1 Extracting Data From The CMT/CS1000 database This defines the process for extracting data from the CMT/CS1000 database and using this information in Excel spreadsheets. A similar process can be used for other spreadsheet or reporting programs. The CMT/CS1000 database is built every night by the use of the overnight CMT procedures. Automatically, a DB2/400 database is created while duplicates all the CS1000 data. Some of this data is already kept in this format most CMT functions make use of the DB2 database. The General Ledger Inquiry and Reporting, and the CMT Payroll are examples of such functions. Starting The Process Open Excel The process is started by opening a blank Excel spreadsheet document. The following screen is presented.

2 The Excel function that is used is contained within the Data button on the top of the spreadsheet. To access it press Data, Get External Data, New Database Query. The following box pops up. If you have already defined a Data Source it will appear. Note that the screen above shows that we have already set up a data source called as400data. To illustrate the use of this function, however, we will set up another. Highlight <New Data Source> and press OK.

3 Here, we have entered a Data Source name of Arpis Data. The Driver is selected by pressing the drop down arrow on the right of box 2 and selecting Client Access ODBC Driver (32-bit). The press Connect to connect to the AS400 that contains your data.

4 The next panel will show the name of your default AS400 and provide space for your User ID and Password. You can save the contents of this panel if you wish. The system may caution you about the dangers of saving password information.

5 Before pressing OK, it is important that you access the Translation tab and change the button to indicate Translate CCSID If you don t do this, the data sent from the AS400 will be garbled.

6 In addition, you can select the Server tab and enter a default library. In most cases, you should enter CMTDTA01 the default library for the CMT/CS1000 data. After this has been done, they program will return to the Create New Data Source panel. You have the option of saving your user id and password in the data source definition. If you select this option, the program will caution you about saving this information in a non-encrypted form which can be accessed by others.

7 Data Source Completed The following screen will then show your new data source. Press OK to complete this process. Selecting Tables and Columns The next pop-up panel will allow you to select a table or file. Each table will have a + sign beside it indicating that it will show more detail if pressed. The example shows that we have pressed the + beside the GLBL (General Ledger Balance) table and have selected a number of columns (fields) for inclusion in our query. You can obtain a list of tables and columns (Files and Fields) from CMT to assist you in this process.

8 Pressing Next will show the screen permitting selections based on values to take place. In the example we have selected values with company number 100. The next panel allows the user to sort the data by column value. In this example we are sorting by GL and Branch number.

9 The last step is to decide where to put the returned data. Here we are telling the query to return the data to Excel. You will note that an option exists to Save Query in case you believe you will use the query again. A future use will then be as simple as running an existing query from the original panels. In fact, the query can be called from a MACRO if desired. This asks for the location to place the data. Pressing OK will cause in this case the data to be placed in the Upper Right Corner of the spreadsheet Cell A1.

10 The End Result Data In A Spreadsheet You will end up with a screen that looks something like this with your own data in place of course.
