1 Collect For Output Collect For Output Oftentimes, one of the hardest and most time-consuming tasks of designing is providing all the necessary parts (fonts, graphics, etc.) of the design to a printer for printing. This document will show you how to use the built-in features of most design and prepress applications on the market. When sending a job for printing, please include: Final layout file Linked images and graphics Fonts used in all project files Any used third-party application plug-in s Printed disk directory (if sending a disk) A printed go-by (or PDF) so that we know how your project should look Most prepress and layout applications have the ability to collect the electronic portions of the project package for you. Each application listed below will be demonstrated on how to collect all used items into a single folder that you can send to Hopkins Printing. QuarkXPress 4.x... 1. Select Collect for Output from the File menu.

3 QuarkXPress 4.x Select Collect for Output from the File menu. If any placed images are missing or need updating, please do so now and click Save when asked if you would like to continue with Collecting for Output. 2. The following dialog box will appear: 3. Navigate to the Desktop and create a new folder called Collected. This is where used components as well as a report file will be saved. Click Collect.

4 4. By clicking the Collect button, fresh copies of all of the job s file are created layout document, images, and graphics. Quark s Collect feature does not collect fonts used in the job so fonts will need collected manually. The collected window will look something like th e following: Report in QuarkXPress When you use the Collect for Output feature (on a Macintosh), the software automatically generates an electronic job report, so the final Collect for Output window asks for a Report Name. In Windows, the report is automatically named according to the document name wth an XTG (XPress Tags) extension. The report file contains everything you wanted to know about your file. Such things include general information including file and application prefrences, all fonts used including any menu-styled fonts and fonts used in placed graphics, and placed graphic information. Because Quark s Collect utility doesn t gather fonts (QuarkXPress 4.x only), you now have the information you need to manually gather the necessary files into your collected project folder.

Your project will now be packaged, including the document layout, linked images and graphics, fonts and an instruction file (report) into the Collected folder you created in step 5.

After the collection process is complete, your Collected folder will resemble the following:

19 Adobe Illustrator... To our knowledge, we know of no built-in feature within Adobe Illustrator (even Adobe Illustrator CS) that will perform a Collect For Output. There are, however, some third-party alternatives: Art Files by Code Line Communications The following excerpt was taken directly from Code Line s website: Art Files is a stand-alone application that takes the tedious task of collecting Illustrator documents, linked images and fonts for graphics files and turns it into a simple point & click operation. Rather than focus on the in-depth "preflight" nitty-gritty that other applications have done in the past, Art Files focuses on gathering just the information you need to get your files packaged up for your service provider. Art Files also has the unique ability to collect several documents at once, saving precious time when only minutes stand between overnighting your artwork to the printer and having to hire a high-price door-todoor courier to meet your deadline. In addition to saving time, this feature also cuts down on disk space by collecting shared images and fonts between documents only once. Art Files is perfect for production artists or anyone who works with graphics files and needs the portability of sending documents to others for editing or printing. Its simple, straight-forward user-interface is sure to make file collection nightmares a thing of the past. FlightCheck by Markzware Software The following excerpt was taken directly from Markzware s website: FlightCheck is the award-winning prepress application that sets the standard for preflighting. This advanced, stand-alone solution has saved the printing industry millions of dollars in reprocessing costs. FlightCheck Professional scans a wide variety of file types including QuarkXPress, PageMaker, Illustrator, Photoshop, InDesign, FreeHand, CorelDRAW and PDF by using a simple drag and drop interface to warn you of over 150 potential problems, easily and automatically. Documents on a computer screen will not reveal hidden problems such as incompatible graphic elements or font types. FlightCheck Professional investigates native document files even without the application that created it, avoiding the "eyeball method" of evaluation. Collect Files for Prepress Output AppleScript / Visual Basic Script by Ethan Wilde This script can run within Adobe Illustrator 10 and above for Mac OS X or Windows. Windows uses Visual Basic. This script brings the Collect for Output feature of other programs to Illustrator. This script will assemble all graphics along with the Illustrator file itself into a single folder. In addition, this script will also generate a report of the fonts used in your Illustrator file. Unfortunatley, the script cannot actually collect the fonts used in your project so manual collection of fonts will be necessary. This script can be downloaded from the authors website by clicking the link above. All third-party products are copyright by their respective authors.

20 Application Plug-In s... Since most prepress applications support the use of plug-in s and extensions, there are many third party companies that write software to give an application additional functionality. Because of this, it may be necessary to include any used plug-in s on disk if they were used in the creation of your files. Some versions of FlightCheck give the ability to automatically collect any used plug-in s. The screen capture below shows how to instruct FlightCheck to include any required extensions or plug-in s. This feature works well with QuarkXPress but may not with programs like InDesign or PageMaker. If you use any third party plug-in s with your design application, please include them on disk as we may need them to properly image your files.
