3 Cloud Adoption is a top priority for University IT because of its broad reach and campus-wide impact. As UIT tackles cloud, we are learning how Stanford integrates new technology and delivers tools to improve how faculty, students, and staff do their Stanford work.

6 1 Perform cloud governance and portfolio management Published cloud reference materials for internal / external use Provided data to OCIO for PY19 priority-setting based on service owner roadmaps, client satisfaction survey, cloud champion recommendations Technology Portfolio Acquired and implemented a cloud analysis tool (SkyHigh) Proposed SaaS Campus Cloud Enablement team; will receive funding for two positions on 9/1/18

7 3 Integration of cloud systems, processes, and services Completed requirements gathering and rolled out a portion of the AWS/GCP billing and provisioning process. Negotiated BAA terms; now being finalized with AWS Technology Portfolio 4 Run mission-critical services in the cloud Approach to aggregated log & monitoring has OCIO support and is well underway (starting with cloud services) Documented cloud network use cases and policies IdP, Kerberos, Directory (LDAP), Puppet infrastructure on AWS Acquired a campus-wide agreement with a cloud-based vendor, Acquia, and started migration activities Designed architecture for AD in AWS and began testing

12 2 Define organizational development program Addressed new cloud roles for UIT: Created three new cloud-specific job descriptions (currently with HR for review) Rolled out UIT communication channels and forums: Created Cloud Champions group in August 2017; held monthly meetings Hosted two rounds of roadshows with the Executive Sponsors AWS cloud simulation exercise held for UIT senior staff to provide context and help understand prioritization and tradeoffs Organizational Readiness Began building greater Stanford-wide awareness: Presented overview of UIT Cloud Transformation program to faculty senate sub-committee on computing (C-ACIS) Set up Cloud Academy licenses for 56 UIT staff, providing unlimited online cloud coursework and certification. Organized and delivered 77 hours of AWS training, including two AWS Essentials sessions and two advanced 3-day workshops.

13 6 Footprint Reduction 5 Reduce UIT computing footprint on campus 50% With Finance, Vendor Management and Hosting Services, implemented hardware review process in UIT. To continue progress toward this goal, we have an online form to be used when requesting new physical servers in Forsythe data center or one of the other on-campus locations. Exit Livermore disaster recovery site Finalized a template for a service exit plan that can be used for Livermore services

14 Planning Context for PY2019 Change management will be a dominant theme Productivity impacts may be expected as UIT move to SRWC advances New very large programs will stretch capacity The ADAPT, File Storage Security, and SRWC programs will substantially impact all of UIT Likely impact from major planning initiatives Long Range Planning outcomes and Stanford Medicine IT review may yield intra-year projects
