Extended Vendrs Extended Vendrs is an enhanced replacement fr the Sage Vendrs frm. It prvides yu with mre infrmatin while entering a PO and fast access t additinal PO, Vendr, and Item infrmatin. Extended Vendrs lets yu: Maintain vendrs acrss multiple Sage 300 cmpanies using the Cpy Vendrs functinality. Specify a range f vendrs frm the current cmpany, filter them by additinal criteria, cherrypick vendrs frm the results, and then cpy the final set t ther assciated Sage 300 cmpanies. Select r de-select cmpanies t cpy t n an individual basis. Display a full lg f cpied vendrs. Enfrce Cuntry Cdes at data entry time t frce cuntry, state and prvince fields t match ISO 3166 cdes. Add an unlimited number f cntacts per vendr with ver 10 fields f infrmatin fr each cntact. Display Vendr addresses in Ggle maps. Create new emails fr the Vendr and Cntact email addresses. Display Vendr web sites in a brwser. The Extended Vendrs icn appears under TaiRx Prductivity Tls > Accunts Payable Tls n the Sage 300 desktp and can be cpied t ther menu lcatins. SmartFinder Vendrs Click the Vendr Number buttn at the tp f the frm t pen the SmartFinder fr searching vendrs. Search: Enter ne r mre wrds r wrd fragments in the search entry field t search multiple tables and fields. Yu can als filter fr Active vendrs. Search returns vendrs and remit-t lcatin recrds which cntain the search string in any f the searched fields fr example, ne recrd may have Ryal in the name, where anther may have it in the address field. Bth recrds will be displayed. Nte: Using multiple wrds in the search? Enter "300 Main" and the search will find entries "300 Main Street" as well as "123 Main Street, Suite 300". Searching fr a phne number? Enter the phne number segments separated by blanks. Enter "451 8991" and the search will find "(451) 555-8991" as well as "(408) 451-8991". All f the wrd fragments must be present in ne f the fields being searched. (Fr example, if yu searched fr Rss Blvd, yu will nt see a vendr where Rss is in the Vendr Name field and Blvd is in the Address 1 field.) Addresses (e.g. the vendr address) are treated as a single field. Display: The tp grid displays the vendrs matching the search criteria. The bttm grid displays the remit-t lcatins that match the search criteria. Nte that the remit-t lcatins may nt be related t the vendr recrds displayed in the tp part f the screen. The screen belw displays remit-t lcatins fr tw different vendrs. Click the Address 1 clumn heading r duble-click the address t launch Ggle Maps with the vendr address. Yu can als check the lcatins f Ship-T and Bill-T addresses. Duble-click email addresses (such as the Cntact E-mail) t create new emails. Selectin: Duble-click a vendr in the tp grid t select and enter the vendr n the Extended Vendrs frm. Duble-click a remit-t lcatin in the bttm grid t enter the vendr. Vendr Inquiry Vendr Inquiry buttn displays the TaiRx Prductivity Tls Vendr Inquiry screen a cnvenient way t view data related t the vendr. Each tab fcuses n an aspect f the vendr s data. Lk up Web sites in yur brwser Click the Web Site buttn n the Extended Vendrs screen t cnfirm Web site URLs. Enfrce ISO 3166 cuntry cdes Use this ptin t frce cuntry, state and prvince cdes t match ISO 3166 cdes, and t use Finders t select cuntry, state, and prvince cdes. This setting can nly be changed by the Sage 300 ADMIN. Chse Settings frm the Extended Vendrs menu. If yu want t use this ptin, make sure it displays the checkmark. The prgram will als display new Finder buttns t let yu select ISO cuntry, state, and prvince cdes frm Finder lists. An errr message will appear when yu click Save if the cdes are nt valid. Maintain an unlimited number f cntacts per vendr Extended Vendrs lets yu stre an unlimited number f cntacts per vendr with ver 10 fields f infrmatin fr each cntact. Sage 300 Accunts Payable nly stres a single cntact fr each vendr and nly stres the cntact s name, phne number, fax number, and e-mail address fr the ne cntact. By cntract, Extended Vendrs allws yu t stre as many as yu require, by prviding a list f cntacts t the Cntact tab f the UI, and it stres the fllwing infrmatin fr each vendr: First and Last Name Title (Mr, Ms, Dr, etc.) Psitin (VP Sales, etc.) 3 Phne Numbers (Office, Mbile, Other) Email Address Ntes (up t 250 characters) Inactive and Date Made Inactive Date Last Maintained and Last Changed By (Sage 300 User) T add mre vendr cntacts: Select the Cntact tab n the Extended Vendrs frm. Click in the grid belw the cntact fields, and press the insert key. Add the infrmatin fr each new cntact. Click the Email heading t create a new email t the cntact. Cpy Vendrs t ther Sage 300 cmpanies IMPORTANT: Yu must enter a User ID and Passwrd t cpy vendrs. Make sure the User ID has sufficient rights t cmplete the peratin in the target cmpanies. If yu are inserting new vendrs in ther cmpanies, check that a current backup exists fr the databases being affected. Nte: Yu cannt cpy vendrs between single-currency and multicurrency cmpanies. Surce and target cmpanies must have the same single-currency r multicurrency setting. Open the Sage 300 cmpany with the vendrs that yu want t cpy. Cpy Vendrs perates frm within an existing "surce" cmpany, and lets yu cpy ship-via infrmatin t ther Sage 300 cmpany databases. TaiRx Prductivity Tls fr Sage 300 6
Open the Extended Vendrs frm, and click the Cpy Vendrs buttn at the bttm f the screen. When the Cpy Vendrs buttn is pressed, a windw will pp up fr selecting the vendrs in the surce cmpany. Nte: By default, the grid at the bttm f the frm will display any new vendrs that were added in this sessin. This allws yu t bypass the selectin prcess and cpy these new vendrs directly t ther Sage cmpany databases. Specify a range f vendrs fr cpying: Yu can specify ranges fr up t seven vendr fields t use fr vendr selectin including the vendr number, grup cde, accunt set, terms, bank cde, payment cde, tax grup, currency cde, r any f the ptinal fields that yu use fr vendrs. Chse additinal criteria: Click the Additinal Criteria buttn t further restrict the cdes fr cpying. In this case, we are selecting vendrs that were added after a particular date. Click OK t save. Lad the list f vendrs and chse which nes t cpy: Click the Lad buttn t display the list f vendrs. When the Lad buttn is pressed, the prgram will display the vendrs in the range and with the additinal criteria yu specified. Yu can adjust the range r additinal criteria if necessary, then click Lad again. Click the Select All and Select Nne buttns at the bttm f the screen t include all r nne f the vendrs laded in the grid. Click the Cpy buttn t display the T Cmpanies screen: Select whether t insert new cdes r update existing nes in target cmpanies: Befre prceeding, yu must decide whether t add r update vendrs in the target cmpanies. Fr example, chse Update Only t update addresses and cntact infrmatin fr all existing vendrs in the target cmpanies. Chse whether t insert, insert and update, r just update vendrs. Insert Only will nly add cdes if the cde des nt already exist. Update Only will nly update cdes that d exist. Insert and Update will perfrm bth f these peratins. If updating cdes nly, yu can chse t update the vendr name nly. Chse whether t set the Vendr Status: Select whether t cpy vendrs statuses. Inactive vendr can always be made active in anther cmpany. It may nt be pssible t make an active vendr inactive in the target cmpany in which case, ther infrmatin will be cpied, but the status change failure will be lgged and the prgram will cntinue t prcess ther vendrs. Select target Sage cmpanies: Click the Select All and Select Nne buttns at the bttm f the screen t include all r nne f the target cmpanies. Click the checkbxes t cmplete yur cmpany selectins. Click the Cpy buttn in the pp-up T Cmpanies screen t cpy vendrs: Click the Cpy buttn t start the cpy prcedure. Enter yur User ID and passwrd in the Sage 300 Sign-On windw and click OK. Nte: Yu MUST have sufficient permissins t update vendrs in the target cmpanies fr cpying t prceed. The prgram will cpy the vendrs t the target cmpanies. If n changes are required fr a selected vendr, the recrd will nt be updated s the audit stamp will be preserved.
