1 F E A T U R E S G L O S S A R Y Whether it s a weekly recurring meeting, or one booked at the last minute ensure your next conference call is a success with InterCall Reservationless-Plus. Below you will find an A to Z glossary of Reservationless-Plus features to help you get more out of your conferencing account: WHAT ARE THE FEATURES? AUTO CONTINUATION Allows participants to stay on a conference call after the host has left. The conference will end once the last participant disconnects. AUTO RECORD Automatically record all of your calls without prompting to start a recording via your telephone keypad and eliminate the ability for anyone within your conference to stop the recording. CONFERENCE BREAKDOWN Prevent your conference calls that have not been disconnected properly from continuing indefinitely by ending your conference once it has reached a set duration and number of participants limit. CONFERENCE CODE ERROR PROMPT dialled an incorrect phone number or entered an invali have CONFERENCE CODE LEVEL CUSTOM GREETING Set-up a custom greeting for your organisation, to play after participants enter the conference code. CONFERENCE ENTRY MODE Prior to participants joining your call, select one of the following entry mode options: Unmuted Group Mute Lecture Mode CUSTOM / BRANDED GREETINGS all participants have the standard talk privileges (current default mode). participants are joined as muted, but have the ability to unmute their individual lines to speak. participants are joined as muted and do not have the ability to unmute their individual lines to speak. Record a custom welcome message that is played to all your participants who join your conference using your dedicated Toll and Toll- Free dial-in numbers. CUSTOM ENTRY To quickly enter your conference, turn specified prompts off that are played after you enter your conference code or leader PIN. DIAL-OUT Dial-out to domestic participants directly from your conference and bring them into your call or alternatively, contact the Operator to dialout to international participants. 1
2 DISCONNECT GRACE PERIOD Provides a grace period allowing you to rejoin your conference in the event Auto Continuation is disabled and you have disconnected. DUAL PASSCODE Eliminates the need for you to enter your Leader PIN to start your conference. You will be provided with a 10-digit conference code to start your conference and your participants are provided with a participant conference code to join your conference. DUAL PHONE PROJECT ACCOUNTING CODE (PAC) Provide a clearer and more concise billing statement with easier tracking thanks to the new dual PAC code feature. When you start your next Reservationless-Plus conference, simply enter two telephone PAC values instead of one, via your telephone keypad. ENTRY ANNOUNCEMENT LIMIT Reduce the number of entry tones played when your call has started. Quick Start must be disabled when more than 5-10 participants are on music hold. ENTRY / EXIT OPTIONS Decide how your participants are announced when they join or leave the conference call. Choose from the following options Name Announce, Name and Tone or Silence. Tone, FORCE DISCONNECT Clear your conference by disconnecting all participants from your call while you stay connected. This feature is useful when you have scheduled back-to-back meetings. GROUP MUTE / UNMUTE and limits interruptions during your conference. se INTER-DIGIT TIMER Set an inter-digit timer from 0 to 30 seconds to wait (between digits) when entering a telephone keypad command (i.e. leader PIN). By default this is set to 8 seconds. INTERNATIONAL DIALLING Expand your global reac participants to your conference call, including links through our International Call Centres, Toll and Toll-Free access numbers, a dial-out option or a permanent dial-in number. LEADER ENTRY / EXIT ANNOUNCEMENT Change your entry / exit announcement setting. LEADER EXPRESS ENTRY Start your conference in one easy step by consecutively entering your conference code followed by * and your leader PIN followed by #. LEADER PIN EXPIRATION For security purposes, a leader PIN is required to start a Reservationless-Plus conference. Your account can be provisioned to allow you to change the leader PIN via your telephone keypad. Your account can also be enabled with the expiration feature, forcing you to change your leader PIN at regular intervals from the date your leader PIN was created (selected by your organisation; min. 30 days/max. 365 days). LEADER SMART ENTRY Store a telephone number so when you dial-in from that number to start your conference, our system will recognise the number and join you to your conference without inputting your conference code and leader PIN. 2
3 LEAVE AND JOIN A CONFERENCE Allows participants to leave the conference they are attending and join a new conference without hanging up and re-dialling the same dial-in number. LECTURE MODE Mute all participants during your conference to reduce background noise, allowing you to deliver your message uninterrupted. Participants will be unable to unmute their own lines once Lecture Mute mode has been selected. LOCK / UNLOCK Lock your conference to prevent additional participants from joining the call, with the exception of dialling out. MOBILE ASSISTANT ractions. Control and access your conference calls from your BlackBerry device, or if you have an iphone or Android smartphone, why not try our latest mobile app, MobileMeet? MOBILEMEET Re-designed and even easier to use, MobileMeet lets you start and join your meetings from your iphone and Android smartphones, schedule and send invites and access your enabled features. MULTIPLE LEADERS Have multiple leaders on your conference call, allowing them to have access to all leader controls. MUSIC ON HOLD Waiting for your call to start and participants to join? Now you can turn off the Music On Hold feature by dialling *60 on your telephone keypad and multi-task while you wait without the hold music distracting your concentration. To turn the Music On Hold feature back on dial *61 on your telephone keypad and enjoy the great tunes of the InterCall Lounge again. NEWS ON HOLD ONLINE CALL MANAGEMENT -Plus service. Call Manager is an application for your desktop available for download or to run in your browser putting you in control of all aspects of your meeting including scheduling, participant management and security. To download Call Manager go to OPERATOR ASSISTANCE At any time during your call, you can request the assistance of an Operator simply by pressing *0 or 00 to speak to the Operator privately. OPERATOR DIAL-OUT (PRE-CONFERENCE) Allows a user to press *0 for Operator assistance prior to a valid conferencing code being entered. PARTICIPANT LIST A list of your participants will be provided in your conference summary report via your post-conference . PERSONAL GREETING Record a personal message for your participants to hear when joining your conference. 3
4 POST-CONFERENCE S Keep an attendance roster of your participants with an record of which participants were on the telephone and/or web and keep track of your total conferencing minutes to anticipate your call budget. PRIMARY / SECONDARY LANGUAGE Users can assign a secondary language for all prompts and commands within the conference for participants. When activated, participants will receive an additional prompt to select a desired language. If no selection is made, the default language for the user is utilised for that participant. PRIVATE PARTICIPANT COUNT PROJECT ACCOUNTING CODES (PAC) Project Accounting Codes allow you to become more efficient when charging back for billable hours; ideal for solicitors, consultants and other professionals who track projects by cost centre. InterCall captures your expense centre, department or location, and the information will appear on your monthly invoice. PROJECT ACCOUNTING CODES (MINIMUM / MAXIMUM ALTERNATIVE PROMPTS) You can establish a minimum or maximum number of digits required and provide up to 12 different prompts to play prior to entering the PAC code. PROJECT ACCOUNTING CODES (CHANGE) Update your PAC code during your conference from within the Account Management menu or after your conference has ended via www-emea.intercallonline.com. QUALITY CASE MAKER Automatically create a Quality Request by dialling *44 on your telephone keypad and signal a Quality Agent to handle the issue you are experiencing; eliminating the interruption of having an Operator join your call to provide assistance. QUICK START Select Quick Start to immediately begin the conference call by allowing participants to enter the conference without a leader and start speaking before the call officially begins. RECORD AND PLAYBACK Digitally record your Reservationless-Plus call for participants who are unable to attend or for participants who would like to listen to the conference call again. For easy, 24/7 availability, the recording can be accessed via the internet or by dialing a Toll-Free number. You may also purchase a CD, downloadable link and/or transcription of your recording. RECORD PAUSE / RESUME Pause your recording in progress and resume it again when you are ready to continue. This is ideal for long conferences where a minute break may occur and silence during playback is not wanted. RETURN TO LEADER ACCOUNT MENU Allows you to return to the Leader Account menu, after you have started your conference call to change your default feature settings. ROLL CALL Prompts participants to record their name as they join the conference call. Any time during the conference, names can be replayed privately to any conference participant. Leaders can also delete their previously recorded name (used for the entry / exit name announce option) and record a different leader name by pressing 5 on their telephone keypad and following the prompts. 4
5 SECURITY PASSCODE Provides an added level of security to your Reservationless-Plus conference and gives you greater control over who joins your conference. You can select and distribute the security passcode for every conference you host. You also have the ability to add a Security passcode to an active conference by returning to the Leader Account menu. The Security passcode can be set to one of the following: ON: Security passcode is required to be placed into your call. OFF: Security passcode is not required and you will not be prompted for one to enter your call. OPTIONAL: You can bypass assigning a security passcode by pressing # when prompted. If # is pressed, participants joining prior to the leader will be prompted to enter a security passcode. SELF-MUTE / UNMUTE Allow participants to silence their own lines by pressing a keypad command on their telephones. Self-mute/unmute reduces background noise from mobile phones, speaker phones, etc. Pressing *6 gives you the ability to toggle between the mute/unmute states. Choose between hearing only tones or prompts when a participant mutes or unmutes their individual line and eliminate the prompt heard when muting your individual line by changing your mute options to tone only. SMS MESSAGE ALERTS Receive an actionable SMS message to your mobile device when your participants are waiting for your conference to start. SUB-CONFERENCE Allow pre-selected guests to join a private discussion during your conference call. Sub-conferencing allows you to discuss side issues and other non-public information. TELEPHONE COMMANDS Control your conference with a touch of a button on your telephone keypad Assistance and more. mute lines, lock the conference, request Operator THIRD-PARTY CONFERENCE START As a participant, bypass the hold music and start the conference as the leader if your leader is running late or unable to host your call at the last minute by pressing 11 on your telephone keypad. WAITING ROOM Place your participants on music hold until you are ready for them to join your conference call. This feature is helpful when you have two back-to-back conferences scheduled with two different groups.
