User Provisioning and Maintenance A GUIDE FOR DELEGATED AUTHORISERS IN SCHOOLS

Your role If you re an online Delegated Authoriser, you can view and maintain users from your school that access Education Sector applications. ESL online provides you with the ability to: - Send email invites to new users for account creation - Maintain existing user details, provision/ deprovision application roles - Reset account details or unlock accounts - Generate reports Most changes you make are available to your users immediately without having to contact the Service Desk to fulfil requests.
Getting started 1 2 3 Firstly, click on the ESL URL: https://identity.education.govt.nz/ Enter your ESL username and password and select Login. You will be presented with the Search Users page.
The menu is in the lefthand navigation A list of your school users is shown by default Or click here to Logout at any time. If you work for multiple organisations, select other organisations from the dropdown. Switch between Self Service and Delegated Authoriser functions here.
Invite user Any new user to your organisation will need to be sent an invite from ESL. Before you start, you need to confirm that you have sighted a user s Evidence of Identity documents You can read more about the EOI process at: http://services.education.govt.nz/edu cation-sectorlogon/documentation/evidence-ofidentity/
Invite user Select Invite User from the left-hand navigation Enter the user s personal details as they appear on their Evidence of Identity. Then
Invite user provision roles The default roles for your school will show. Tick each role to be added to the user s account Select the arrow to expand each application. On Invite the user will be invited (via email) to create or link an ESL account
Resend invite If the user s invite expires before they setup their ESL account - you can resend them an invite You can also use this function to send the invite to a different email address Select Search invites from the left-hand navigation In the invite record, select Resend invite
Search for a user If you want to make changes to, or reset login details for, an existing user s account, you will need to open the user s account. Make sure you are on the Search users tab You can use wildcard searches e.g. Ang* Enter Search criteria and select Search
Edit user s account A user can edit their contact details themselves. However, any changes to their personal details must be done be a DA or the Service Desk. Note: This will also require a new Evidence of Identity check 1. Select Search user 2. Select Edit user details 3. Then update personal details as per the EOI. Note: You will be required to enter a new EOI check date The system will automatically generate an email to the user
Edit user access update application access Select or deselect application roles Select Edit roles and organisations Then select Update The system will automatically generate an email to the user It is your responsibility that a user only has the access they need.
Edit user access leaving your school Select Edit roles and organisations Select the Remove organisation button at the bottom right of the screen The system will automatically generate an email to the user
Reset login details If a user has forgotten their username or password, or locked themselves out of their account - you can reset their login details. 2. Open the user s account Within the account you can select the following functions: Reset Password Send username Unlock account 1. Search for the user 3. Select Reset login details The system will automatically generate an email to the user
Create report 1. Select Create 2. Choose the application you want to report on The create report function will produce an xls. that you can use to review user access. 3. Select Create Report to download the report as a spreadsheet
