4 Overview / Prerequisites OVERVIEW This document provides a quick reference for installing the EasyLobby Secure Visitor Management software. It also provides the necessary steps to integrate the EasyLobby SVM 10.0 with the V2.9.x CardAccess 3000 software. Refer to the EasyLobby SVM 10.0 manual for detailed instructions on programming the EasyLobby software. 5 EasyLobby Configurations EASYLOBBY CONFIGURATIONS 1) EasyLobby integration with the CardAccess 3000 can be installed in various configurations. Below are three example configurations. This document will guide you through configuring example 1. Configuration 1 One computer configuration : Includes : 1) CardAccess 3000 V2.9.x with SQL 2008 R2 Express (32 bit OS) 2) EasyLobby software with SQL 2005 Express (SQL 2005 Express installed from the EasyLobby SVM 10.0 CD using the EasyLobby Database Installer) Note: The EasyLobby Database Installer does not support SQL The EasyLobby database can be created and configured manually on SQL Configuration 2 Two computer configuration : Includes : CardAccess 3000 V2.9.x Software with SQL 2008 R2 Express (32 or 64 bit OS) Includes : EasyLobby software with SQL 2005 Express (SQL 2005 Express installed from the EasyLobby SVM 10.0 CD using the EasyLobby Database Installer) EasyLobby / CardAccess 3000 Configuration Guide 5

6 EasyLobby Configurations (Con t) EASYLOBBY CONFIGURATIONS (CON T) Configuration 3 Three computer configuration Contains : CardAccess 3000 V2.9.x software configured as a Database Server (32 / 64 bit OS) DATABASE SERVER SQL Server 2005 with an instance for CardAccess 3000 and an instance for Easy- Lobby (32 bit OS). Includes : EasyLobby Secure Visitor Management software V10.0 (32 bit OS) Note: SQL 2008 can be used for both CardAccess 3000 and EasyLobby SVM 10.0, but the EasyLobby database must be manually created and configured. 7 CardAccess 3000 V2.9.x Installation CARDACCESS 3000 V2.9 INSTALLATION 1) Install the CardAccess 3000 V2.9.x software using the original CD. 2) Verify the CardAccess 3000 V2.9.x installation created two databases during the installation. 3) After the standard programming is complete and the CardAccess system is functional, there will be specific programming needed to integrate with the EasyLobby SVM 10.0 software. Refer to the following : Create Access Groups in the CardAccess 3000 that match the Access Groups specified in EasyLobby Create Access Groups in CardAccess 3000 for each access group that will be assigned to Visitors from the EasyLobby system. The names of the access group must exactly match the names generated in EasyLobby. The access groups that need to be created depend on the options you chose when configuring the integration. If you chose Default in the Access Group Map Field dropdown, create an access group in CardAccess 3000 with a name that matches the value you entered in the Access Group Default field. For this example, the access group name is Visitors. If you chose Category, Clearance, Company or User Defined 1, create access groups that match some or all of the values in the corresponding lists in EasyLobby. Facility Codes in CardAccess 3000 and Easy Lobby Very Important : You must change the Facility Default in the Easy Lobby Integration screen to match the correct facility code number for the visitor badges (refer to page 27). By default, Easy Lobby configures it to 10. If facility codes are not being used, you must configure it to 0 in the Easy Lobby integration screen. EasyLobby / CardAccess 3000 Configuration Guide 7

8 EasyLobby Database Installation EASYLOBBY DATABASE INSTALLATION Notes : The Database Installer on the EasyLobby SVM 10.0 CD does not support SQL If SQL 2008 is being used, the EasyLobby databases must be configured manually. 15 EasyLobby SVM 10.0 Installation EASYLOBBY SVM 10.0 INSTALLATION Notes: This version of EasyLobby has been tested with CardAccess 3000 V2.9.x. Any other configurations have not been tested. EASYLOBBY SVM SOFTWARE INSTALLATION 1) The EasyLobby Installation CD should include a folder called \Installs\ that contains the EasyLobby SVM 10.0 setup program. 2) Click the EasyLobbySVM100Setup.exe (Refer to figure 14). 20 EasyLobby Integration Installation EASYLOBBY INTEGRATION INSTALLATION Notes: Please remove any existing installations of the CardAccess 3000 integration solution before attempting to install the current version of the CardAccess 3000 Integration, as it will conflict with older versions of the integration. EASYLOBBY SVM SOFTWARE INSTALLATION 1) The EasyLobby Installation CD should include a folder called \Integrations\Continental CardAccess 3000 that contains the integration installer. 2) Click the Setup.exe from the Continental CardAccess 3000 folder (Refer to figure 23). 24 EasyLobby Integration Configuration Utility Configuration Utility 9) The Configuration utility is used to configure and install the integration into your EasyLobby database. It also installs the integration service into Windows. 10) Click Start > Programs > EasyLobby 10.0 > CardAccess 3000 > Configuration Utility (Refer to figure 30). 25 EasyLobby Integration Config. (Con t) EasyLobby Settings Figure 32 12) Configure the EasyLobby Settings screen as per figure 32. Below is a description of all the fields along with User Name and Password information. Reminder: The EasyLobby SQL username and password are Username = easyuser10 and Password = door10man+ Refresh List Click this button to re-populate the list of available SQL Servers Available SQL Servers The.NET framework allows automatic discovery of available SQL Servers on your local network. Click on the server instance from the list in order to use that instance as the database server selection that hosts the EasyLobby database. If you don t see the server which hosts the EasyLobby database on the list it is because the server is either inaccessible or has been configured to be hidden for automatic discovery. If the latter is the case you need to type the server (and instance if not the default instance) name in the SQL Server Instance textbox. A typical CardAccess 3000 installation uses the default instance of SQL Server. SQL Server Instance Specifies the SQL Server instance in which the database has been installed. Clicking on an item from the Available SQL Servers list automatically populates this field. You may type the name of a SQL Server instance if it does not appear on the list. This field takes the form of COMPUTER_NAME\INSTANCE_NAME, or in the case of a default instance it is simply COMPUTER_NAME. If you need to specify a custom port, you may enter it after the instance name followed by a comma, e.g. SERVER\EASYLOBBY,1434 or SERVER,9876. Authentication type Specify the type of authentication you wish to use. By default, EasyLobby database uses SQL authentication with user easyuser10 and password door10man+. If you change this credential set at the time of installing the database, you need to specify the alternate credentials here. If you use NT authentication, please make sure that the account you specify in the Service Credentials section is part of the SQL Server s security schema and has db_owner property set for the EasyLobby database. If you specify Local System as the service user and also using a remote SQL Server with NT authentication type, the integration may not be able authenticate correctly. For more information on how the various built-in NT user accounts authenticate with SQL Server when using NT Authentication type, please refer to the corresponding documentation from Microsoft. User Name Specify the username to use with SQL Server authentication type (by default easyuser10 for Easy- Lobby, sa or equivalent for CardAccess 3000). Password Specify the password to use with SQL Server authentication type (by default door10man+ for EasyLobby). EasyLobby / CardAccess 3000 Configuration Guide 25

27 EasyLobby Integration Installation (Con t) Integration Settings Figure ) Configure the Integration Settings screen as per figure 34. Below is a description of all the fields. Very Important: If facility codes are not being used, you must change the Facility Default to 0. In almost all cases, 10 is incorrect. This number reflects the box number under Administration>Facility Codes in the CardAccess 3000 software. Badge Type Set the type of visitor badges used in the integration. Set to Proximity Cards if you are issuing proximity cards for your visitors. The integration uses the Prox Card field from the Badge tab on the EasyLobby visitor form as the card number to send to CardAccess We recommend using a USB prox card reader with EasyLobby to eliminate human error when entering the prox card number. These products are available for purchase from EasyLobby. The Barcoded Badges setting sends the Custom Id field from the Badge tab on the EasyLobby visitor form as the card number to CardAccess This is the identifier that gets encoded and printed as the barcode on printed badges from EasyLobby SVM. By default EasyLobby automatically generates Custom Ids. You can also set a specific range of numbers for EasyLobby to use for Custom Id generation. Use the Edit Program Options menu command, Defaults tab, Custom Id sub-tab. The third setting, Proximity Card or Barcoded Badge, allows both fields to provide the card number for CardAccess With this setting, if the Prox Card field is not blank, its value will be used for the card number. Otherwise the Custom Id field value will be used. EasyLobby / CardAccess 3000 Configuration Guide 27

28 EasyLobby Integration Installation (Con t) Access Group Map Field Specify what field from EasyLobby should be used to supply the access group map field in CardAccess 3000 for the visitor. Note that Access Group Map Field must match an existing access group in CardAccess in order for that visitor s card to be granted access rights. The following selections are provided. Use Default Use the value in Default Access Group Map field (below) for all visitors Visitor Category Use the value from the category dropdown on the visitor form Visitor Clearance Use the value from the clearance dropdown on the visitor form Visitor User Defined 1 to 6 Use the value from the visitor user defined field Employee Company Use the company of the employee being visited Employee Category Use the category of the employee being visited Employee Department Use the department of the employee being visited Employee User Defined 1 to 6 Use the user defined value of the employee being visited Site Id Use the Site Id number from the EasyLobby site record Site Description Specified in Description field of EasyLobby site (syntax: ag=standardprofile;) Access Group Default Specify the default access group to be used for all visitors when sent to CardAccess 3000 as cardholders. Only used when Use Default is selected in the Access Group field, above. For this example, the Visitors access group is used. Access Group Suffix If specified, this value will be appended to the end of the access group. Personnel Group Map Field Specify what field from EasyLobby should be used to supply the Personnel Group Map field in CardAccess 3000 for the visitor. Note that Personnel Group Map Field must match an existing personnel group in CardAccess. This allows you to selectively control what visitors may be granted access privileges within CardAccess. The following selections are provided. Use Default Use the value in Default Personnel Group Map field (below) for all visitors Visitor Category Use the value from the category dropdown on the visitor form Visitor Clearance Use the value from the clearance dropdown on the visitor form Visitor User Defined 1 to 6 Use the value from the visitor user defined field Employee Company Use the company of the employee being visited Employee Category Use the category of the employee being visited Employee Department Use the department of the employee being visited Employee User Defined 1 to 6 Use the user defined value of the employee being visited Site Id Use the Site Id number from the EasyLobby site record Site Description Specified in Description field of EasyLobby site (syntax: pg=standardprofile;) EasyLobby / CardAccess 3000 Configuration Guide 28

29 EasyLobby Integration Installation (Con t) Personnel Group Default Specify the default personnel group to be used for all visitors when sent to CardAccess 3000 as cardholders. Only used when Use Default is selected in the Personnel Group field, above. Facility Map Field Specify the facility number to use as the facility to assign to the visitor. If the field is set to Site Id, the EasyLobby site id number will be used as the facility. Use Default Use the value in Facility Map Field (below) for all visitors Site Id Use the Site Id number from the EasyLobby site record Site Description Specified in Description field of EasyLobby site (syntax: fc=standardprofile;) Facility Default If the Facility Map Field is set to Default, the value in this field is used as the facility number for all visitors at all times. Enable Employee Temp Card If checked, and the visitor category matches the value in the Category field (by default Employee), the integration will attempt to add the card as a temporary card on the permanent cardholder record. This card will have the full access rights of that cardholder s permanent card, but will expire at the Valid To date/time or when the employee is checked out of the EasyLobby system. Category - The name to match against the value from the Category dropdown on the Visitor form in EasyLobby to be used for temporary card on the permanent cardholder record. Strip Prefix This field, if not blank, contains the numerical prefix to strip from the badge number before sending it to the CardAccess system. This is typically used in barcode applications. Thus, the badge number including this prefix will be printed on the EasyLobby badge, but sent with the prefix stripped to CardAccess. Delete on Check Out - Check this box to delete the card and cardholder record from CardAccess 3000 when the visitor is checked out (or deleted) from EasyLobby. When unchecked, the card will be deactivated but the cardholder or the card will not be deleted. In a scenario where the same card is reused to check in another visitor at a later time the card and cardholder will be overwritten with the new information, and the card activated. Send Photo Check this box to send the visitor photo data to CardAccess. Service Credentials Local System Has local admin permissions, acts as the computer on the network. Local Service limited rights on the local system, anonymous credentials on the network Network Service limited rights on the local system, acts as the computer on the network User Run the service with a local or domain account whose credentials are given below Computer or Domain Enter the name of the local system if running the service with a local user account. Enter the name of the Domain if using a domain account. User Name Enter the account name of a local or domain account. In addition to the rights specified in the previous paragraph this account must have read and write privileges to the machine registry. Account must have Log on as a service permission. See section VIII below for specific details for setting this permission. Password Enter the password for the Windows account specified. EasyLobby / CardAccess 3000 Configuration Guide 29

30 Starting the Integration Service Configuration Utility (Installing and Removing the Integration Service) When you have completed configuring the integration with the Configuration utility, click the Install button to install and start the integration service. You may exit the configuration utility after the utility displays a message confirming that the service installation is completed. Press the Remove button to stop and remove the integration service. Service Utility (Starting/Stopping Service) A set of utility functions is provided in the sub-menus of the Start > Programs > EasyLobby 10.0 > CardAccess 3000 Integration > Service Utilities menu item. You can install, start, stop and uninstall the service from these menu commands. On Windows 7, to start or stop the services, run the start.bat or stop.bat using the administrator privileges by right-click on the file and select Run as Administrator EasyLobby / CardAccess 3000 Configuration Guide 30

31 Setting up an ODBC Data Source Setting up a SQL Server ODBC Data Source 1) For each EasyLobby client application (SVM, Administrator or eadvance) that will connect to the SQL Server database, you will need to create a SQL Server ODBC data source (DSN). 2) Under Control Panel, open the Administrative Tools icon and open the Data Sources (ODBC) icon. The ODBC Data Source Administrator window will display. Click the Drivers tab and check to insure that you have the SQL Server ODBC driver. Note: Windows 2000, 2003 and XP systems typically have these drivers already installed. If you do not have the SQL Server driver, download and install the MDAC 2.8 SP1 update from the Microsoft web site. Figure 36. EasyLobby / CardAccess 3000 Configuration Guide 31

32 Setting up an ODBC Data Source (Con t) 3) To Create an ODBC data source to an EasyLobby SQL Server database, click the System DSN tab and click the Add button (Refer to figure 37).. 33 Sale Setting up an ODBC Data Source (Con t) 5) On the Create a New Data Source to SQL Server screen, enter a name such as EasyLobby10 and an optional description for your new data source. Enter or select the name (or IP number) of your database server in the Server field. Then click the Next button when you are finished (Refer to figure 39). Figure 39. 6) Select the With SQL Server authentication radio button. Make sure the Connect to SQL Server box is checked, and enter the credentials easyuser10 and door10man+, then click the Next button. 36 Launching the EasyLobby Application LAUNCHING THE EASYLOBBY APPLICATION 1) The following steps are a brief overview of launching the EasyLobby application. Refer to the EasyLobby SVM 10.0 Manual for complete instructions. 2) Click Start > Programs > EasyLobby10.0> EasyLobby SVM (Refer to figure 45). Note: The troubleshooting screen can be found on the CardAccess 3000 Integration utility screen (refer to page 27) Enable Verbose Logging If you observe that the integration is not working as desired it may prove helpful to enable the verbose logging option of the integration. A log table in the EasyLobby database is used for the purpose of logging messages generated by the integration. When verbose logging is enabled many status messages about the integration s execution in general are logged. Error messages are always logged regardless of the verbose logging setting. During normal operation of the EasyLobby 10.0 CardAccess 3000 Integration, any errors that occur are logged to the IntegrationLog table in the EasyLobby10 database, with reference to the station whose operation generated the error message. You can view this log by running the configuration application and clicking the View All Logs button. Warning: verbose logging can easily create hundreds of thousands of log messages in a couple of days, which can clutter the database and potentially introduce performance issues. Please make sure that if you decide to enable verbose logging you only do so for the time of troubleshooting a problem and then promptly disable it once troubleshooting is done. View All Logs Launches a log monitor window which displays verbose log messages as well as errors. Integration Status Monitor Displays the current status of the integration database hook and also the status of the integration service itself. If the configuration utility is unable to connect to the EasyLobby database an error message will be displayed. As soon as all the database settings are entered correctly, the first part of the status reads Not installed, Enabled or Disabled. The second part reads Not installed, Running or Stopped. Integration Enable/Disable button This button allows you to temporarily suspend the integration (perhaps for troubleshooting reasons). Pressing this button will not affect the integration service in any way. When the integration is disabled this way, records still accumulate in the integration transaction tables, but are not processed until the database hook is re-enabled. This button is disabled when the integration hook cannot be detected in the database specified in the EasyLobby Database section. EasyLobby / CardAccess 3000 Configuration Guide 40

41 EasyLobby Functional Information Functional Information (Refer to the EasyLobby SVM 10.0 Manual for complete functionality information) Scanning in Prox Card Numbers In EasyLobby, you can integrate the card scanners to automatically scan the prox card number into the EasyLobby visitor record. If you don t have a prox card scanner, you can type the card number into the prox card field (on the Badge tab of the Visitor Form, Full View). To integrate the prox card reader, use the Edit Device Options dialog, Prox Card Readers tab, and select your type of reader. Make sure to select the correct COM port and Device Type. After creating a visitor record, but before checking in the visitor, make sure to scan or enter the prox card, and adjust the Valid- From and ValidTo dates if desired. Mapping fields to CardAccess 3000 Access Groups Depending on what EasyLobby field you have chosen to map to the CardAccess 3000 access groups, you may have to set up values in EasyLobby. If you are using the visitor category or clearance, you will need to use the Edit Categories or Edit Clearances commands, respectively, to create the categories or clearances that will correspond to access groups in CardAccess If you are using the employee company, you will need to use the Employee Companies command to create the companies that will be assigned. If you are using the visitor user-defined 1 field, you should define this to be a combo and create the value set to correspond to the CardAccess 3000 access groups. Prox Card Formats If you are using a prox card reader, it needs to be set up to send the proper character sequences to EasyLobby. For the Hirsch/ HID reader, a utility called HirschHIDConfig.exe is included on the CD in the \Devices\ Hirsch HID Prox Card Reader folder, which allows you to configure the device after power up (it must be configured each time it is powered on). The pcprox reader has a configuration utility called pcproxconfig.exe that must be run once before using it. This utility is found on the product CD in the \Devices\ pcprox folder. Please review the instructions in the device folder on the CD for complete setup instructions. Integration Triggers The integration solution utilizes triggers in the EasyLobby10 database on the Visitor and Employee tables and a Windows service called EasyLobby 10.0 CardAccess 3000 Integration Service. This service is installed and started by the Install function of the configuration utility. If you look at the services control panel, you can see the service and its status. When a visitor is checked in using EasyLobby SVM, the trigger in the EasyLobby10 database is executed which inserts a record in the IntegrationTransactionData and IntegrationTransactionStatus tables in the EasyLobby10 database. The EasyLobby 10.0 CardAccess3000 Integration Service checks this table every interval (2 seconds by default) and processes any new records found. The service then creates the badges and cards in CardAccess Integration Configuration Storage The integration configuration utility stores most of its settings in the settings.xml file. For visitors, the card number will be taken from the Prox Card No field if using prox cards for the integration. The ValidFrom and ValidTo time specified for the visitor will be transferred to CardAccess 3000 as the card s activation and expiration dates. The prox card or barcode will only be valid between these dates/times.
