Connecting To SmarTeam in AutoCAD When working with SmarTeam and AutoCAD it is recommended that the user is always connected to the SmarTeam database, this allows the user to manage the document lifecycle and revisions. To connect to SmarTeam: - On starting AutoCAD it will automatically connect to SmarTeam - A message window will appear showing relevant information to be read, select once read -Select Close - Enter Windows Network Password and press OK. 4

Creating a Drawing When creating a new Drawing in AutoCAD the correct Template should be used, these are already stored in SmarTeam with mapped attributes. - From the SmarTeam menu in AutoCAD select Find Find Object. - From the pre defined searches in Search Editor select All Templates. - Press Run. 6

Creating a Drawing Once the template drawing is selected the SmarTeam function Design Copy is used to create the new blank drawing. - MB3 on the template then select User Defined Tools Design Copy - Navigate to the desired Project and Folder then press Save Note: Do not enter a File Name in this window 8

Creating a Drawing As the Profile card requires completing with required Pall information check the Show Profile card option is chosen. - Press Options - Ensure Show profile card on Copy is ticked then press OK - Press Copy 9

Saving a Drawing to SmarTeam The use of Design copy will duplicate the Template drawing ensuring all mapped attributes from SmarTeam are updated to the new Profile card information. - The division field will be automatically entered - Selecting another division from the dropdown will set alternative options for completion of the profile card Red Cross = Mandatory Field Blue Back = Pick List (Content based on Division) White Back = Free Form text field Yellow Back = Free Form or Pick List 10

Saving a Drawing to SmarTeam Fields with a button at the side allow completion via a pre defined pick lists to ensure standard formats are maintained - Working from the left select the initial description, based on this selection the right list is populated - Select the required description followed by OK. First Release is ticked on first save of a document 11

Show Profile card When a document has been saved to SmarTeam the Profile Card showing the attributes, revision history, links, viewer etc can be displayed. - From the SmarTeam menu select Locate Active Document. - The Profile Card is displayed and the tabs can be selected to view various information about the document. This window can be closed without losing any information and displayed again at anytime. 15

Check In a Drawing When Checking In documents to SmarTeam the document is moved to a secure location that is only accessible through SmarTeam. This allows other users with correct permissions to reference the document or Check Out to make further modifications. -From the SmarTeam menu select Life Cycle Check In. - Press OK. - A confirmation window is displayed showing the Drawing Checked In. 16

Searching for a Drawing Searching is a fundamental part of SmarTeam, it allows users to search on a single or multiple attributes on a Profile Card. Once the document has been found various operations can be performed depending upon user permissions. - From the SmarTeam menu select Find Find Object. - On the Search Editor window select a pre-defined search and press Modify. 17

Searching for a Drawing - The Search by Attributes window is opened, enter the search criteria on the Profile Card. - If Required change the default returned attributes, select the Attributes button and Add and Remove as required. - Press Run. - The search results are displayed in a list. 18

Editing a Drawing Check Out When modifying a Drawing a Check Out operation must be performed, the operation takes a copy of the file from the SmarTeam vault and places it in the users WIP area When a document is Checked Out the file is locked to prevent other users from modifying the document, however, previous revisions of the document can still be used by other users but only for reference. - MB3 on the document and select File Operation - Open For - Select Open for Edit and press OK. - After reviewing the operation on the Check Out screen press OK. 19

Check In a Drawing Incrementing WIP Revision Documents can be Checked In/Out as often as required this is known as WIP (work In Progress), each time a Check In/Out is performed the WIP Revision increments (1.01, 1.02, 1.03) without changing the Release (1). - From the SmarTeam menu select Life Cycle Check In - On the Check In screen the Drawing is shown to be Checked In, comments can be added for reference information. - Press OK - A confirmation window is displayed showing the Drawing Checked In, the Drawing is now vaulted on the server. 21

Releasing a Drawing Releasing AutoCAD documents must be performed from within SmarTeam via a pre defined workflow process. - The drawing to be Released should be found in SmarTeam - MB3 on the drawing and select Initiate Process Drawing Release Process - The Drawing Release Process profile card appears, at this stage the default Importance and Priority states can be changed 22

Creating a New Release A new revision is automatically created when a Released document is modified. - Search for the Released Drawing. - MB3 and select Open For.. - Select Open for Edit and press OK 27

Creating a New Release A Revision is performed on a Drawing when the geometry changes. - On the Release screen ensure the New Release operation is performed and press OK. - On the DRLTools Revision System panel select New Major Release and press OK. - The Profile card shows the drawing has incremented a Major Revision. SmarTeam Tree and Grid Properties Any SmarTeam Tree or Grid Properties can be modified to suit each user, these are stored centrally against the users profile. - Attributes can be made Visible / Non visible by using the Add / Remove buttons - The display order is changed by using the Move Up / Move Down buttons - Once happy with the displayed order press OK 29

SmarTeam File Explorer The SmarTeam File Explorer provides browsing and deleting functionality for viewing and tidying up users work areas. The SmarTeam File Explorer is an intelligent view of the work area, it shows why you have the file, who's the owner of the file and also lets you display the Profile Card as well as other functionality. For more information on the SmarTeam Files Explorer see SmarTeam Editor Online Help Windows File Explorer should NOT be used for tidying up work areas as this has no understanding on why the files are in the work area. 30

SmarTeam Lifecycle Management Lifecycle Management SMARTEAM - Editor enables you to maintain and manage any information related to a revision manageable object throughout its Lifecycle. By mirroring the physical process of product management, SMARTEAM - Editor uses vaults, check in, check out, and release functions to manage the Lifecycle revision manageable objects. It creates new versions of a file and protects it from unauthorized modifications. Maintaining security and control over files is of the utmost importance and SMARTEAM provides an electronic vault for this purpose. SMARTEAM - Editor will create new versions of each file as it is revised and will protect it from unauthorized modifications. The electronic vault ensures that only those persons with access permission may access a file, and that a file cannot be accessed by more than one person at a time. SMARTEAM - Editor provides for the Lifecycle management of an object together with all its components (children). This option is crucial to the proper management of an Assembly and all its sub-assemblies. SMARTEAM - Editor enables you to perform any revision operation on an object and all its children simultaneously using the Propagate Operation option. For example, if you have an Bonded Unit that has many children, you can perform any revision operation (such as Check In, Check Out, Release) on the Engine together with all its components simultaneously. SmarTeam protects the integrity of an assembly and its children when performing life cycle operations, for example: When you release an assembly, its children must be released as well. You can only move a sub-assembly to the Obsolete vault if its parent assembly is also obsolete. You can perform a revision operation on an assembly and all its children simultaneously, using the Propagate Operation option. You can copy the children of an assembly to your working directory so that you can view them but not modify them. The statuses of the children remain Checked In, while the status of the assembly is Checked Out. You can check out a sub-assembly from the vault independently and leave the parent assembly in the vault, the next time the parent is checkout the sub-assembly will be updated to the latest. 31

SmarTeam Document Life Cycle SmarTeam AutoCAD Integration enables users to maintain and manage any information related to a revision manageable object throughout its Lifecycle. By mirroring the physical process of product management, SmarTeam uses vaults, check in, check out, and release functions to manage the Lifecycle revision manageable objects. Using the Lifecycle Screen The lifecycle screen is an important window in SmarTeam; it gives the user visibility of operations that are performed on AutoCAD documents as well as AutoCAD linked objects. Other options and settings can also be performed on this screen. Lifecycle Screen Options Set default: This sets the default operations listed below for all objects visible in the tree structure. (ie. Keep Local File) Comment: If necessary, you can enter comments in this field for information only. Revision: Displays the current revision. This may change after pressing OK depending on the Lifecycle operation, if the operation is New Release then a prompt will appear after this screen for Minor or Major Revision. Current revision: This option is dependent on Lifecycle options set by the System Administrator. When selected, displays the current revision for this Check In operation. Overwrite previous revision: This option is dependent on Lifecycle options set by the System Administrator. When permitted by the System Administrator, select this option to manually enter a new revision for the object in the Revision field. File Name: Show the SmarTeam filename. Directory: The directory path of the users work area or vault in which the object will be moved to. Keep local file: Check this option to keep the file located in the working directory in read-only mode. Keep checked out: Check this option to keep the file checked out for modifications after performing the Check In operation. Lifecycle Tree Options Associated Objects: MB3 Associated Objects shows the linked documents and the Lifecycle operation that will be performed. 33
