1 CLUB MEETING November 20th 2015 The meeting was opened by Barrie Johnson with the following notices: The courier [Fedex etc.] scams have surfaced again notification of a delivery being held. Members are reminded that courier companies do NOT do this delete such s unread! The meeting was then led by John Bicknell in the second of two sessions hands-on for PowerPoint [PP]. Members who have not done so should first read the notes from the November 6 th meeting; especially in respect to those referring to the different versions of Word and the accompanying illustrations. This second session deals with Animations. Animations means the addition of special effects to all or part of a slide. There are three possible animations as follows: ENTRANCE: How and when slide content selected appears on screen. EMPHASIS: An added effect after content selected has appeared on screen. EXIT: How and when content selected leaves the screen. Immediately following is description and illustration in respect for PowerPoint 2010/2013. Members should read this for a general understanding. This is then followed by a section for PowerPoint 2003 which has a number of operational differences. The animation tab:

2 In the above illustration a slide has been prepared but no part of it has been selected for animation. Notice that the ribbon has been greyed out. We are going to work with the Placeholder containing the three bulleted lines. If we click the Placeholder, the ribbon is activated: Simply clicking on the Placeholder allows us to animate each line with the SAME animation this is the simplest form. Note the arrows above. These permit us to scroll through the animations blue for Entrance, yellow for Emphasis and Red/brown for Exit. Clicking on an animation previews it. Click on a different animation to select another the last one clicked [including None ] is selected.

3 Note that the lines are numbered this shows the sequence of appearance. Depending on the animation chosen, there may be options: The options are usually self explanatory clicking any of them will give you a preview which allows you to see if it is what you want. You can also control other parametes of the effect: You can control timing options as follows:

4 The first is Start. Start gives you three choices: On Click means the animation [whatever it might be] will not happen until there is a mouse click. With Previous means that the animation will occur at the same time as the previous event whatever that was including the first appearance of the slide. After Previous means that the animation will follow the previous event again, whatever that was. We can also control both the duration [effectively the speed] of the animation using the arrows beside the box to increase or decrease the time. If we have selected After Previous we can set a Delay meaning that there will be an interval before the animation takes place. These settings permit you to control how the viewer sees the slide important especially with a presentation that runs automatically as opposed to one with a presenter. NOTE WELL: Any items on the slide that do NOT have an animation applied will appear as the slide opens! In the previous session, we discussed slide transition including setting the time interval before the slide changed to the next slide. It is necessary to understand that the

5 animation timing interacts with the transition timing. A simple example might be as follows. Let us say we set a transition time of 10 seconds. Also that we set, for each of the three lines in the above example [using After previous] a duration of 2 seconds and a delay of two seconds. Simple arithmetic shows us that our animations will take 12 seconds LONGER than the set transition time! PowerPoint will recognize this and will not change to the next slide until the animation is completed. BUT it will make the change IMMEDIATELY the last animation is completed. This may be OK if that was an Exit and the slide is finished. However if it is text to be read or a picture that the viewer wants to consider this is not acceptable and the transition timing must be changed. Usually, one needs to experiment to get the desired timing right. In the above, all items in the Placeholder were animated with the same effect. We can add variety by animating any particular piece separately. Simply highlight the desired piece and animate as above. In the above illustration each :line was highlighred separately and given a different animation. This also, of course, permits each to have independent timing as well.

6 As animations are added, the sequence can be seen in the Animation Pane Clicking on any of the items on the Animation Pane permits the settings to be changed. The sequence of animations can be changed by clicking on a given animation and using the up/down arrows. Further animations [i.e. Emphasis, Exit] can be added to a selected item by clicking on it and then on Add Animation. Multiple animations can be used on the same item e.g. Entrance>Emphasis>Exit>Entrance:

7 Use the arrow in the corner of the icon to display the options scroll down to see them all. Re-order as required. Remember that each animation added also adds to the time check your transition timing! POWERPOINT 2003: The basic principles discussed above apply in PowerPoint The following is intended to illustrate the operational differences in this version. Locating the Animations: In the 2003 version animations are located in the Slide Show Menu:

8 Selelcting Animation Schemes will offer a selection in which individual schemes may combine elelemnst of Entrance, Emphasis and Exit. Applying these does NOT permit timing to be controlled as seen previously.

9 Selecting Custom Animation although different in operation is more like 2010/2013 versions we see this: Clicking the arrow beside Add Effect displays a choice of Entrance, Emphasis or Exit plus a list if available effects: Note that Motion Paths provides options for some effects as in 2010/2013. When an effect is selected we see this:

10 Note that speed can be changed here but not delay. In some cases there is also a direction option. More modification is vaialabvle from the arrow beside the item selected: Note that the re-order option is now available. Clicking timing shows this:
