Therefore, requests for resubmission or revisions will not be approved, no exceptions. Please ensure you take care to proof for spelling, formatting, and inclusion of all components as approved by your advisor before submitting to UKnoweldge.
