(with On-Boarding Functionality) Getting Started Registration of your IP Office Product is required to obtain maintenance support What is registration? Registration is the process of providing the hardware details of the product to Avaya. This is referred to as Installed Base Creation and assigns the hardware details to the customer site record An additional part of registration is the creation of the remote connection between Avaya and the IP Office. This is referred to as Technical Registration and establishes the secure connection between the product & Avaya. (Note: SSL/VPN remote connection unavailable on versions lower than 500 v2) How is registration different for IP Office? Unlike other Avaya products, registration can be initiated via the IP Office for versions 8.1 and higher with the built in IP Office 8.1/9.0 Web Manager The IP Office provides a hardware inventory file in XML format that can be uploaded directly to Avaya s Global Registration Tool (GRT) Registration functionality available on all Editions (Basic, Standard, Server) Avaya - Proprietary. Registration of the customer s IP Office product is initiated via the built-in Web Manager Registration through Web Manager is supported in all IP Office Editions 1. To Begin, click the hyperlink to Web Manager from the main web page 2. Login in IPO Web Manager with Administrator/Administrator (This is the default login and password for the Web Manager) Avaya - Proprietary. Use pursuant to your signed agreement or Avaya policy. 5
This is IP Office 8.1 On-Boarding screen (see slide 8 for IP Office 9.0) 4. Once logged in, navigate to the On-boarding screen (shown below) 5. Click on the Get Inventory File button to begin the registration process. The TAA checkbox should only be selected for Government End Users. Checking the TAA box will adjust the material codes included in the inventory to the TAA material codes. If you are not sure, leave this box unchecked. 6. The installer will be prompted to save the inventory XML file, Avaya recommends saving it to the desktop. Avaya - Proprietary. Use pursuant to your signed agreement or Avaya policy. 6

The installer will be taken to Avaya s Global Registration Tool (GRT) and prompted to login using their SSO 9. Once logged in, they will click on the first link entitled Create New Registration Avaya - Proprietary. Use pursuant to your signed agreement or Avaya policy. 8

10. On the Customer Site Registration page, enter the customer s Sold-to/End-user Functional Location number. Note: The user can begin typing either the name of the account or any part of the Sold To/FL number and all accounts that match the data entered which the user is authorized for will be displayed. 11. On the Site Contact Validation page, the installer will be prompted to verify the sold-to, contact, & registration information. 12. Once completed, click the Next button to continue Validate selected Sold To Location Make sure your entered sold-to is the correct location before proceeding Registration Name is an optional field that can be used to help easily identify your registration. Reported By User name and email address is populated from the SSO login profile. Enter a valid telephone number GRT Notification Contact Same as above option will automatically populate the Reported By information Enter Manually will allow you to enter a different contact to receive GRT email notifications Multiple Email Addresses can be entered by separating email addresses with semicolon. Would you like to establish Remote Connectivity for the IP Office question Select Yes to simultaneously perform remote connectivity (aka Technical On-Boarding) which will generate the On-Boarding file (set-up recommended). -Or- Select No then Technical On-Boarding will not be initiated (no On-boarding file generated at this time). Technical on-boarding can be initiated at a later time. (See slide 18) 14. Then click the Browse button and locate the inventory XML file previously saved from the IP Office Web Manager 15. The Company Information section contains optional fields about the End User customer. This information provides the Product House marketing data. 16. Material Codes included in the IPO XML will be displayed in the Material Entry section Items included in the IPO XML that need corrections will be highlighted with a red outlined box Related error messages are adjacent to the flagged material or serial number boxes for convenience oeither enter the correct information in the provided boxes osimply uncheck the box for Registration to bypass the line item 13. To enter additional materials that are not handled in the inventory file (e.g. phones, app server, etc.), select the Manually Add Material Code button and enter material code, qty and serial number (optional) Avaya - Proprietary. 18. After completing and validating the install base records, click the Submit button to proceed with your registration. Avaya - Proprietary. Use pursuant to your signed agreement or Avaya policy. 15
After selecting Submit, you will receive confirmation pop-up. 19. Select Yes. Note: You MUST select Yes in order to proceed. If you do not select yes and select the X, this will void the registration and Install Base Creation. If you select No, you will be navigated back to the Install Base Creation page. After selecting Yes, you will receive an email notification reminder pop-up along with an In Process email notification 20. Select OK This will navigate you to the Registration List page and will receive an In Process email notification. 21. If Yes to establish Remote Connectivity was selected on the IP Office Registration Information page, GRT will automatically initiate the Technical On-Boarding of the control unit. Note: Instructions on how to technical on-board the IP Office at a later time ( No was selected for establishing Remote Connectivity on the IP Office Registration Information page) begin on slide 18. In a matter of moments the installer will receive several emails denoting the progress If Remote Connectivity was initiated, the Technical On-Boarding Completed Notification will contain the xml On-Boarding file that will need to be uploaded into the IP Office to establish the SSL VPN connectivity. 17. Save the IPO On-boarding XML file to the desktop Note: If you do not need to review the steps for performing technical on-boarding manually, please skip to slide 23. Avaya - Proprietary. If No to establish Remote Connectivity was selected on the IP Office Registration Information page, the following steps will initiate the Technical On-Boarding of the IP Office. 19. Navigate to the Registration List and filter for the registration ID. 20. Click on the Technical On-Boarding status of Not Initiated. This status will show in red font and will be an active hyperlink when ready to proceed with the on-boarding of the IP Office. Avaya - Proprietary. You will be navigated to the Technical On-Boarding Dashboard screen 21. Under the section labeled Registerable Products List Ready for Technical On-Boarding, you will see a list of assets that are eligible for Technical On-boarding. 22. Locate the material code of the IP Office control unit and select the Access Type of SSL/VPN from the dropdown list. Avaya - Proprietary. Use pursuant to your signed agreement or Avaya policy. 19
23. On the Technical On-Boarding Configuration screen, all the options will be pre-populated for you. This information is pulled from the IP Office inventory file. 24. Select the Add button to process the IP Office for technical on-boarding. **Note: The Connectivity selection of No is the correct option. The On-Boarding file generated will establish the connectivity upon uploading into the IPO Web Manager. 23. You will be navigated back to the Technical On-Boarding Dashboard. Select the Submit button to begin the processing the technical on-boarding. 24. GRT will send the GRT Notification Contact(s) the Technical On-Boarding completion notification with the xml On-boarding file attached. Avaya - Proprietary. 18. Navigate back to the On-boarding screen of the IP Office 8.1/9.0 Web Manager (shown below) 19. Click the browse button and locate the IPO On-boarding XML previously saved to the desktop 20. The click the Upload button Congratulations, the IP Office product is now registered and setup for remote technical support from Avaya Avaya - Proprietary.
