1 Questions and answers for RFP# 21 17/18 IT Managed Services & Support 1. What is the current support model (e.g., remote only, onsite only, 24x7 help desk)? What is working and what is not? Currently we have 2 staff members who provide tier 1 support for our end users during business hours. Current provider monitors servers remotely and is onsite one day every 3 weeks. Response times and follow up can vary, regardless of the severity of our request. 2. Beyond EW s responsibility to periodically review services and seek competitive proposals, what is your motivation for releasing this RFP? Are there technical concerns or limitations from your current provider? Primary purpose is to seek competitive bids and to try to find the best solution to assist us with our current structure, which has changed since original service agreement. 3. Will EW provide Tier 1 support or will that need to be included? Yes EW will provide Tier 1 support. The two IT staff members will be the only ones who would escalate to provider for Tier 2 and above support. 4. Are you looking for support for all 30 users, or just the users in the main office? Tier 2 and above support may be needed for all staff (approximately 80 people in National office and in the field). Most users outside of the National Office staff are in small or home offices that have only internet connections and basic networking. 5. Who is your VoIP provider? And what VoIP system are you currently using? Does it need to be supported by the selected vendor? Our VoIP provide is VoxOx ( out of San Diego, CA. VoxOx provides support, although there may be an occasion where advice or an occasional support question (advanced networking issues) may be escalated to the IT Managed Support vendor. 6. Who currently uses the BMC Track-It system? Would you be open to using our ticket system exclusively? Track-It is used by the IT department for help desk tickets and is also used to route Payroll/HR tickets. We would be open to discussing the possibility of moving the IT portion to your ticket system. 7. What is the estimated percentage break-down of PCs to MACs? 95% PCs to 5% MACs. 8. Is it possible to receive an inventory of the workstations that would be covered under this support? Speaking of the 150 devices. We are currently trying to compile an inventory of all computers but do not have that ready at this time. Is it possible to receive a listing of applications in use on workstations? This varies depending on job role, but here is a general list of what we are using: Microsoft Office 2013 Lotus Notes IBM Forms Lawson Adobe Standard/Professional (only on some) Insperity (only on some at HQ) QlikView (only on some at HQ) AnyDesk Our training manager has some specialty software that he manages.

2 10. What is the current backup solution? Would we be managing your current backup solution, or should we propose a new solution? If we need to propose our managed backup solution, please provide us each server s operating system and total amount of data Veeam is currently used to backup our servers with nightly snapshots that are saved locally. We are open to other backup solutions, but have Veeam contract through the remainder of 2017, please see section 9 for list of servers and data. 11. We understand that we will need to support the network infrastructure of the headquarters location, but will we need to cover support for any other network infrastructure outside of headquarters such as remote locations? We currently have 1 server in Texas that is only being used to share files and is being monitored. We plan to replace this with a SAN drive that will not be monitored. 13. Are applications running on servers under software vendor support agreements? Issues may occur when performing preventative maintenance and updates to servers that may cause issues with applications running on production servers? Most applications running on servers are middle ware/backup/self supported software. 14. Onsite we noticed there were 8 physical servers the RFP speaks to only 4, not including the AS400, would support be needed for the other 4? No, the other 4 are either currently not being used or will be decommissioned 15. Can we keep the equipment on site prior to decommissioning by the end of the year? This is something will we need help with working out. We need to vacate our current location by June 30, Please provide us with the quantities and make/model of the following network devices: Switches ii. Firewalls iii. Wireless access points iv. Your Scope of Work options: IBM Power System i is included for each requested option listed in the RFP: i. Since the IBM Power System i applications are being decommissioned, will the Power System i still require support or can that be an optional item? We have a hardware support contract with IBM for the Power System i and day-to-day support is handled by EW Staff. This is more of a situation of where it will be housed EW site, hosted site, cloud site. ii. What stage of the Office 365/Lawson migration are you currently in? Could we include migrating you off IBM in our proposed solution? If so, how many additional users need to be migrated? Migration to Office 365 has not yet begun. We will need to migrate approximately 85 users but would like to also be able to convert some saved mail files from former employees to retrieve past mail for potential audit requests. 19. What ERP system is Lawson being migrated to, and is it hosted or local? We are changing to Accufund and it will be a cloud application. 20. Is support of the Lotus Domino environment prior to migration a requirement, or can we support those services once they re officially migrated to Office 365? Support of the Lotus Domino environment is not required. 21. How many servers will be left after the migration? We feel as if some of the file servers can be consolidated, approximately after migration 22. From the RFP, we see operations in 13 states and approximately 30 users. What is the breakdown of users at each location? We operate our program in 13 states (AR, FL, ID, MD, MN, MO, MT, ND, OR, PA, SD, TX and WY) but have national support staff in other states (VA, FL, IN, KY, LA, PA, SC, and MI).
