2 1. Executive summary The system based on which we proposed to provide images and references to the IABIN catalog is WebBee, which has been on line for many years (almost 10 years). Due to the involvement of USP in several biodiversity informatics projects in recent times, most of them related to pollinator data, a major revision and re-design of WebBee was proposed to keep it up-to-date with current technology and users needs. This IABIN grant also impacted on the decision to rebuilt WebBee as it became clear the importance of not only digitizing data to allow direct access to them through our web application (WebBee), but also to provide metadata about those data to other applications, in this case the IABIN catalog, to increase the visibility of the data, to reach a wider audience and contribute to the cause of the Pollinators. As we were already developing a new digitization tool, called Biodiversity Data Digitizer (BDD), inspired on our previous Pollinator Data Digitizer (PDD), the decision was made to develop, within BDD, a module to deal with Images and a module to deal with References. So, more than working on a tool to extract metadata from the existing WebBee database of images and references we worked on a tool to improve digitization of references and images, following standards adopted by IABIN, and then extracting the data (and metadata) from the current WebBee database of images and references into this new tool, which is at the base of a new WebBee. On top of that tool and integrated to it, a provider is responsible for interacting with IABIN catalog to provide the data. This approach contributes to the sustainability of the whole project, in the sense that a better tool will encourage more people to digitize their data, and also contribute specifically to the catalog in the sense that as more data (images and references) are added to WebBee their metadata will become available to the catalog. This will expand beyond the originally proposed number of images and references metadata. 2. Results of the programmed deliverables The programmed deliverables were a specification of the tool, the list of metadata and a first prototype Specification of the tool Digitizer tool The digitizer tool was designed to digitize data and metadata about multimedia resources of biodiversity following the MRTG draft standard (below). Its features allow creating, updating and deleting data and metadata records, and also, attaching multimedia files (images, video, and audio) to those records. Designed as a BDD module, the digitizer tool takes advantage of many data quality and usability features developed for BDD: Internet access using a browser, multi-language support,

3 on-line help for each field, auto-complete based on registered records or authority databases, auto-complete of upper hierarchical data (taxonomy and locality), statistics about registered fields, control over required fields, data format check for selected data fields, user access control, and association with other records (specimen, species and interactions records). The digitizer tool uses the BDD programming platform. The tool code is written with PHP scripts and improved by the Yii framework; the data and metadata are stored in a PostgreSQL database. Some changes were applied to the BDD database to support multimedia records Provider tool The provider tool to multimedia resources data and metadata is being developed with the TAPIRLink tool. It is a generic TAPIR provider software that uses the PHP ADOdb library to access different types of relational databases. TapirLink allows mapping of the BDD database with the MRTG draft standard, in this case. Tapirlink is supported by TDWG and technical information is online: Metadata list of MRTG draft standard MRTG is a joint task group of GBIF and TDWG, the TDWG/GBIF Multimedia Resource Task Group ( The MRTG schema is a proposed metadata standard for the description of the content and access mechanisms of biodiversity multimedia objects, whether digitized or not. The latest version, 0.9, was recently submitted to TDWG following its standards definition process. The metadata list of bees and plants images from Webbee to be provided to IABIN Catalog is based on that version of the MRTG Schema. Some of MRTG terms are based on existing Dublin Core terms, that is also an IABIN standard. The metadata of bees and plants to be provided to IABIN Catalog are described in Table 1. Only the terms checked with TRUE in the column WEBBEE will be extracted from Webbbe and provided to IABIN Catalog. These are the fields currently available at WebBee for the images. The terms checked with in the column TOOL are available on BDD for the user to digitize data, allowing records to be updated in the future.

BDD is available on the Internet (Figure 1) and users must login to access its tools as it is not meant to be an open access tool.
