4 Slide 4 Most of us take document structure for granted. Imagine if headings blended into the paragraphs in between them. It would be very difficult to understand how a document is organized. To make documents easy to read, we use tricks to emphasize titles and headings. We often use bold or play with font style and line spacing. These tricks create visual cues of how a document is organized. Styles build on document organization and make a document twice as smart. 8 Slide 8 We use Styles to make a heading smart. Select the text you want to define as a heading and select the appropriate heading Style. 10 Slide 10 You can see all of the headings in your document by turning on the Document Map. Click on the View tab and check the Document Map box in the Show/Hide group. The Document Map will display all headings. They are interactive and behave as links to sections of the document. This is a good place to check if sub-headings are associated with main headings. 12 Slide 12 Microsoft Office allows you to customize any pre-set Style. There are two methods: Method 1: Modify the Heading Style Right click on a Heading Style. Select Modify. Make modifications. Select OK, and all text assigned to that style will update automatically. Method 2: Format the Text and Update the Style Format text with the Font tools. With the text selected, right click on the Heading Style you want to change, select Update to Match Selection and all text on that style will update. 14 Slide 14 Smart Headings help people who use screen reading technology understand document structure. It enables quick access to information by allowing a user to decide what to read and what not to read. Smart Headings can generate an interactive table of contents. The table of contents tool in Microsoft Word will scan the document and insert all of the smart headings into a table. Smart Headings can generate bookmarks in a PDF document. Bookmarks are a sidebar version of the table of contents. The sidebar lists all the headings and provides a system to easily navigate through the document.
